DD & DE have completed a stock take and 430 items have already been purchased. DD confirmed she will purchase some socks. Cheap mugs needed if anyone spots them and JW
Summer Fayre: - Class stall allocation will decorate them and will also try and source some too. Chocolate items still required YN will look out for some deals. Everyone agreed to sell plants again so JL will speak to Hawley Garden Centre regarding prices and stock. JL to organise the float on the Wednesday prior to the shop opening. There are paper bags left for this shop so no need to buy now but another deal on bags will be required for next year. Thursday help CD, YN, (JW possibly). AD & SW to be approached to help Friday help LP, JL, YN, KW, DD, JW, BS Generally the class stall allocation response was very good with a lot of parents very excited at the prospect! There is still around half of the Class Reps to reply. So far we have: Squirrel Duck game Badger Lucky dip Seal Teddy Bear Tombola Hedgehog Yucky dip Red Fox Ice cream stall Woodmouse Coconut shy - Yr6 Stalls The children seem very excited with running stalls for the second year. JL to discuss finer details with relevant teachers. - Raffle prizes DD has a list of approx 10 raffles prizes so far. Brands Hatch had offered the PTA a choice of 2 dates as a prize and the Committee voted to accept the bikes prize. BS will be listing all of the prizes in the Fayre programme she is drafting. The Committee raised the idea of producing and selling more official looking raffle tickets. For that to happen the PTA /
School will require a gambling license. JL will look into this and report back. We have not had very many enquiries regarding traders for this year s Fayre. Committee all agreed this was not an issue. - Traders - Catering The WI has again offered us their services and will serve the Teas & Coffees and we will provide them with a free advertising slot in the programme. The Scouts have said they are not in a position to arrange and run their own Fayre this year due to other commitments. It was suggested that they maybe be able to either help and assist us on one of our stalls or run one for themselves and keep the proceeds. JL will discuss this with the Scout Leader. The Committee discussed the pro s and con s of hiring candy floss / slush puppy machine as opposed to purchasing them. All agreed that for this year we should look into the best hiring deal and then look into the best purchasing deal for next year. GL advised of the possibility of a free freezer loan from certain ice cream companies if you only stock and sell their items. More research needs to be done on this. Burgers / sausages All agreed to purchase these from Bradley Wishart. JL to look at numbers from last year. Once we have numbers LP can order rolls from Mark Godfrey. It was suggested that on the day we could use several George Forman grills if we can source them to help cook the bacon quickly. Both YN and BS offered the use of theirs. During the week leading up to the Fayre a request for cakes from parents will go out. JL has already organised the TENS application and it is in place. YN will look in Aldi s at their own brand Pimms and price it it. JW will run the bar and will purchase the beer, wine, soft drinks and lemonade for Pimms. JL will first email JW with the amounts purchased and what was left over from last year. LP will visit the South Darenth brewery and price up 1 keg of their own larger and discuss hiring the pump and gas also. YN will purchase the fruit and mint for the Pimms.
- Programme / Advertising BS is doing a great job of drafting the programme. She is currently obtaining quotes for printing costs and provided the Committee with a mock up at the meeting. JW confirmed she needs to chase 3 people regarding advertising monies. The costs are 10 1/2 page and 20 full page. It was suggested that we need proper village signs up (Eynsford / Farningham / West Kingsdown) and around a few weeks prior to the event. All agreed that we would obtain 12 wooden signs that will be placed in the ground with room for A3 laminated signs to be stuck on with the Fayre details. LP confirmed she will get WP to do this for us and he has agreed and is working on it now. BS will work on the laminated signs. GL has confirmed she will draft a Thank you certificate and a covering letter for the children to complete to be sent to all parties that have helped or donated in some way. ARPS will provide the usual Country Dancers. DVMG will put on a 30 minute performance. The Hextable Dance Act teacher has approached us and said they would like to perform for us. In order for this to happen they have certain requirements regarding times / slots / space etc so JL will discuss all details with the dance teacher. - Entertainment Sports day DD is organising the Balloon race and will talk to Kate Ireland regarding a net or the like to hold the balloons in whilst we await the release. It will need to hold 500
Disco ABBA Night balloons. A team of people will be required to tie the balloon knots first thing in the morning during set up time. Set up will be from 8am. Date booked for 27 June. DJ booked JW will do a glow stick order. Help so far on the day is JL, DD, JW, BS, KW (KS2) & SS. A shopping date has been set for 23 June and this will be for both the Disco and Sports day. JL & YN will do the shopping. We have waited until after the Fayre to see what we have left. DM suggested an ABBA themed family evening event and everyone agreed it was a great and different idea. There could be bouncy castles, a bar and families can take their own picnics. DM has briefly looked into an ABBA Tribute band (ABBA Chic) and into the prices for a covered stage. She will continue with research and report back to the Committee. New Chair Shed quotes JL confirmed that she will not stand for the position of Chair at the next AGM. However she will continue to stay on the Committee to carry on assisting with the great work they do as a team. All to have a think over the next few months for new chair position. A quote was obtained from Mr Lemon and was deemed expensive. Kate Ireland is running the shed project. There will be one large shed with a middle
Registration for Christmas Card Scheme Requests from staff Date of next meeting partition. KW & GL have said they will research some shed prices online. Wrotham sheds have quoted us 3043 and Hawley Garden Sheds have quoted 4000. So if a better deal is not found we will go with Wrotham Sheds. Andy Cuthbertson will again provide us with a concrete base and will require the assistance from any willing parents. All agreed they are happy for us to again run the card scheme and to use the same Company as last year. The Service they provided was very good so JL will start the process off again and register us.
