TERMS & CONDITIONS FOR PROVIDING SUPPY OF SERVICES FOR STUDY TOUR FOR STUDENTS OF GOVT. HIGH SCHOOL SURANGI UNDER RASHTRIYA MADHYAMIK SHIKSHA ABHIYAN, SILVASSA No. GHS/SURANGI/RMSA/Study Tour Outside UT/2014-15/236 Date: 06.01.2015 1. The rates quoted must be valid for three month. 2. Journey shall be performed by Road through the rout indicated in the Schedule. 3. The rate must be quoted PER STUDENT (including 08 nos. escort staff) inclusive of all the services i.e. Bus hiring charges, Lodging & Boarding, fuel charges, oil, all taxes (including toll) and other maintenance charges. 4. All the vehicles must have one cleaner, assistant with the driver (with valid HMV license). 5. The vehicle will be used for 04 days and will be in possession of Govt. High School, Surangi, UT. of Dadra & Nagar Haveli. 6. The agency must have enough experience for conduct travel and tour. 7. The vehicle must have fitness certificate and all the seats and windows etc be in prefect manner. 8. The agency should be in position to provide alternative vehicle on very short notice at Silvassa or at any other place indicated in the tour / route. 9. The agency should be in position to provide alternative driver or cleaner as per the requirement arises at Silvassa or any other place of the tour / route. 10. The food must be freshly prepared and to be served hot under clean and hygiene conditions. 11. The boarding facility should be good and all the bed and mattresses be in perfect condition with the clean and washed bed sheets and pillows. 12. The boarding facility should have appropriate toilets and bathrooms in clean and hygiene condition. 13. The vehicle must reach the venue of depart at least two hours before the scheduled departure time and the driver and cleaner should be available to have a photograph with the bus at the venue. 14. Tender received after the due date and time will not be taken into consideration. 15. No advance payment will be made in any circumstances. 16. All bills should be in duplicated /triplicate and shall invariably mention the number and date of supply order. 17. The envelop should comprise all mandatory documents with full technical specifications, Tender Form, bid security (i.e. EMD), Registration of Firm, last three years Return of Income Tax, confirmation to all Terms & Conditions of Tender and Price Bid. 18. The tender will be opened in presence of suppliers or their representative if possible. 19. R.T.O documents and Insurance Papers should be in valid condition. An attested copy of the same has to be submitted. 20. The single rate per student should be quoted otherwise tender will be rejected. 21. The decision of the Tender Inviting Officer for acceptance / rejection shall be final. 22. The tenderers should send in advance or enclose along-with tender an amount of `5,300/-(Rupees Five Thousand Three Hundred only) as Earnest Money Deposit in form of FIXED DEPOSIT / DEMAND DRAFT drawn on any scheduled bank in favour of the SMDC Surangi Tenders received without Earnest Money will be summarily rejected. 23. However, in case if any articles are received for which the Security Deposit may not have been deposited, the full Security Deposit as may be due from the supplier will be recovered from the bill(s) for such articles.
24. The amount of Earnest Money Deposit paid by the tenderer(s) whose tenders are not accepted will be refunded to them by Cheque or Demand Draft (as may be convenient to the Tender Inviting Officer, if the amount is above `. 5,000/- drawn on any branch of State Bank of India or its subsidiary Scheduled Bank, where this mode of payment is not possible the amount will be refunded at the cost of the tenderer. No Security Deposit will be refunded before completion of tour. 25. The Chairman will consider extension of time limit for remitting the Security Deposit as demanded. However, in case of denial to consider such extension the supplier is bound to abide by the limit given and liable to make good any loss to the Government of account of his failure to abide by the time limit. 26. The Earnest Money(s), Security Deposit(s) paid by the tenderer(s) earlier against any tender(s) or supply order(s) is / are not adjustable with Earnest Money or Security Deposit required by these conditions. 27. All bills should be in TRIPLICATE and shall invariably mention the number and date of supply order. 28. The right to accept or reject without assigning any reasons any or all tenders in part or whole is reserved with the Tender Inviting Officer and his decision(s) or all matters relating to acceptance or rejection of the tenders as a whole or in part will be final and binding to all. 29. The tender/offers received which do not confirm with the terms & conditions of this office will be summarily rejected. 30. If the Tenderer, whose tender is accepted and fails to provide the services within stipulated time the Earnest Money Deposit of such tenderer will stand forfeited by the Government. 31. In case the contractor does not provide the services in full, placed with him, the E.M.D. of the supplier will be forfeited by the Government and the Contract for the supply shall stand terminated with no further liabilities on either party to the Contract. 32. No separate agreement will be required to be signed by the successful tenderers(s) for the providing services.
