RATES: You will find Escorted Tour rates on your signed contract. All are non commissionable. All Rates are Per Person for the Room type Specified and stated in U.S Dollars. Rates Increase: if prices of fuel and park admissions rise, we will apply an 8% increase to the published rates. In our 2018 brochure you will find three different rates for each tour. SOTTOCOSTO - these are the promo rates that we will offer to the Clients who will publish our in their brochure. SOTTOCOSTO rates have an immediate cancellation fee of USD 99 per pax in case of cancellation on top of the regular cancellation fees (see cancellations & claim) STANDARD - there are the regular rates PREMIUIM - these are the rates that we will apply when buses are almost full, last available seats/rooms SOTTOCOSTO AND STANDARD RATES CAN BE CLOSE AT ANY TIME WITHOUT PREVIOUS NOTICE RESERVATION PROCEDURE Note: All the following information must be included on the request in order to be processed properly: Escorted Tour name (Example: Team Pak East) Exact departure date Number of rooms & room type, Passenger names [first & last] with child s age [if children Included]. Flight info for arrival & departure IMPORTANT: Escorted Reservations are on a Request Basis until confirmed with our Escorted Booking number. Please Include this booking number on all correspondence pertaining to your reservation including pre/post tour requests, changes, additions and cancellations. Teamamerica cannot be held responsible for any miscommunication of services, if the Escorted Booking Number is not on all requests pertaining to each reservation. Also be sure to advise Team America if the passenger is not booked through Teamamerica for tours that Include a transfer, and if Pax are staying at a different hotel. SPECIAL REQUESTS: Any special requests must be noted on the original booking and are on a Request Basis until confirmed including handicapped passengers with wheelchairs or any special needs. Please note all motor-coaches on are NOT wheel chair accessible. If a Special Needs passenger wishes to travel they would need to be accompanied and assisted by another person traveling with them. Teamamerica will not be able provide any Special Needs assistance during the tour. NO TOUR DEVIATIONS: are packages and any deviation from these packages are not permitted. PUBLISHING: We require all our Agents to publish all of our Escorted Tour itineraries together intact. Any deviation from this policy requires pre-authorization and may result in denying of existing bookings. PLEASE NOTE: Transfers are ALWAYS and EVERYWHERE a minimum of 2 pax and 2 pax will always be charged. SINGLE ACCOMMODATION - rates do not Include the minimum 2 pax supplement for transfers. The supplement for transfers are NYC $44 LAX $39 LAS $55 SFO $42 Also, for late arrivals or early pick up time supplements or private transfers will be booked. This information must be received at least 14 days prior to arrival in order for transfers and assistance to be provided. NO SMOKING ALLOWED ON ALL ESCORTED TOURS -- THERE WILL BE A PENALTY FOR SMOKING IN THE HOTELS UP TO $400.00 page 3
CHILD S RATE: The child s rate applies to children 12 years and younger when sharing a room with a minimum of 2 paying adult in existing bedding. For in Canada the child s rate applies to children 11 years and younger when sharing a room with a minimum of 2 paying adult in existing bedding. There is a maximum of 2 children permitted per room referred to as a Family Plan. It is important to clearly state the child s age and date of birth. All of the above requirements must be met to receive special Family Plan rates. A child sharing a room with 1 adult is considered a twin room and invoiced at the regular per person twin rate. We require that children be a minimum of 7 years old when participating in an Escorted Tour. Children of all ages (0-12) are welcomed for the NEW YORKER Tour DEPARTURE CLOSE-OUT OR TOUR DELETION: Teamamerica anticipates all of our tours will run as scheduled. However, due to unforeseen conditions we reserve the right to delete specific departures if required. In the unlikely event a tour is cancelled, Teamamerica will notify the agencies at least 45 days prior to the departure and if there is a possibility to offer passengers an alternate tour. Teamamerica cannot be held responsible for individuals denied on guaranteed tours since close outs may occur [after coaches are filled] and this will be noted on our system as that information becomes available. In the event this situation occurs we will try to offer an alternative to accommodate; but cannot guarantee satisfaction in that event. Bedding Family Plan Rooms, Triples and Quads all contain a maximum of 2 beds. Rooms are defined by the number of people occupying them not by the number of beds. A double room for a couple may contain 1 bed [a King or Queen] so it is required that you specify if twin [2 beds] are required for couples - and there is no guarantee that it can be confirmed. Rollaway: Additional bedding in the form of a Rollaway Bed can be requested [in advance] for an additional charge or on site to be paid directly to the hotel but no guarantees will be made when requested directly. If made in advance to Teamamerica the rollaway is considered on request until confirmed in writing with the additional charge noted. CANCELLATIONS & CLAIMS: Individual Tour Cancellations by Agent. Individual Tour cancellations must be received and confirmed by us a minimum of 35 days prior to arrival date without penalty. Under 34 days from arrival the following penalties will be incurred: 34-22 days incur 20% 21-15 days incur 50% 14-07 days incur 75% 06 arrival incur 100% If a confirmation of the cancellation is not received in writing from Teamamerica it will NOT be considered a cancelled booking and will incur 100% of the tour s charges. REFUNDS: NO refunds will be given for any unused portion of the tour, pre/post nights or any services cancelled during the tour for any reason. page 4
CLAIMS: All claims must be submitted in writing to Teamamerica within 30 days of completion date of the tour. ASSISTANCE: Any assistance requested by passengers [outside of the inclusions of the tour] to Teamamerica or to any of our suppliers [including escorts] will be considered a request for assistance only with the waiver of all liability regardless of outcome. Otherwise no refund will be given. DEPARTURE HOTELS WITH PICK-UP TIMES: NEW YORK CITY - 7:30am LOS ANGELES - 8:15am LAS VEGAS - 8:30 am *Important: It is the Tour Operator s and Clients responsibility to reconfirm the correct hotel information to the passengers and make sure that all suppliers have the correct flight information. Teamamerica is not responsible for schedule changes, flight cancellations etc. Note: It is the agents responsibility to advise passengers of the proper hotel for pick up & drop-off. HOSPITALITY DESK: Provided at the departure hotel prior to departure of tour- see specific itineraries for details. *TEAMPAK WEST: MILLENNIUM BILTMORE hotel - Desk will be placed near the coat check in Main Galleria. AIRPORT HILTON hotel - Desk will be placed in the main lobby in front of Landings Bar *TEAMPAK EAST: RIU hotel - Desk will be placed near the concierge/volatour at the lobby SEAT ROTATION: All tours with Escorts will engage in seat rotation to ensure all passengers enjoy the ride. HOTELS: Teamamerica reserves the right to make changes with or without notice prior to or during the operation of the 2018 due to operational, climatic conditions, or for any reasons beyond the control of Teamamerica. MULTIPLUS PACKAGES - hotel product black out dates or rate supplements may apply. HOTEL CHECK IN PROCEDURES: Upon arrival to most hotels, passengers will be required to provide a credit card (Post Pay Cards are not accepted in USA) at check-in for incidental guarantee. Clients are suggested to arrive already with Us Dollars in their hands (no Euros) in order to be able to pay cash for the tips and the optional excursions. Hotels normally put a $200 hold on the cards which will be released at checkout. Please note the credit may take up to 7 days to post back to their card. ITINERARIES: Please note if the passengers are not given the correct up to date itineraries provided by Teamamerica we will not be responsible for any discrepancies in the itinerary. ITINERARY ALTERATION: Due to weather condition in the National Parks at certain times of the season, we may have to suggest alternative sightseeing or hotel accommodation for the groups. FORCE MAJEURE CIRCUMSTANCES: Teamamerica shall not be held responsible for the consequences of Acts of God, labor disputes, fire, weather conditions, unavoidable accidents, civil commotions, theft, terrorism or any other circumstances beyond the control of Teamamerica. TIPS FOR THE GUIDE & DRIVER: Tips are not Included in the tour and we strongly recommend passengers be advised it is customary to tip an average of $5 per person; per day for guide and $4 per person; per day for driver. Tips are Included in all meals noted as Included in the tour. page 5
GROUP BOOKINGS FOR ESCORTED TOURS: Any booking with a minimum of 5 rooms (or 13 passengers) will require a mandatory deposit of 10% that becomes non-refundable 2 weeks after booking is made. Balance and final rooming list due 30 days prior to arrival. We do not check the accuracy of the information you entered in a booking - We reserve the right to accept, reject or modify your request to purchase Travel Inventory, without notice, at any time and without liability to you. - The prices on the Site clearly indicate the Travel package purchased. It is you or your clients obligation to pay for additional services and/or products. Such additional services/products include, but are not limited to, resort fees, roll-away beds, meals, personal services, insurance, non smoking violation, safe violation or violation on any sort. - You may not use our Site for the purchase of Travel Inventory for an Escorted Tour Group. A Group is defined as more than 5 hotel rooms. We may cancel your reservation without notice and/or liability if you violate this rule. - Your violation of any of the Terms herein or of the Suppliers rules, restrictions and conditions may result in the cancellation of your purchase with no refund, unless specifically noted otherwise within these Terms. We reserve the right, in our sole discretion, to change these Terms of Use ( Updated Terms ) from time to time. SUBSTITUTION: Teamamerica reserves the right to substitute hotels and/or restaurants of equal to or better quality as those mentioned in the itinerary when necessary without previous notification. GENERAL INFORMATION: Baggage & Flights are the passenger s responsibility to confirm & control. In addition Teamamerica is not responsible for any personal property damage or loss to any personal property and/ or charges incurred during the tour outside the inclusions specifically noted. We strongly suggest passengers get Travel Insurance to assist with any problems that may arise. PAYMENT PROCEDURES: Teamamerica requires full payment on prior to arrival. A floating deposit may be required for new clients. Clients with pre-existing FIT accounts may be required provide additional deposits. Invoices for will be issued on the date of the first service.
