Installing the program The installation procedure is printed on the cover of each installation disk case, but here are a few pointers just in case. In order to install Draftworx on your computer (new installations will automatically run for 15 days in demo mode) please follow this procedure: Insert the installation DVD and double left-click on autorun.exe Select 'Install Draftworx' Run through the installation clicking on 'Next' when required. There is no need to change any settings along the way - simply click on 'Next' when prompted. Once you have successfully completed the installation procedure, please open Draftworx by doubleclicking on the Draftworx shortcut which you should find on your desktop. Complete the details page and click on 'Install Demo' to install a demo version of the program - or type in your activation code if you have been issued with one - and select Activate Licence Code. At the Draftworx Settings screen, please replace Draftworx User with your user's name in the Display Name field, and record your email address in the Email Address field. Complete other fields as required and click on the Save button (top left). If you have any hassles at any stage, please send an email with a quick explanation (exact error messages, codes, etc are always very helpful) to support@dataprime.co.za. Activating the program Please install the program (if you have not already done so) by running your Draftworx installation disk (see previous section). Open Draftworx and select the second smaller Draftworx icon next to 'File' at the top left hand corner of the screen. This will open the Draftworx Licence Manager screen. Please complete your details and type in your activation code which you will have received from Data Prime (Pty) Ltd into the activation code field and select 'Activate Licence Code'. At the next details screen, please type in your Display name, i.e. replace 'Draftworx User' with your first name and surname, or initials and surname - and record your email address in the Email Address field). Complete other fields as required (name of your auditing firm, address, place of signature, etc) and select the Save button (top left). If you are not able to open Draftworx or navigate to the Licence Manager screen, using Windows Explorer, locate the file Draftworx.dlsc in the Draftworx directory (the path will be C:\Program Files\Data Prime\Draftworx) - and delete it. Close Explorer and open Draftworx by double-clicking on the Draftworx shortcut which you will find on your desktop. Getting going Training videos Excellent training videos are included and these are easily accessible from the main client screen. Financials - Notes 1.11. Financial statements - Preview and tools It is a very good idea to run through these training videos as they will be a great help getting you started. Filter bar A key feature in Draftworx is the green filter bar. Type your search criteria into the Client, Year End or Entity Folder fields. It is possible to filter on multiple criteria. If the green filter bar is not visible, then you are probably not in Advanced User mode. In order to get into Advanced User mode, select the Advanced User button. If the Advanced User button is not visible, double left-click on the Options tab. Click in the Enter New Company Here field, type in company name and tab to next field, type in or select year from pull-down and tab to next field, then select template from the pull-down and hit the Enter key. Client setup Select Client setup as follows: At this screen, type in Company Name and record names of directors, shareholders, members, etc. Very straight forward - also include nature of business, and select single year reporting, etc if applicable. Financial data Working trial balance - Importing Select Financial Data > Working Trial Balance. The next step is usually to import a trial balance. Click on the Import Spreadsheet button. Locate your trial balance and double left-click on it. This will open the Import window. D r a f t w o r x b y D a t a P r i m e ( P t y ) L t d Page 14

Selecting your data could not be simpler. All you need to do is click on Assign Account, then click on the first account number in your list as indicated by the arrows above. Repeat this procedure for account name and opening debit and opening credit balances. Select Import when done. For the first year on Draftworx, you will need to import prior year data (if applicable). Follow the same import procedure as outlined above. If amounts appear in a single column (debits + and credits -) then allocate this as the debit column, i.e. disregard the Assign Opening Credit button. Working trial balance - Linking Select your current year (see arrow above) and your working trial balance will indicate opening balance, a column for current year adjustments, final figures and prior year final figures. The quickest way to link your accounts which is the next step in the process is to select the Show / Hide Link Numbers (Quick Assign) button. All Link numbers have a prefix. ca = current assets i = income is = income secondary (other income), and so on. Use the green filter bar to locate the link required, and double left-click on it. This will assign the link to the next available link field in your working trial balance. Repeat this procedure using the filter bar to find the link required - and double left-click on the correct one. Remember the clear filter button if you use different columns. If you need to re-assign a link, locate the link required and drag it across to the correct cell in your working trial balance. D r a f t w o r x b y D a t a P r i m e ( P t y ) L t d Page 17

Group accounts together by assigning them to the same link. In order to rename a link for reporting purposes (i.e. for your detailed income statement), select the relevant cell in the Disclosure Description column, and edit it then double left click to link it. Journal entries These can be captured by selecting Financial Data > Journal Entries Select adjustment type from the pull-down menu Tab through and complete the Description and Reference fields as required D r a f t w o r x b y D a t a P r i m e ( P t y ) L t d Page 19

Financial Statements Now you are ready to open your AFS select Financial Data > Financials. The three training videos on financial statements are excellent. Please run through them if you have not yet had a chance to do so they will help you enormously! Updating of figures and Undo (Ctrl Z) One you have opened your AFS, by selecting Financial Data > IFRS SME Financials for example Moving from your trial balance to your AFS by clicking on the relevant tabs will automatically update your numbers in your AFS. If after making any changes to your trial balance, your debits and credits do not agree, Draftworx will not let you go to your financials and prompt you accordingly. If while working in your financials, you delete something in error, you can easily rectify this by selecting Undo or Ctrl Z if you prefer to use shortcuts. Selecting worksheets Click on the View tab and select / deselect buttons as required. Click on the button and then move your cursor away to confirm whether it is on or off. Orange indicates that a button is on, grey indicates that it is off. Skip print markers in the form of blue shading will be put in place automatically. Page numbering will be corrected on preview. Turning on / turning off notes Click on the + grouping symbol to turn on a note And click on the grouping symbol to turn a note off D r a f t w o r x b y D a t a P r i m e ( P t y ) L t d Page 25

In the screenshot below, the note in row 23 with the + grouping symbol is off and will not print. The note in row 25 with the grouping symbol is turned on and therefore will print. Skip print row / column markers 1 or 0 If you wish to turn off a row and there is no + grouping symbol to do so, then select the left-most cell in the row And type in 0 (zero) and enter. This will put a skip print marker in place It s like switch, 0 is off and 1 is on. This works for columns too just type 0 in the top cell in a column and it will be turned off for printing. Adding a new note, linking to TB Let s take a look at an example, we will start by typing in the note heading and setting it to bold. Type in the detail required and position your cursor on the cell you would like to insert an amount in. Select the Working Trial Balance tab and make a mental note of the link number you would like to insert, e.g. e.307 Now select Insert > Final or Insert > Prior as required D r a f t w o r x b y D a t a P r i m e ( P t y ) L t d Page 27

Use the green filter bar to locate the link number you require and double left-click on the link number row you wish to reference. Note the formula highlighted in yellow. Now group the note by selecting the vertical range as follows (a single column is fine) D r a f t w o r x b y D a t a P r i m e ( P t y ) L t d Page 28

And click on Notes > Group Note. This will automatically apply the grouping for you. Now position your cursor on a single cell anywhere in the body of the note and select Notes > Auto-Number Note. The A that automatically appears in column A indicates that the note will be numbered. Just a reminder that notes will only be allocated numbered on selecting Print Preview. Inserting Note number in AFS Click on the cell in the AFS where you would like the note number to appear, and type = Then go to your Notes worksheet and click in the cell in column B between the A and the note heading as shown and hit Enter Use the ROUND function to remove the decimal point that appears after the note number. Inserting page breaks If you would like to insert your own page break in your AFS, position your cursor on any cell in the row you would like to appear at the top of the page. Then select Insert Page Break from the Print tab. A green marker will show the row where the page break will occur. Now all you will need to do is preview your AFS. Cash flow statements The third column is used if your trial balance contains only current and prior year figures and you will need to type in your prior year figures (in this example 2010) which you will find on your prior year AFS. If you have a history, i.e. the year before the prior year (in this example 2009 figures) then the middle column will be selected automatically - and the movement will be calculated for you. Type 1 or -1, etc in the Rounding Corrections cells in the Statement of Cash Flow to fix rounding issues. Print preview, Save as PDF To preview your AFS before printing, select Preview Financials from the Formatting tab. D r a f t w o r x b y D a t a P r i m e ( P t y ) L t d Page 32

To save as a PDF, click on the save button shown you will need to specify a filename and directory to save the file in. Editing formulas (manager password) Click on File > Login Type in the manager password and click on Ok. D r a f t w o r x b y D a t a P r i m e ( P t y ) L t d Page 33

Inserting images Select Insert > Image Locate the image file you would like to import. It may be any of the following file formats: BMP (*.bmp); JPEG (*.jpg); PNG (*.png) or TIFF (*.tif) Click on the image and drag to re-position it, etc. D r a f t w o r x b y D a t a P r i m e ( P t y ) L t d Page 36

Inserting a New Worksheet and Updating the Index Page Log in as manager (File > Login and enter password, then OK) then from the Formatting tab, select Insert > Insert Sheet Double left-click on the new sheet name and rename it NB! No spaces and hit Enter. Now go to the Index page, insert rows as required (one can use the right-click menu) and use the Format Painter to copy the format from one of the other existing statement names if necessary Type in the name of your new sheet Click in the page number cell D r a f t w o r x b y D a t a P r i m e ( P t y ) L t d Page 38

Customising your own templates / masters There are three steps to customizing your own templates or masters. Firstly, using Explorer, go to C:\Program Files\Data Prime\DraftworX\NewUserData (this is the directory containing all your templates) and use Ctrl C - Ctrl V to make a copy of the template you would like to make a master, i.e. 'Close Corporation - Copy'. Right-click on this file and rename it to 'Close Corporation XYZ' for example. Secondly, open Draftworx and select the 'Templates' icon top right. Open your new template above and import your generic trial balance if you use the same account numbers for all your engagements and do the linking - or simply insert one account into the working trial balance, say 1000 Sales and link it - then open your AFS and make your changes. The third and final step... - now when you open a new client directory, choose your own customized template by selecting 'Close Corporation - XYZ' from your Entity Folder list. D r a f t w o r x b y D a t a P r i m e ( P t y ) L t d Page 41

Roll forward When you have completed your current year and you are ready to open next year s directory, select Client Setup > Year End Close. Confirm your intentions Respond either Yes if your wish to roll the current set forward, or No if you would prefer to base your new directory on the latest Draftworx template. Lead schedules In order to select a lead schedule, select Lead Schedules and the lead required. Lead schedule assets are prefixed by a single letter, e.g. C001 Accounts receivable, and liabilities by double letters, e.g. CC001 Accounts payable. Audit programs Select the audit program required by first selecting the relevant number band then the numbered audit program as indicated. Select audit ticks from the pull down buttons as required To mark a lead schedule, audit program or document as prepared, etc select the Quick Access tab Then click on the required option. Creating your own templates / masters It is definitely in the interests of efficiency to create one s own templates for your firm, particularly if you have a team of clerks using Draftworx! Just a word of caution though Your customized templates will not be updated during the regular, automated updated updates so please don t spend a lot of time customizing and making your AFS look beautiful. Stick to the basics, you will be amazed what you can do in literally just a few minutes and make a note (using Notepad) of the changes you have made and save this in your templates directory so that you can refer to it when going through the process again (which you will need to repeat from time to time) on an updated template. There are three steps to customizing your own templates or masters. Firstly, using Explorer, go to C:\Program Files\Data Prime\DraftworX\NewUserData (this is the directory containing all your templates) and use Ctrl C - Ctrl V to make a copy of the template you would like to make a master, i.e. 'Close Corporation - Copy'. Right-click on this file and rename it to 'Close Corporation XYZ' for example. Secondly, open Draftworx and select the 'Templates' icon top right. Open your new template above and import your generic trial balance if you use the same account numbers for all your engagements and do the linking - or simply insert one account into the working trial balance, say 1000 Sales and link it - then open your AFS and make your changes. Copying a Client directory using Explorer Client directories may also be copied from one computer to another via Explorer. This will need to be done when transferring your Draftworx licence from one computer to another. In order to copy a client directory from one computer to another, select the directory as shown and copy-paste onto a flash drive for example. When restoring the client directory onto your new computer, make sure you paste it into the correct entity directory, IFRS SME + Audit Lite in this example One may copy an entire entity directory, or the entire Clients directory using this procedure should you wish to do so. Delegation Members of an audit team are able to work on the same client provided they are on a local area network. It may be necessary however, to book out audit programs and / or documents to a team member who will be working at the client s offices for example, and might not be in network contact. Consolidations This is the process one should follow when doing consolidations: 1. Create separate client directories for each subsidiary. 2. Create a client directory for the holding company. 3. The next step is to create a consolidation client. Use the IFRS SME Consolidation template if you require 4 columns. In this directory, go the Working Trial Balance and click on the Consolidation button. 4. At the screen that opens, select the client directories you wish to consolidate. Choose the structure, i.e. identify the holding company, and the subsidiaries, etc. 5. Click on Consolidate. Draftworx will create one large trial balance, and you will need to pass your eliminating entries as required (make sure you are in the correct directory when doing this). Transferring Draftworx onto another computer Should you wish to transfer your Draftworx licence to another computer, please notify support by sending an email to support@dataprime.co.za If your client directories are being stored in a local drive, i.e. on the hard drive of your old computer on which Draftworx is currently installed, you will need to backup all your client directories onto a flash drive for copying across to your new computer. Please refer to the earlier section titled Copying a Client directory using Explorer should you need to. A new installation will need to be done on your new computer, then the licence on the old computer de-activated and a new licence code issued for your new machine. During this process, Support will ask you to de-activate the licence on your old computer as follows Open Draftworx and select the second smaller Draftworx icon next to 'File' at the top left hand corner of the screen. This will open the Draftworx Licence Manager screen. Click on the Transfer License Code button. Support should be notified automatically, and you will now be in a position to capture your new licence code and get Draftworx on your new computer up-and-running. If you need assistance at any stage, all you need to do is send a quick email to support@dataprime.co.za and our support team will do everything they can to assist you. For tricky matters, you may be asked to go to select File > Remote Support - and give us your ID that appears on the screen and your password. If you have a microphone and speakers, or headphones we can even use the VOIP option to communicate with you instead of the telephone! Another option should you need it is to send us the relevant parts of your client directory for us to have a look at and fix it for you. This is a fully automated procedure all you need to do is select File > Support Request. Respond Yes to confirm your support request. Type in a short description of the matter and hit the enter key (or select OK) when you're ready to send off your request (careful - enter does not start a new paragraph).
