Introduction This guide provides information on using Client Bookkeeping Solution (CBS) Accounts Receivable and its optional credit card processing feature. This guide also provides a brief overview of the features and functionality of the credit card processing feature and detailed information about credit card setup and processing for Client Bookkeeping Solution Accounts Receivable users. Note: This guide assumes that your accountant has enabled the optional credit card processing feature for your CBS software and that you have already reviewed the Client Bookkeeping Solution Tutorial and the getting started guides for CBS CheckWriter and CBS Accounts Receivable. Overview of the credit card processing feature The credit card processing feature of CBS offers a seamlessly integrated way to process your CBS Accounts Receivable credit card payments. Using this feature, you can process and manage customer payments made via Visa, Master Card, Discover, and American Express. CBS submits the payment records via CS Payment, a secure online service that stores customer credit card information, to InterceptEFT for settlement and records the status of the submission in the company database. Disclaimer: InterceptEFT is an unaffiliated third party that some of our customers have engaged to provide direct deposit, tax payments, ACH processing, or credit card merchant services. Using your InterceptEFT account on their website, you can confirm settlement, view and download reports, and receive your payments from the credit card companies. Advantages CBS allows you to automatically transmit credit card payment information to InterceptEFT. You can use any supported keyboard emulation Magtek credit card swiper models to read credit card data directly into CS Payment. See the Manually entering or swiping credit card information section on page 14 for a list of supported swipers. CBS Accounts Receivable Guide to Credit Card Processing 1

Introduction CBS credit card processing users with an established internet connection never need to purchase or use any additional software for file transmission. All transmissions of electronic files are made directly from your Client Bookkeeping Solution Accounts Receivable software to CS Payment and then to InterceptEFT. InterceptEFT provides daily file confirmations, transaction reports, detailed statements of transaction processing, and free technical support. Establishing services with InterceptEFT Before you can start submitting credit card information to InterceptEFT, you must first fill out and submit the required forms to establish a relationship with InterceptEFT. To obtain copies of these forms or to discuss any questions that you may have about the application process, processing services, and fee schedules, contact the InterceptEFT Sales Department via telephone (800-378-3328) or email (sales@intercepteft.com) and let them know that you are a Client Bookkeeping Solution user. When all your questions have been addressed, complete the applicable forms and submit them to InterceptEFT by mail, fax, or email. Setting Up CBS for Credit Card Processing CBS does not store actual credit card information in the company database. The credit card information is stored on the secure CS Payment website. However, you must set up CBS to accept and process the credit card information. After you select the appropriate security options in CBS, you can create an account in CS Payment. Selecting security options You must select the appropriate security options to enable the credit card processing feature for your CBS company database. Note that your accountant may have completed the security setup for you. 1. In CBS, choose File / Security, and then click the Accounts Receivable tab. 2. From the Description field, select the user classification for which you want to enable credit card processing feature. 3. Mark the checkbox for the specific functionality to enable for the selected user, including the following: Enable Credit Card Processing Customer Credit Cards Submit Credit Card Payments CBS Accounts Receivable Guide to Credit Card Processing 3

(Optional) To have CBS automatically submit your credit card payments each time you save a final credit card payment transaction, mark the Submit credit card payment on save from AR Transactions checkbox. Note: You can override this setting for a specific data-entry session by clearing the Submit credit card payments on save checkbox in the Receivable Data Entry Options dialog (accessed by clicking the Options button in the Receivable Transactions window). This option affects only manually entered payment transactions; it does not apply to refund transactions. If you use a memorized transaction to create the credit card payment, or if you use the Tasks / Batch finalize dialog to update pending transactions, CBS will queue those payments for batch submission to InterceptEFT. To submit these credit card payments in batch, choose Tasks / Submit Credit Card Payments. 4. Click the Manage CS Payment button. CBS Accounts Receivable Guide to Credit Card Processing 5

Setting Up CBS for Credit Card Processing 5. In the Manage CS Payment dialog, click the Create Account link in the bottom, left corner. 6. In the Create CS Payment Account screen, select a login ID and password to use for this account, and enter that information in the appropriate fields. Also, enter name and email address information. 7. Click the Save button and then the Close button. CS Payment automatically sends an email message to the address specified in the Email Address field. 8. When you receive the email from CS Payment, click the link contained in the email to activate your account. 6 CBS Accounts Receivable Guide to Credit Card Processing

Setting Up CBS for Credit Card Processing Adding customer credit card information 1. Choose Setup / Customers, and then click the Credit Card tab. 2. Select the customer for whom you want to add credit card information. 3. Click the Manage credit cards button. 4. In the CS Payment login screen, enter your login ID and password, and then click the Login button. 5. On the Credit Cards tab in CS Payment, click the Add Card button. 6. Enter or swipe the applicable credit card information, and then click the Save button. CBS Accounts Receivable Guide to Credit Card Processing 7

Setting Up CBS for Credit Card Processing 7. Repeat steps 5 and 6 to enter or swipe information for additional credit cards for this customer. 8. When you have finished entering credit card information for the selected customer, click the Sign Out link in the upper, right corner, and then close the Manage Credit Cards dialog. Note: You can close the Manage Credit Cards dialog without signing out of CS Payment to work in CBS while maintaining the connection to your CS Payment account. The program will automatically log you out of your CS Payment account after 15 minutes of inactivity. 9. The Customers window now shows the credit card information. Note that CBS does not display the full credit card number; instead it displays the credit card vendor and the last four digits of the credit card number. 8 CBS Accounts Receivable Guide to Credit Card Processing

Setting Up CBS for Credit Card Processing The Cardholder Name, Card Number, Expire Month, and Expire Year fields are read-only. Any changes to this information must be made in CS Payment. 10. Mark the Default checkbox associated with the credit card for CBS to use as the default credit card for new credit card payments for this customer. 11. Click the Details button to open the Credit Card Billing Details dialog. CBS retrieves this information from the Billing Address, City, State, and Zip Code fields in CS Payment. You cannot edit the information in these fields. Any changes to the address information must be made in CS Payment. CBS Accounts Receivable Guide to Credit Card Processing 9

Setting Up CBS for Credit Card Processing Adding credit card information on the fly You can add credit card information on the fly from the Receivable Transactions window. 1. Choose Tasks / Receivable Transactions, and then select R Credit Card, PMT from the drop-down list in the Type field. 2. Select the customer for whom you want to enter a credit card payment. 3. On the Payment Information tab, select <New Credit Card> from the dropdown list in the Credit Card Vendor field. 4. In the Manage Credit Cards dialog, enter your login ID and password, and then click the Login button. Note: If you logged in to your CS Payment account during this session and closed the Manage Credit Cards dialog without signing out, you may still be logged in and will therefore not be prompted to log in. CS Payment will automatically log you out of your account after 15 minutes of inactivity. 5. On the Credit Cards tab in CS Payment, click the Add Card button, enter or swipe the applicable credit card information, and then click the Save button. 6. Click the Sign Out link in the upper, right corner, and then close the Manage Credit Cards dialog. The Credit Card Vendor field now displays the credit card vendor and the last four digits of the credit card number. 7. Working with Credit Card Transactions In the Tasks / Receivable Transactions window, you can enter credit card payment transactions. You can create a new credit card payment transaction, or you can apply a credit card payment to an open invoice by navigating to the invoice and entering the payment information on the Applied Payments tab. There may be times when you need to issue a refund to a customer. CBS Accounts Receivable allows you to put the refund amount on a customer s credit card. Once you have entered credit card transactions, including refunds, you can submit the transactions to InterceptEFT via CS Payment for processing. Creating a credit card payment transaction 1. From the CBS main window, choose Tasks / Receivable Transactions. 2. Select R Credit Card, PMT from the drop-down list in the Type field. 3. Select the ID of the customer who is making the payment. 4. On the Payment Information tab, enter the payment amount and discount taken (if applicable) in the applicable fields. 5. From the drop-down list in the Vendor Credit Card field, select the credit card to use. If you marked the Default checkbox for a credit card in the customer record, CBS automatically selects that card, but you can select a different card, select <New Credit Card> to enter a new credit card on the fly, or select <Manual Entry / Swipe Payment> to enter or swipe information that will not be stored in CS Payment. Working with Credit Card Transactions Note: The drop-down list for the Credit Card Vendor field includes the following: Entries from the Credit Card Vendors user-defined list. All credit cards entered in CS Payment and listed on the Credit Card tab of the customer record. <New Credit Card>, which opens the Manage Credit Cards dialog, where you can log in to your CS Payment account and enter the customer s credit card information. <Manual Entry / Swipe Payment>, which opens the Manage Credit Cards dialog, where you can log in to your CS Payment account and enter or swipe the customer s credit card information. CBS will display all manually entered and swiped credit cards as *.XXXXXX in the Credit Card Vendor field. See the Manually entering or swiping credit card information section on page 14 for details. 6. Save the payment transaction. Manually entering or swiping credit card information CS Payment allows you to manually enter or swipe a customer s credit card without storing that credit card information in CS Payment. This credit card information will be used for this payment only; it will not be saved in CS Payment with the rest of the customer s credit cards. Working with Credit Card Transactions Use the following procedure to manually enter or swipe a customer s credit card information. 1. Choose Tasks / Receivable Transactions and select R Credit Card, PMT from the Type drop-down list. 2. Select the ID of the customer who is making the payment. 3. On the Payment Information tab, enter the payment amount and discount taken (if applicable) in the applicable fields. 4. From the drop-down list in the Vendor Credit Card field, select <Manual Entry / Swipe Payment>. 5. CBS requires you to finalize and save the transaction before submitting the information to CS Payment. Click Yes at the prompt if all information is correct. 6. In the Manual Entry / Swipe Payment dialog, log in to your CS Payment account. 7. Enter or swipe the customer s credit card information. 8. Click the Continue button. Verify the information in the Payment Summary, and then click the Submit Payment button. CBS Accounts Receivable Guide to Credit Card Processing 15

Working with Credit Card Transactions 9. Close the Manual Entry / Swipe Payment dialog. 10. CBS displays all manually entered and swiped credit cards as *.XXXXXX in the Credit Card Vendor field. Applying a credit card payment to an open invoice 1. From the CBS main window, choose Tasks / Receivable Transactions. 2. Select the open invoice to which you want to apply the credit card payment. 3. Click the Applied Payments tab. 4. Enter the date and Reference #. 5. Select R Credit Card, PMT in the Type column. 6. From the drop-down list in the Vendor field, select the credit card to use or select <New Credit Card> to enter new credit card information for the selected customer. If you marked the Default checkbox for a credit card in the customer record, CBS automatically selects that card. You can enter a new credit card or select a different card if necessary. Note that credit card swiping is not available in the Vendor drop-down list when applying payments to an invoice. 16 CBS Accounts Receivable Guide to Credit Card Processing

Working with Credit Card Transactions 7. Enter the discount taken amount and the amount applied if the payment will be less than the open balance. 8. Click Save to create the payment and optionally submit it to InterceptEFT via CS Payment. For information on entering a credit card payment transaction, search on Credit card payments:entering in the Receivable Transactions window from the Index tab of the CBS Help Topics dialog. Setting up a memorized credit card transaction You can set up a memorized credit card transaction in the Tasks / Receivable Transactions window. If you select <Default Credit Card> from the Credit Card Vendor field on the Payment Information tab, CBS will handle the transactions as follows when creating a transaction from the memorized transaction. If you select a customer for whom a default credit card has been specified, CBS will use that credit card data for new credit card transactions. If you select a customer for whom a default credit card has not been specified, CBS will create a transaction with no credit card vendor information. If you select multiple customers and a default credit card is not specified for any of those customers, CBS will create a transaction with no credit card vendor information for those customers. For additional information, search on Receivable Transactions window:payment Information tab from the Index tab in the CBS Help Topics dialog. Working with Credit Card Transactions Issuing a credit card refund If you need to give a customer a refund for a credit card payment that was successfully accepted by InterceptEFT, you can choose to issue a credit to the customer s card. CBS limits refund amounts to the total of the original payment amount and creates each refund as a separate transaction. When creating refund transactions in CBS, keep the following in mind: CBS applies the refund amounts to the source unapplied payment transaction. Note that InterceptEFT will not process a credit until the source payment transaction has been settled. It is recommended that you wait at least 24 hours after submitting a payment before requesting a credit refund for that payment. For more information, please contact InterceptEFT. During the refund process in CBS, you must select a checkbook for CBS to issue the refund. CBS will create an Other Payment transaction for the refund in the selected checkbook. You can then submit the refund to InterceptEFT via CS Payment as a credit card credit transaction for processing. CBS does not allow you to unapply a refund, and the refund transaction will always have an open balance of zero. The Submit credit card payment on Save from AR Transactions (on the Accounts Receivable Data Entry tab of the File / Company Properties dialog) and Submit credit card payments on save (in the Receivable Data Entry Options dialog) settings apply to payments only. You must use the Tasks / Submit Credit Card Payments dialog to submit refund transactions. For additional details, search on Credit card refunds from the Index tab of the CBS Help Topics dialog, and then select the help topic to view. Issuing a refund for an unapplied payment Follow the steps below to issue a customer refund for an unapplied payment. 1. In the Receivable Transactions window, select the unapplied payment for which you want to issue a refund. 2. Choose Edit / Issue Customer Credit/Refund. 3. In the Unapplied Payment Refund dialog, enter the refund date, amount, and type (which defaults to the original payment type), and select the checkbook to use for the refund transaction. 18 CBS Accounts Receivable Guide to Credit Card Processing

Working with Credit Card Transactions 4. Click the Refund button. CBS creates a refund transaction and applies it to the unapplied payment. 5. If this credit card payment was originally submitted to InterceptEFT, it will now be available in the Tasks / Submit Credit Card Payments dialog. You can submit the refund transaction to credit the customer s account. Note: You can use the Edit / Unapply Payment Applications command to refund an applied payment. Issuing a refund for an invoice item 1. In the Receivable Transactions window, select the invoice for which you want to issue a refund. 2. Choose Edit / Issue Customer Credit/Refund. 3. In the Select items to credit dialog, enter the number of items returned and the refund amount for each applicable invoice item. 4. Enter the refund date in the Credit Memo / Refund date field, mark the Issue Refund checkbox, and then click the Next button. CBS Accounts Receivable Guide to Credit Card Processing 19

In the Select payments for customer refund dialog, mark the checkbox associated with the payments to include in the transaction, select the applicable refund type from the Refund Type column, and enter the amount of the refund (if you will not be refunding the entire payment). Notes The Credit Card option will be available in the Refund Type drop-down list only if the original payment was submitted to InterceptEFT and accepted. The refund amount is limited to the total credit memo amount. 6. Select the checkbook to use for the refund transaction. 20 CBS Accounts Receivable Guide to Credit Card Processing

Working with Credit Card Transactions 7. Click the Next button. CBS will create a credit memo for the refund items and the applied refund transaction. 8. If this credit card payment was originally submitted to InterceptEFT, it will now be available in the Tasks / Submit Credit Card Payments dialog. You can submit the refund transaction to credit the customer s account. Creating a credit card refund transaction from a new record 1. In the Receivable Transactions window, highlight (New Receivable Transaction) in the listview pane to open a new transaction record. 2. Choose Edit / Issue Customer Credit/Refund. 3. In the Select customer for credit dialog, select the customer to whom you are issuing the refund, and then click the Next button. 4. In the Select Items to Credit dialog, enter the number of items returned and the refund amount for each applicable invoice item. 5. Enter the refund date in the Credit Memo / Refund date field, mark the Issue Refund checkbox, and then click the Next button. 6. In the Select Payments for Customer Refund dialog, mark the checkbox for the payments to include in the transaction, select the applicable credit card from the Refund Type column, and enter the amount of the refund (if you will not be refunding the entire payment). Note: The refund amount is limited to the total credit memo amount. 7. Select the checkbook to use for the refund transaction. 8. Click the Next button. Working with Credit Card Transactions 9. If this credit card payment was originally submitted to InterceptEFT, it will now be available in the Tasks / Submit Credit Card Payments dialog. You can submit the refund transaction to credit the customer s account. Submitting credit card transactions Once you have created the credit card transactions in CBS, you can submit them to InterceptEFT via CS Payment for processing. If you marked the Submit credit card payments on save from AR Transactions checkbox on the Accounts Receivable Data Entry tab of the Company Properties dialog or the Submit credit card payments on save checkbox in the Receivable Data Entry Options dialog, CBS will submit credit card payment transactions immediately upon saving final credit card payment transactions. 1. From the CBS main window, choose Tasks / Submit Credit Card Payments. The Submit Credit Card Payments dialog opens, displaying all credit card payments and credits that are available to submit to InterceptEFT for settlement. 2. By default, CBS selects all available transactions to submit. Clear the checkbox for any transaction that you do not want to submit at this time. Note: You can filter the list of transactions by marking the Include future-dated transactions checkbox. Regardless of the date entered on the transaction in CBS, InterceptEFT will attempt to settle all submitted transactions immediately. 3. Click the Submit button to send the transactions to InterceptEFT via CS Payment. If prompted, enter your User ID and password. CBS displays the InterceptEFT response for each transaction in the grid. If InterceptEFT receives and accepts a credit card payment, CBS removes that transaction from the Submit Credit Card Payments dialog. If InterceptEFT sends an accepted response for all submitted transactions, CBS closes the dialog when the process is complete. If InterceptEFT declines any transactions (or if any other error occurs), those transactions will remain in the Submit Credit Card Payments dialog, along with the InterceptEFT response for those transactions. The Credit Card Vendor field remains enabled on the credit card payment transactions so that you can update the transaction as needed by selecting a different credit card to use for the payment. 22 CBS Accounts Receivable Guide to Credit Card Processing

Working with Credit Card Transactions Note: After you submit transactions to InterceptEFT, you can view the InterceptEFT responses at any time using either of the following methods: In the Receivable Transactions window, select the credit card transaction you submitted to InterceptEFT, and then click the Event Log tab. CBS lists the response in the Description column and any additional detail provided by InterceptEFT. Print the Invoice/Payment List report for the credit card payments in Detail format with the Event Log checkbox marked. The report lists the response in the Description column. Once InterceptEFT accepts a payment, the Credit Card Vendor field is no longer available to edit in the payment transaction record. It is recommended that you monitor your account activity with InterceptEFT to ensure proper and timely settlement. You can deposit submitted credit card payments as usual. For information on submitting credit card payments to InterceptEFT, search on Credit card payments:submitting to InterceptEFT from the Index tab of the Help Topics dialog. Adding credit card information to invoices and statements When printing invoices and statements for your customers, you can include credit card information by inserting either of the following variables in the layout. Cardholder Name. This is a repeating variable. For Credit Card type payments, CBS uses the data from the Cardholder field on the Credit Card tab of the Customers window. CBS displays a blank for all other types of payments. Credit Card Vendor. This is a repeating variable. For COD and Credit Card type payments, CBS uses the data from the Credit Card Vendor field on the payment record (or blank if the field is blank). Reviewing Credit Card Information It is important that you monitor credit card payment activity for your company database. You can generate several CBS Accounts Receivable reports and access the InterceptEFT website to review transaction activity. CBS Accounts Receivable reports When the current user has access to the credit card processing feature, the following accounts receivable reports include options for printing credit card information. Customer List To include an optional section that details the credit card information, click the Detail option in the Format group box, and then mark the Credit Card checkbox in the Detail to include group box. You can then choose to view the credit card detail for all credit cards or for the default credit card only. The report includes the cardholder name, cardholder address, credit card type with the last four digits of the card number, the expiration month and year, the data-entry method selected, and the default status. Reviewing Credit Card Information Memorized Transaction List To include an optional section for the credit card information, mark the Customer Credit Card checkbox in the Detail to include group box. The report displays the customer credit card information associated with the selected memorized transaction(s), including the customer ID, cardholder name, card type with the last four digits of the card number, the expiration month and year, and the data entry method selected. If a memorized transaction does not have any associated credit card information, the report will not include this section on the report. Invoice / Payment List To include only those transactions for which the customer used a specific credit card (as set up on the Credit Card tab of the Customers window), select Intercept Credit Card from the drop-down list in the Transaction type field. (If you select Credit Card from the Transaction type drop-down list, the report will include all credit cards both user-defined and specific customer credit cards). If you select Credit Card Type from the Print Order drop-down list, the report groups the transactions by credit card type. If you select Credit Card Vendor from the Print Order field, the report will group the transactions by the data entered in the Credit Card Vendor field in the transaction record. Submit AR Credit Card Transactions report To view a list of credit card transactions that are ready for you to submit to InterceptEFT, choose Tasks / Submit Credit Card Payments. In the Submit Credit Card Payments dialog, click the Preview button. Reviewing Credit Card Information Event Log To view the Event Log report for any receivable transaction, click the Preview button on the Event Log tab of Tasks / Receivable Transactions. The report includes all of the information from the Event Log tab. If the event log includes any credit card payments that were rejected by InterceptEFT, this report includes information from the Event Detail dialog, which lists details about the attempted payment submission. If you mark the Event Log checkbox in the Invoice / Payment List print options dialog, the report will include this same information. InterceptEFT website It is highly recommended that you review your credit card transactions often to confirm they are settled. If InterceptEFT declines a submitted payment, you can void, delete, or edit the transaction in CBS to use a different credit card, if available. InterceptEFT does not provide settlement status to CBS; therefore, CBS Accounts Receivable considers all transactions to be depositable payments, regardless of their status with InterceptEFT.
