EVENT RULES AND REGULATIONS By signing the Registration Form for the COLOMBIA TRADE EXPO MIAMI 2014 event held in Miami, the exhibitors and/or individuals participating in the event exhibitors agree to comply with the stipulations therein, and any changes made to the benefit of the event or because of major forces including but not limited to natural disasters, climate, structural damages, etc. The stipulations therein will be validated meanwhile the exhibitor complies with the conditions on this contract; otherwise, COLOMBIA TRADE EXPO LLC may and will terminate the agreement. 1. ADMISSION: COLOMBIA TRADE EXPOMIAMI 2014 reserves the right to accept or reject any application and participation to the event. The exhibition spaces will be offered based on availability. May not be shared spaces. Exhibitors may not, rent or share any space allocated to them and may not display or promote, products and articles other than those stated in the application and which are those that promote or sell in the regular course and designated place of the exhibition. Any violation of these rules constitutes the complete collection of extra display space or canceling your participation in the event. 2. MODULATION: COLOMBIA TRADE EXPO MIAMI 2014 held the overall modulation level and standardized manner as specified in these rules. 3. FEES AND PAYMENT: Rates and specifications of payment which are part of these rules and to set forth the participation agreement. 50% advance to book the stand and the remaining balance of 50% must be paid before September 1, 2013. 4. SALES TAX: Exhibitors must comply with the rules and regulations of the State sales of Florida. The collection and payment of sales taxes is the responsibility of the exhibitor. For more information please contact us. 5. WITHDRAWAL OF PARTICIPATION: No refunds if exhibitor cancels its participation in COLOMBIA TRADE EXPO MIAMI 2014 after July 31 st 2014.. 6. RESCHEDULING - CANCELLATION: COLOMBIA TRADE EXPO MIAMI 2014 reserves the right to reschedule or rearrange modulations before the event starts for reasons of major force such as acts of terrorism or nature disasters such as earthquake, fire, explosion, flood, etc. No refunds. 7. SCHEDULE FOR SET-UP & DISMANTLE: Exhibitors must have paid the balance in its entirety to COLOMBIA TRADE EXPO MIAMI 2014 prior to proceeding set up. Set Up: On Augus 20 and 21 from 8 a.m. to 6 p.m. All exhibitors must be ready and prepared for inspection by the Fire Department and Event Management on august 21 st before the grand opening. No refunds for no shows, without exception. It is the responsibility and duty of each exhibitor to install and have your booth ready no later than August 21 st at 6 p.m. None of the above may be withdrawn during the Event. No exhibitor may dismantle or withdraw as long
there are attendees in the expo. Not abide by this schedule, or the foregoing responsibilities shall be cause for automatic denial of participation in future events. The exhibition hours are: Friday, August 22 : 11:00 am 6:00 p.m. Saturday, August 23 : 10:00 a.m. 7:00 p.m. Sunday, August 24 : 11:00 a.m. 6:00 p.m. Dismantling: Cancel outstanding bills for extra services that are managed with COLOMBIA TRADE EXPO LLC for the respective removal. The dismantling will be Monday, Augst 25 before noon. Disassembly during event hours is a violation of the safety rules and regulations. 8. CLEANING: The general cleaning of the Expo is done by COLOMBIA TRADE EXPO MIAMI 2014 but each exhibitor is responsible for the cleaning of his stand. 9. SAFETY MEASURES: The damage or loss in the stand of the exposed elements, whether or not is your property, is the responsibility of the exhibitor only, therefore must ensure the goods from the assembly of the stand until his removal. Consequently, exhibitors waive any action to obtain compensation or reimbursement for any loss or damage for property exposed, against COLOMBIA TRADE EXPO LLC, private or government entities that sponsor or collaborate with the event, participants, representatives, executives and directors or administrators of legal persons or bodies identified. Unless in the case where foul is proven. 10. PROHIBITIONS: Remove signaling elements of your stand. Placement of overhead wires of any kind. Seek or accept sponsorships from other companies that ask to advertise their products on the stand without the approval of the authorities of COLOMBIA TRADE EXPO MIAMI 2014. Exhibitors will be limited by all laws, codes and regulations relevant authorities of the Miami Airport Convention Center and Miami County. Forbidden to give away or sell food, fluid or alcohol at the event, except for authorized exhibitors. 11. ADEQUACY OF THE STAND: Maximum permitted height is 8 feet. Display, lights or other materials can t be nailed or screwed to the columns, walls or floors. Exhibitors are responsible for the cleaning of their stands and utilized space. An additional US$100 will be charged for each 3.3m x 3.3m left in deplorable conditions. The rear curtains are for the delimitation of space only a charge fee of US$100 will apply for damages to the structure and elements of the "stand". Any other type of damage will be charged according to the cost of repair. The exhibitor assumes, solely, the obligations arising from the use of names, trademark
emblems and other distinctive commercial within the sample and expresses your agreement to the rules and treaties signed by Colombia in this regard. The instructions of display and decoration must be respected. The assembly and adjustment of the stand is by the exhibitor. All materials for the exhibit are the responsibility of the exhibitor, including labor and any necessary equipment. All exhibitors must utilize other means such, displays, small showcases, etc. No product will be exhibit directly on top of the tables, hanged or placed on the dividers of the stand. New or well maintained mannequins shall be utilized to exhibit fashion wear. COLOMBIA TRADE EXPO LLC is not liable to the exhibitors or any party for breach or misuse of marks by any exhibitor. 12. PLEASE KEEP IN MIND: The information obtained such as business trades and business contacts by each exhibitor and shared with COLOMBIA TRADE EXPO LLC is important for our evaluation after the event. This data will be solely for and by COLOMBIA TRADE EXPO LLC and at no time will be disclosed to individuals. 13. VISA PROCESSING: COLOMBIA TRADE EXPO LLC does not offer or processed American visas. Letters of invitation to participate in the expo will be issued ONLY to companies/individuals who have paid 100% of your contract. The issuing of entry visas to the United States is sovereign and absolute power of the U.S. Embassy in the respective country. In such case the company/individual soliciting the visa is not approved by the U.S. Embassy, 90% of the amount paid will be refunded immediately as long as the company/individual shows proof that the U.S. visa petition has been rejected. 14. ACCEPTANCE TO THE RULES: Exhibitors/participants by signing these rules and regulations agree to abide by the terms specified and COLOMBIA TRADE EXPO LLC has the right to make changes in this rules and regulations of the event.
