Payroll Employee File Maintenance Payroll employees will be entered as they have been entered in the past. There will be a few changes as noted below: 1. The Job Title field which has been locked will become a free write field which will not be validated. 2. The employees Hire Date will be read only after the employee is entered. 3. If an employee is active, the Rehire Date will not be accessible. 4. If an employee is inactive, Termination Date and Termination Reason Code fields will not be accessible. 5. Layoff Date will no longer be used; Termination Date will be used with a Termination Reason Code of Layoff. 6. The Adjusted Service Date will be locked. 7. The Position field will have a lookup; the field will be validated with OA. 8. Employee Class has been added to the Profile Info tab will have a lookup and will be validated with OA. Error Message after entering a New Employee in Ti If you receive the error message below, this means that the employee did not sync with OA HR. Generally, this is due to a new code that has been set up in Ti, but not in OA. Typical Codes include: 1. Termination Reason Code 2. Position 3. PR Department (Division) 4. PR Location 5. PR Union 6. States* 7. Localities* 8. Workers Comp Codes* 9. Tax Authority Configuration* NOTE: These File Maintenances must be set up in the order that they appear. Termination Reason Codes are Lookup Codes that can be set up either in Payroll or Human Resources. Follow either one of the following links: 1. Payroll->Global Setup->Lookup Codes 2. Human Resources->HR Maintenance->Lookup Codes After accessing Lookup Codes, choose the appropriate parameter using the drop down under Selector- >Lookup Type and apply the filter by clicking on the apply filter icon [CTRL]+[Shift]+A. Lookup Code File Maintenance When creating a new Lookup Code, you must enter a Code and Description. Department file maintenance is accessed as follows: Payroll ->Company Setup->Department Maintenance. Department Maintenance When you are not using OA Payroll, the only required field for entry of a new Department is the Code, although it is advised that you also enter an associated description. Locations Maintenance When creating a new Location, the only required field is the Code, although it is advised that you also enter an associated description. Union file maintenance is accessed as follows: Payroll ->Global Setup->Unions. Union Maintenance The unions available to you in Employee file maintenance are determined by Union Branch security. State file maintenance is accessed as follows: Payroll ->Global Setup->US Specifics->States. State Maintenance When creating a new State, the only required field is the State, although it is advised that you also enter the State Name. Localities file maintenance is accessed as follows: Payroll ->Global Setup->US Specifics->Localities. Localities Maintenance When creating a new Locality, enter the locality code, name, state and type. Valid locality types are City, County, and School. Comp Code file maintenance is accessed as follows: Payroll ->Global Setup->US Specifics->Comp Codes. Comp Codes Maintenance When creating a new Comp Code, the only required field is the Comp Code, although it is advised that you also enter the Description. Tax Authority Configuration is accessed as follows: Payroll ->Company Setup-> Tax Authority Configuration. Tax Authority Configuration ***IMPORTANT INITIAL IMPLEMENTATION NOTE: Enter Federal after you have entered all States and Localities. Enter the Tax Authority Type: Federal, State or Locality Enter Tax Authority: Available options will depend on the type. For example, if the Tax Authority Type = State, only states that have been entered in State file maintenance will be available choices. Construction Industry Solutions, 08 June 2011 Page 6
Tax Authority Configuration (Cont.) Effective Date: Enter the effective date of the tax rates. If you are not using OA Payroll, it is not necessary to update the tax authority file when the rates change. Tax Authority Description: Enter an appropriate description. Employer ID: Enter your employer tax ID number for this taxing authority. Locality Type: Automatically fills in using the locality type for the locality. When setting up a new state, you must go into the saved record and set up Comp Codes that apply to that state. Use the folder icon to open the record, and then click on the State Comp Codes tab.
