TERMS & CONDITIONS FOR ITU TELECOM WORLD 2017 REGISTRATION These terms and conditions govern your registration to attend ITU Telecom World 2017, to be held in Busan, Republic of Korea from 25 to 28 September 2017 (the Event ). Participants accept and agree to be bound by these terms and conditions by registering for the Event, whether via the Event s online registration system, in person at the Event, or otherwise. PASSES AND ENTITLEMENTS 1. The discounted rate up to 20 September 2017 (23h59 CET), the on-site rate, and a description of entitlements for each category of Passes is available on the Event website. 2. A confirmation email will be issued upon successful processing of a registration request. The Registration confirmation must be presented, along with a valid photo ID, onsite at the Event s registration desks in order to obtain the badge for the Event. For passes for Korean Nationals, a valid Korean national identity card must be presented for verification onsite at the Event s registration desks. Badges will not be mailed in advance of the Event. 3. No person under the age of 13 may be registered as a participant or be admitted to the Event. 4. ITU reserves the right, in its sole discretion, to limit or deny access to the Event to any entity or individual, including any registered participants. PAYMENTS 5. Approved Payment Methods: 5.1.1. Credit Card: Payment through this method is strongly recommended. Applicable for pass purchases made on-line from 15 May 2017 (00h00 CET) until 28 September 2017 (09h00 CET). Credit cards accepted: Visa, MasterCard, and American Express. 5.1.2. Bank Transfer: Payment through this mode is not encouraged due to the variable time it may take to complete the process. Applicable for pass purchases made on-line from 29 May 2017 (00h00 CET). Payment must be received in full by ITU before any passes can be issued. Upon receipt of the full payment or proof of payment, ITU will issue a confirmation email and provide the appropriate registration codes to allow online registration of individuals for the purchased passes. 5.3. Currency: 5.3.1. Prices are in Swiss Francs (CHF). Exchange rate will be based on the prevailing UN Operational Rate of Exchange. 5.3.2. Invoices are issued only in CHF.

5.3.3. Accepted currencies on-site for cash payment: United States Dollars (USD) or South Korean Won (KRW). 6. The badges for the Event will be issued on site between 22 and 28 September 2017. The badges should be collected in person with the exception of Leader passes for which an acceptable photo has been provided in advance and focal point to collect agreed. CANCELLATIONS AND REFUNDS 7. To request a cancellation/refund of an access pass, an email must be sent to registration team at: registration.telecom@itu.int. 8. Fifty percent (50%) of the total paid price for the Passes may be refundable provided that the request for cancellation/refund has been received by ITU in writing no later than 8 September 2017 (23h59 CET), except as set forth in Section 9, Section 13, and Section 14 of these terms and conditions. Exhibition passes are excluded from refunds. 9. Transferred Passes may be cancelled at any time but no refund shall be made by ITU, regardless of the date on which such passes are cancelled. 10. Participants are responsible for cancellation of travel and hotel reservations if they do not attend the Event for any reason. 11. ITU reserves the right not to register an individual if payment as required by this policy has not been received by ITU in a timely manner or if such participant fails to provide complete details as required in the relevant registration form. 12. In the case of cancellation of the Event for whatever reason, ITU shall have the right to cancel any and all registrations, and ITU shall refund each participant whose registration has been cancelled an amount equal to the purchase price paid by such participant to ITU. Each participant acknowledges and agrees that cancellation by ITU shall not give rise to any further claim or remedy whatsoever by the participant against ITU, including but not limited to, claim for costs, damages and/or losses incurred in connection with such cancellation. 13. In case the client has not been granted a visa, ITU shall review the request for a full refund on a case by case basis, provided that: 13.1. A written request for refund is received by ITU no later than 28 September 2017 (23h59 CET) together with the proof of timely request for visa and the written confirmation from the relevant South Korean authority on non-issuance of visa; 13.2. ITU s receipt of payment (bank transfer or credit card) is provided; 13.3. The Executive Manager of ITU Telecom approves the request for a full refund, at its sole discretion. Provided that all of the above-mentioned requirements have been met, refund will be made as soon as possible but no later than 30 November 2017 (23h:59 CET). Exhibition passes are excluded from refunds. 14. In case the participant has been charged more than once (e.g., technical error, etc.) for the same pass, ITU shall review the request for refund and one hundred percent (100%) of the additional charges for the pass may be refundable provided that the request for refund has been received by ITU in writing no later than 30 November 2017 (23h:59 CET). Exhibition passes are excluded from refunds. 15. ITU s right to cancel registrations shall be without prejudice to any rights, privileges, immunities or facilities to which ITU is entitled, and is subject to the Limitation of Liability provisions below. TRANSFERS 16. Requests for transfer of a pass should be made to the registration team at the email address: registration.telecom@itu.int. 17. Only the Leader, Forum, Forum 1 Day and Exhibition categories of access passes can be transferred. By contrast, none of the following categories of access passes may be transferred: Media, Organizer, Staff, Security and Service Provider.

18. Transfer will not be processed on-site or if badge has already been issued. 19. Transfers of Leader Passes are subject to the prior written approval of ITU Telecom. UPGRADES 20. To request an upgrade, an email must be sent to registration team at the e-mail address - registration.telecom@itu.int; alternatively, requests for upgrades can be made at the registration desks on-site. 21. Only the Forum and Forum 1 Day categories of access passes can be upgraded. The following access passes cannot be upgraded: Leader, Executive, Exhibition, Media, Organizer, Staff, Security, and Service Provider. 22. Upgrades shall be made once the relevant payment has been received in full by ITU. TRAVEL AND OTHER AUTHORIZATIONS 23. Participants are solely responsible for obtaining all authorizations which are necessary (i) to travel to and gain entry into the country where the Event is taking place, as well as (ii) to attend and participate in the Event. Participants are solely responsible for all costs and expenses associated with (a) obtaining such authorizations, and/or (b) attending and participating in the Event; including, without limitation, any visa, permit, travel, meal, accommodation and insurance costs and expenses. ITU shall have no liability or obligation in connection with any such authorizations, costs or expenses, including without limitation in the event of any participants inability to attend the Event due to lack of necessary authorizations. MEDIA 24. By attending the Event, each participant acknowledges and agrees to grant ITU the irrevocable right to record, film, photograph or capture the likeness of such participant and its representatives at the Event in any media now available and in the future developed, and to use, copy, modify, distribute, broadcast or otherwise disseminate at any time and on a global basis such media, without any further approval from or payment to such participant or any of its representatives. 25. Each participant agrees not to bring into the Event any equipment for the purpose of recording or broadcasting sounds, images or video for any purpose other than a private non-commercial purpose, without the prior written consent of ITU. TITLES, ACRONYMS AND LOGOS OF ITU AND THE EVENT 26. The name, title, acronym and logo of ITU and of the Event are the sole property of ITU and shall not be used by any participants or any of their representatives without the prior written authorization of ITU. Subject to compliance with the foregoing, any use of the Event name, title, acronym and/or logo shall be permitted only if such use is in accordance with the conditions for their use, available upon request from ITU, and solely in connection with promotional activities relating to the Event. CHANGE OF VENUE, LOCATIONS, SPEAKERS, AND DATES AND HOURS 27. ITU reserves the right, at any time in ITU s discretion, to change the Venue, location, speakers, moderators, format, content, program, dates and/or hours of the Event or any of its activities. Participants acknowledge and agree that any such action shall not give rise to any liability or obligation of ITU, nor to any claim or remedy by participants.

LIMITATION OF LIABILITY 28. ITU excludes and disclaims all liability and responsibility arising from or relating to any death, personal injury, theft, loss, injury or damage to any and all participants or property at or in connection with the Event. Each participant acknowledges and agrees that such participant assumes the entire risk arising out of or in connection with such participant s attendance and participation at the Event. INDEMNIFICATION 29. Each participant agrees to indemnify and hold harmless ITU, its officials and its agents from and against any and all claims and expenses arising out of or related in any way to his/her Event attendance, any violation of these terms and conditions, any violation of applicable laws and regulations or violations of any third party rights (including proprietary and privacy rights). COLLECTION AND SHARING OF PARTICIPANT DATA 30. Each participant hereby provides his/her consent for the processing and storage by ITU of all contact information submitted to ITU by the participant or by his/her representative in the course of registration (hereinafter, the Participant Data ), for the purpose of managing the participant s registration request and for enabling and facilitating the participant s attendance in the Event (this includes, but it is not limited to the verification of the participant s identity on-site and the issuing of access passes and badges). Each participant acknowledges that, to the extent that it is absolutely necessary, ITU may pass such Participant Data to third-parties who assist ITU in the organization and management of the Event, or provide Event-related services on behalf of ITU. 31. Furthermore, ITU may also use the Participant Data to provide participants with additional information in relation to upcoming ITU Telecom or other ITU events which ITU reasonably believes could be of interest to a participant or his/her organization, and to carry out surveys in relation to ITU Telecom events. Each participant may choose not to receive Telecom events related information by unsubscribing from ITU Telecom newsletters. 32. Each participant further agrees that, in order to facilitate the communication of information which, in ITU s reasonable judgement, may be of interest to Event participants and/or their organizations and for generally improving their experience regarding this Event and future ITU Telecom events, ITU may share with a sponsor of an Event session/activity certain Participant Data (namely, the name, job title, country and entity name of participants attending the specific Event session/activity). The Sponsor will only contact such participants for the purpose of providing supplementary information regarding the sponsorship, the Event session/activity, and/or for enhancing their participation at the Event (e.g. to address questions and requests expressed during or after the Event session/activity or to receive their feedback). Each participant may choose not to have his/her Participant Data communicated by ITU to a sponsor of an Event session/activity, by sending an email to privacy.telecom@itu.int, preferably at the time of his/her submission of registration request to ITU. 33. In addition, each participant agrees to be listed in the Event mobile application ( App ) by default. The App default settings enable Event participants to contact each other directly by email to facilitate networking. If a participant does not wish to receive emails from other participants, he/she can disable the private messaging function in the App under Profile Settings. A participant may ask to be removed from the App by sending an email to privacy.telecom@itu.int. Use of the App is limited only to the Event participants. To facilitate communication between participants after the Event, ITU shall destroy all Participant Data contained in the App database once a new version of the App is launched, and at the latest eight months following the end of the Event. A participant may ask to be removed from the App following the end of the Event by sending an email to privacy.telecom@itu.int. 34. ITU is committed to protecting the security and confidentiality of Participant Data and, to this end, has implemented appropriate technical measures to safeguard Participant Data from unauthorized access and use. MODIFICATION TO THESE TERMS AND CONDITIONS 35. These terms and conditions may be revised and updated from time to time in ITU s sole discretion, with immediate effect upon e-mail notice to Event participants. SETTLEMENT OF DISPUTES 36. Any dispute between an Event participant and ITU arising from, or in connection with, these terms and conditions shall be settled directly and amicably by them through mutual negotiations. In the case of failure of such negotiations, the dispute shall be settled by a sole arbitrator to be nominated at the request of either of the parties by the Court of Arbitration of the International Chamber of Commerce (ICC). The place of arbitration shall be Geneva. The language of arbitration shall be English. The arbitration shall be carried out in accordance with the Rules of Arbitration of the International Chamber of Commerce, as at present in force. The applicable substantive law shall be Swiss law. The arbitrator s ruling shall be binding and final upon the parties and any recourse against this ruling to any court or tribunal shall be excluded. PRIVILEGES AND IMMUNITIES 37. Nothing contained herein or relating hereto shall be construed as a waiver, whether express or implied, of any of the privileges, immunities or facilities which ITU or any of its officials enjoys by virtue of the international agreements and national laws applicable to ITU. ITU hereby expressly reserves all such privileges, immunities and facilities.
