SECTION 6 PAY PERIODS 6.01 Payroll Cycle/Dates The board shall pay each employee their wage on a biweekly basis in accordance with the District payroll cycles. If a bank holiday falls on a Friday, payroll deposits shall be issued on the preceding day. All contracted salaried and administrative staff shall be paid their compensation in twenty-six (26) equal payments issued at two week intervals. Contracted teachers, ten (10) month & eleven (11) month salaried administrative staff will be paid their wages starting with the first payroll cycle in September. They will have the option to annually elect to be paid in twentyone (21) or twenty-six (26) equal payments. Those electing the twenty-six (26) equal payments will have their remaining final contract payout in (five) 5 checks before the June 30 fiscal year end. All hourly employees shall be paid based on actual hours worked according to the District s established payroll cycle. 6.02 Direct Deposit Employees will be paid by direct deposit only. In order to receive their paycheck, a properly executed Direct Deposit payroll form must be received by the payroll office not less than one week before the normal pay date. It is the employee s responsibility to inform the payroll office of changes in direct deposit not less than one week before the change becomes effective. 6.03 Payroll Time Cards/Time Sheets The District is required by law to record and pay for hours actually worked including overtime hours, for non-contracted support staff employees. The District s timekeeping system requires that an employee complete and sign a time card or time sheet for supervisor approval. Time cards are to be turned in on a weekly basis. A pay week shall run from 12:00midnight (12:00 a.m.) Sunday until 11:59 p.m. the following Saturday. Hourly employees are responsible for accurately recording their time worked for each scheduled workday. Employees must mark down their actual time in and time out and indicate their lunchtime. Falsification of the time record is a serious violation of District policy and is, in essence, theft. Such falsification will result in corrective action, up to and including immediate discharge. 6.04 Lunch/Rest Breaks All regular full time hourly employees shall receive a minimum unpaid, one half hour lunch break. Employees must mark down their time in and time out showing the actual lunch time on their time card. Exceptions to the above may be made by mutual agreement with the employee s supervisor. All regular full time hourly employees shall be allowed to take a rest period of not more than fifteen (15) minutes for each four (4) hours of work at times scheduled by the employer. Each four (4) hours is intended to mean in each day only and not to be regarded as cumulative. Any employee absent in excess of one half hour or more either in the morning or afternoon, for any reason, shall not be entitled to a fifteen (15) minute rest period for that part of the day he/she is absent. 1
6.05 Payroll Forms Employees shall complete all required payroll forms such as time sheets, payroll information forms, and federal and state tax forms and submit to the payroll office in accordance with established procedure. Failure to submit payroll forms in accordance with the payroll calendar can delay payment. Failure to submit payroll forms within 30 days of completion of a work period may result in loss of pay. 6.06 Payroll Deductions The School District is required by law to withhold tax and Wisconsin Retirement employee share from employee paychecks and to report taxable income according to the requirements of federal, state and local government agencies, WRS and the Social Security Administration. All employees are required to complete the appropriate tax withholding forms prior to being placed in the payroll system. W-4 withholding forms are available in the Business Office or on the District website. Changes in address should be promptly reported to assure receipt of the year end W-2 reporting form. Regular full time and part time school year employees: Tax Sheltered Annuities, flex medical/child care costs, life insurance, dental and health insurance premiums, Wisconsin Retirement employee share and any other voluntary deductions will be taken equally from each of the first two paychecks in September through June, inclusive, for a total of twenty deductions. Regular full time and part time twelve month employees: Tax Sheltered Annuities, health insurance premiums, and any other voluntary deductions in 24 deductions and all other deductions will be taken September through June in 20 deductions. 6.07 Salary Deferrals- Tax Sheltered Annuities (TSA) Employees shall have the opportunity to participate in the District s Internal Revenue Service (IRS) Code 403(b) Savings Program and invest their money through salary deferral in District approved providers with IRS Code 403(b) (7) investment plans. In order to establish a new provider, a roster of (15) or more enrolled employees, will be required to qualify to be added as a new 403(b) provider. Providers with 5 or less participants are subject to termination upon review with the District Administrator. The District has designated Mid America Administrative and Retirement Solutions, Inc. as our third party administrative agent. All plan related transactions including distributions, hardships, loans and changes of salary reductions agreements must be validated by MidAmerica. A Salary Reduction Agreement form is available on their website at www.midamerica.biz. Employees may change or stop an election to contribute as often as they wish and it will become effective after it is approved by the MidAmerica Plan administrator. 6.08 Premium Pay 6.081 Overtime Regular hourly full time and part time employees that work extra time will be paid their normal hourly rate for approved extra hours. Only hours worked in excess of 40 hours per week will be paid at 1.5 times their hourly rate as required by the FLSA. The term hours worked shall include pre- scheduled time off (vacation, holiday, personal day & funeral leave). 2
6.082 Double Time Regular hourly full time and part time employees that work in excess of 40 hours per week shall be paid at 2.0 times their hourly rate for Sundays and holidays. All overtime must be approved by the Director of Business Services, the District Administrator or his/her designee. 6.083 Call in Pay Regular hourly full time and part time employees called in outside of the normal work hours shall be guaranteed two (2) hours pay. 6.084 Aide in Charge Pay If the teacher with whom the paraprofessional aide is assigned is absent for one (1) hour or more and the District is unsuccessful in securing a substitute teacher, then the paraprofessional shall be paid an additional $4.00 per hour until a substitute is present in the building. In order to qualify for aide in charge pay the aide must have assumed the duties and responsibilities of the teacher; the teacher must have been unavailable to consult with for that time frame & was sanctioned by the building administrator. 3
