2018 FESTIVAL OF CRAFTS & GIFTS VENDOR RULES AND REGULATIONS Vendor Check-in is Thursday, November 15 th between 12pm-8pm or on Friday, November 16 th between 7:30am- 9:30am inside the Les Schwab Exhibit Hall, inside the first set of double doors located on the East side of the building. You will come in Gate 3 off of 284th Ave SE. All vendors must stop and talk with Expo Staff at the Check-In Table prior to doing any unloading or set up. At check-in you will be asked to sign a release form and given your passes and parking assignment. Unloading outside the closest door to your space is ok if you do not block the roads or use another person s parking space. Vendor spaces are assigned by Management prior to check-in and are non-negotiable. Admission Tickets Each vendor will be given TWO Vendor Lanyards for event entry and TWO additional entry tickets for booth assistants for the entire event. These are handed out during the Vendor Check-In. Please distribute the additional tickets to relief personnel for your booth. We will have a hand stamp for re-entry. Parking - ONE Parking Pass is available for each vendor to have ONE car or truck (no commercial or large vehicles) in the lot behind the Exhibit Hall or Activity Hall (west entrance-gate #3). Passes will be given out at Vendor Check-In and your phone # is required in case there is an emergency where your vehicle will need to be moved. Additional FREE parking is available for relief personnel for your booth in the North parking lot. If you are bringing a trailer you will need to park it in the Activity Hall parking lot after unloading. Note: Replacement passes will not be issued. Exhibit Hall Vendor Space Each vendor space is 10 x10 (unless you reserved and paid for a larger space). Black pipe & drape will provide your boundaries with an 8 foot drape at the back of the booth and 3 foot walls on the sides. Exhibitors are not permitted to exhibit or promote their products or services outside the boundaries of their assigned space. This is a policy of both the Festival and the Fire Marshal and will be strictly enforced. We will have 8 foot tables and metal chairs available for rent. If you indicated and paid for tables and/or chairs on your application we will do our best to have them at your booth. If you did not already sign up for or need tables or chairs, they are on a first come first service basis and you will need to pick them up during load-in at the check in desk. Tables rent for $10 each and chairs can be rented for $2 each. Vendor Set Up - Everyone must be completely set up and ready for business by 9:30am on Friday. All FOOD VENDORS MUST BE SET BY 8:30AM on Friday for inspections. On Friday the Exhibit Hall will be opened at 7:30am for those vendors that choose to set-up the morning of the first day of the event. Saturday and Sunday the building will be open at 9:00am for vendors to re-stock and set up. No vehicles are to be driven into any building. Canopies - are highly discouraged at this event. However, we realize for some vendors it is part of your set up and is a necessity. If you must have a canopy, we ask that it be white and that you use only the frame NO Canopy Tops. You may decorate the top or attach lights. Christmas Lights, Décor & Electricity Because this is a holiday themed event, we strongly encourage ALL vendors to display Christmas lighting and décor in their booth. Please come prepared with your own supplies for signage, décor, etc. The building is powered with many electrical outlets around the perimeter of the room as well as down the middle of the floor every 20. If you need power, please bring an extension cord, and/or power bar to run from the power source to your booth. No extension cords are available from the Expo Center. Security The building will be secure and locked each evening. The fairgrounds are completely secured with a locked gate and fence surrounding the grounds. If you have security concerns, please contact event management. The Expo Center does not assume responsibility for personal property left unattended in Expo facilities. Lost & found items are held 30 days and then donated to charity or destroyed. ATM An ATM is onsite. There is a $3.50 surcharge per withdrawal, charged to the individual that completes the withdrawal. There will be signage so attendees are aware.
Hotspot (wireless internet) Free wireless internet connections are available through our local HotSpot web provider Skynet Broadband and also through Xfinity. No password is required to connect to our SkyNet Hotspot. To sign in to Xfinity, select ExpoCenter1, password is Vendors123! Rules & Regulations: By order of the Enumclaw Fire Department, candles cannot be lit inside the building. Working Service animals will be the ONLY animals allowed in the Exhibit Hall. All visible surfaces must be finished and no storage containers can be left out or visible. All items brought into the facility by a vendor are to be removed by the end of the event this includes empty boxes/cardboard and any garbage in the booth space. Use of tape (except the type designed to be removable), nails, or tacks anywhere in the building is prohibited. No safety pins or tacks allowed on drapery, S Hooks can be used over pipe and drape. Use of silly string, confetti, rice or other sprayed material is prohibited. If you have an extension cord or power strip powering something in your booth, it is your responsibility to secure the cord. If the cord is not secured, you will be asked to remove it. Restocking your space once the event is started must be done with your own handcarts and dollies. The Expo Center Does Not have any to loan. If restocking must be done during the festival open hours, please be considerate of the patrons and other vendors surrounding you. Cars will not be allowed to unload at the loading doors during the event open hours. All vehicles must be moved to the designated parking areas by 9:30am each morning of the event. Vendor Load-Out Vendors must remain open the entire duration of the event. Event hours are Friday and Saturday 10:00am-6:00pm and Sunday 10:00am-4:00pm. Vendors may load out beginning at 4:15pm until 6pm, Sunday, November 18 th - NO EARLIER. Booth areas may also be cleared from 8am-4pm the following day, Monday, November 19th ALL booths must be cleared by 4pm Monday evening - NO EXCEPTIONS! Food Concessionaires All food concessionaires must have a serviced fire extinguisher within your exhibit space. Food concessionaires of any kind must have a King County Food Handlers Permit from the Health Department and it must be on display at your booth. Food Concessionaires must also have a Temporary Food Service Permit from King County. Any food that needs propane or hot grease must be prepared outside the building. The Expo Center is not responsible for providing items to be in compliance with the Health Department. Remittance reports are due at the close of the event. A remittance report form is attached. This must be given to event management prior to departure. As a reminder your vendor deposit will be deducted from the 20% owed to the Expo Center. HOLD HARMLESS - The Enumclaw Expo Center cannot be responsible for accident, injury or loss of property. Vendor shall defend, indemnify and hold the Enumclaw Expo and Events Association, its officers, officials, employees, agents and volunteers harmless from and against any and all claims, suits, actions, or liabilities for injury or death of any person, or loss or damage to property, including attorney fees, which arise out of the use of Expo property or from any activity, work or thing done, permitted, or suffered by contractor in or about the property, except only such injury or damage as shall have been occasioned by the sole negligence of the Center. Vendor assumes all risks and hazards incidental to such participation by contractor and/or event participants. INSURANCE REQUIREMENTS - Food of any kind and High risk vendors (anything customers will be putting on, wearing or consuming) shall procure and maintain for the duration of the event (from arrival to departure of all participants) commercial general liability insurance against claims for injuries to persons or damages to property, which may arise from, or in connection with, Vendor s use of space at the Enumclaw Expo Center. Such insurance shall be no less than $1,000,000 per occurrence for bodily injury and property damage and $1,000,000 in the aggregate and be primary and non-contributory. The required insurance policy is to be endorsed to (1) name the Enumclaw Expo Center, its officers, officials, employees, and agents as additional insured and (2) shall not be suspended, voided, canceled, reduced in coverage or limits except after 45 days prior written notice. A copy of each of the Certificate of Insurance and Policy Endorsement must be provided to the Center no later than one week prior to the event. Insurance may be obtained privately or through the Washington Cities Insurance Authority (WCIA). If electing to use WCIA, please contact Festival Management for instructions.
FACILITY CANCELLATION POLICY: Festival of Crafts has a non-refundable cancellation policy. The Enumclaw Expo Center is not financially responsible for cancellations due to situations beyond our control. RV Parking There is an RV campground at the fairgrounds.
