Your Benefits Your Benefits reflects current benefit enrollments as of the day you are accessing Benefits@UVa. These elections are pulled from Oracle. If a change is made in benefit elections, once that change becomes effective and entered into Oracle, it will reflect in Your Benefits. Open Enrollment The Open Enrollment link is used to make changes to your benefits that will be effective as of 1/1/XXXX. For academic employees, Open Enrollment is the one opportunity per year where changes can be made to Health Insurance, Vision Insurance and Flexible Spending Accounts (FSA) without a mid year qualifying event. It is also the only time your Health Insurance program can be changed (High to Low or Low to High).
All dependent changes should be recorded under the appropriate plan. Elections Not Yet Submitted to HR Elections not yet submitted to HR will be a holding area for any changes you start in Benefits@UVa, but do not submit. You can access these changes by clicking on the event when ready to complete. EVENTS LISTED WILL NOT BE PROCESSED. YOU MUST SUBMIT THE ELECTION FOR HR TO RECEIVE. Elections Submitted to HR Once you have completed a transaction, it will be listed under Elections submitted to HR and the status will read pending. A benefits counselor will review your submitted election and approve or deny the transaction. If approved, and the event date is in the future, the status will say approved. If approved and the event has already taken place, the change will be reflected in Your Benefits. If not approved the status will say rejected. An email will be sent informing you as to why the change could not be processed.
I would like to make a change to my Actions listed under this section are open year round and can be change at anytime. Some benefit changes will still require paper applications (Life Insurance, Vanguard TDSP, 457 Plan). Complete paper application and return to the Benefits Office for processing. Health Plan Page Rates and plan information are available by clicking on the gray bar. When allowed (open enrollment, new hire and initial enrollment) the Health Program can be elected. Definitions of Program Coverage levels are available by clicking on the title. Click Add New Dependent to enroll a newly eligible dependent. All fields are required.
To complete health plan enrollment and continue to the next benefit election, click Save and Continue. If only changing health insurance, click Save and Finish to reach the submit page. To cancel enrollment, click Return to Home Page Vision Page Rates and plan information are available by clicking on the gray bar. There is only one level of coverage for Davis Vision, so checking the Elect Coverage box will enroll you in the plan. Click Add New Dependent to enroll a newly eligible dependent. All fields are required. To complete vision plan enrollment and continue to the next benefit election, click Save and Continue. If only changing vision insurance, click Save and Finish to reach the submit page. To cancel enrollment, click Return to Home Page
Flexible Spending Accounts Plan information and details on how to use the FSA are available by clicking on the gray bar. Enrollments for the FSA plan will be made using Benefits@UVa. New enrollees will need to enter their direct deposit information on their Chard Snyder personal account which is available shortly after the first payroll deduction. Click Save and Continue to save elections
Tax Deferred Savings Plan Plan information and details on how to use the TDSP are available by clicking on the gray bar. Under Deferral Election, you can choose a flat dollar or % per pay deduction amount. Under Contribution Allocations, you specify which vendor(s) your money should be sent to. If enrolling with a vendor for the first time, click the vendor name to elect the funds you want your money deposited into. TIAA CREF and Fidelity are on line, Vanguard is paper based. Under Contribution Allocation Begin Date, you specify the payroll begin date for the contribution. Click Academic Payroll Calendar to view pay period dates. Next possible pay will set up the account as soon as administratively possible. If waiving coverage, click Waive Coverage box Click Save and Continue to save elections. 457 Deferred Compensation Plan Enrollment in the 457 Deferred Compensation Plan is still a paper based process. You can access the appropriate form Benefits@UVa. If a new enrollee, click 457 New Enrollment Form If an existing member and want to change your per pay period deferral amount, click 457 Payroll Change Form. ALL FORMS MUST BE RETURNED TO THE UVA BENEFITS OFFICE. Cash Match If enrolling in a TDSP or 457 Plan and you met the eligibility requirements, the cash match section must be completed for this employer provided benefit. Chose one vendor for the match. To complete the cash match enrollment and continue to the next benefit election, click Save and Continue. If only changing the cash match, click Save and Finish to reach the submit page.
To cancel enrollment, click Return to Home Page Life and Disability Protection VRS The Life and Disability Protection Page will be customized based upon your retirement program. Optional Life Insurance is a paper based enrollment or change process. APPLICATIONS MUST BE RETURNED TO UVA BENEFITS OFFICE. You can access Long Term Care insurance at any time. Long Term Care is offered through Genworth and Genworth will handle the enrollment. Click Save and Continue to save elections. To cancel enrollment, click Return to Home Page
Life and Disability Protection ORP The Life and Disability Protection Page will be customized based upon your retirement program. Optional Life Insurance is a paper based enrollment or change process. APPLICATIONS MUST BE RETURNED TO UVA BENEFITS OFFICE. Accidental Death and Dismemberment Insurance (AD&D) is offered for employee only or employee and family. Check the appropriate coverage option and then enter the desired benefit amount. Coverage amounts must be in increments of $5,000.
You can access Long Term Care insurance at any time. Long Term Care is offered through Genworth and Genworth will handle the enrollment. Click Save and Continue to save elections. To cancel enrollment, click Return to Home Page Educational Benefits Classes taken eligible for reimbursement using the $2,000 centrally funded education benefit plan are submitted using Benefits@UVa. At least one criteria must be checked. Click Add New Classes to enter your information
Most fields are required. Accurate information is needed to approve a request. Central funding is available up to $2,000 per calendar year. Check your payslip for YTD expenditures. Click Save Class when done. If multiple classes need to be submitted, click Add New Class when returning to the Classes page. Once all classes have been entered, click Continue to complete form.
Check the agree statement and click Save and Continue to complete application. New Hire Beginning January 1, 2011, academic new hires will complete their benefit enrollment using Benefits@UVa. The new hire icon will be accessible from the home page for the entire new hire election period, 60 days except for Research Associates who have a 31 day enrollment window. The elections last saved at the end of your new hire window will be the benefits assigned.
If eligible, you can chose between VRS and ORP. If ORP, make sure to select your vendor and complete the VRS 65 form. The VRS 65 must be returned to UHR Benefits. All other enrollments (health, vision, FSA, TDSP, Cash Match, and 457 Plan) are the same as described above. Life Events Beginning January 1, 2011, life event changes will be processed using Benefits@UVa. Life events allow certain changes to your benefit elections during the year, but you must have a qualifying event. Information on each event is available by clicking the More Information link.
After completing your change, you are required to provide the date of the event for that particular change. The effective date of coverage cannot be processed without this date. Certain life events will also prompt for a justification.
