For this sealed bids are invited from interested bidders for participation in the Tender process. 1. SCOPE OF WORK 1.1. Scope includes purchasing & collecting various Hardware items (identified by the Bank for disposal) from our premises on as is where is basis for disposal/recycling/reusing in line with Central/State Government guidelines. 2. TERMS & CONDITIONS 2.1. Incomplete and unsigned tenders are liable to be rejected. 2.2. Price Schedule (Commercial Offer) is attached with this Tender notice as Annexure - I. 2.3. All expenses pertaining to collecting, transporting for disposal (as per govt. guidelines), is to be borne by the bidder. 2.4. Items are to be taken from the respective branches, by the successful bidder. 2.5. Item shall be sold to the bidder matching the H1 Prices of each item. 2.6. Final Decision to accept/reject the bids shall be taken by the Bank. 1
2.7. The entire contract period will be six months from the date of Notification of Award. 2.8. All bidders will have to submit EMD of Rs.15,000/- in form of Bank Guarantee (BG) (Annexure-II) valid for a period of Eight Months. BG of Unsuccessful bidders would be returned after finalization of the tender Process and the BG of successful bidders would be retained for the entire Contract period +30 days. 2.9. Once Hardware items handed over to the successful bidders shall not be taken back by the Bank. Details of the 30 branches/offices from where hardware items are required to be disposed off will be provided after finalization of Vendor. 3. SUBMISSION OF BIDS 3.1. The bid should be submitted in sealed cover addressed to the Bank at the following address. The Senior Manager-IT I.T. Bid shall be submitted in the prescribed format (Annexure-I) in a sealed cover with superscribing on envelope COMMERCIAL BID FOR DISPOSAL OF OLD/UNUSABLE/OBSOLETE COMPUTER HARDWARE, PERIPHERALS, UPS SYSTEMS & BATTERIES, etc.. Bank will assume no responsibility for the Bid s misplacement or premature opening. 5. VALIDITY of BIDS 5.1. The offer should remain valid for a period of six months i.e. 180 days from the date of the submission of bids. 6. PRICE COMPOSITION 6.1. The price quoted should be only in Indian Rupees. 6.2. The Vendor has to give price of all the items separately (exclusive of taxes), as mentioned in Annexure-I. 6.3. The price should include transportation charges and loading/unloading charges. 2
7. EVALUATION CRITERIA 7.1. For Commercial evaluation, Unit Price (Exclusive of taxes) of each item would be taken into consideration. Bidders would be ranked on the basis of highest Unit Price for each item. Highest Price of each item would be finalized and the bidders would be asked to match the Finalized Prices. 7.2. If two or more bidders match the finalized prices, Bank will award contract to all such bidders. The total orders to be issued would be divided among all such successful bidders. 7.3. In case of failure or refusal to execute the order Allahabad Bank, Zonal Office Kanpur, shall have the right to dispose the items to other successful bidder. 8. TERMS OF EXECUTION 8.1. Notification of Award will be issued to all successful bidders. 8.2. The vendor shall have to collect the entire hardware items from the respective disposal site within a period of 1-2 weeks from the date of receipt of individual orders issued by Zonal Office Kanpur. 9. PAYMENT TERMS 9.1. Once the vendor is selected for disposal of Hardware items, the said vendor must purchase the same by depositing/paying 100% of the order Value in form of IOI/Demand Draft / Banker s Cheque, issued by any Scheduled Commercial Bank in India Payable at Kanpur, in advance within 7(seven) working days from the date of receipt of Order for each Branch, before lifting the items. 9.2. Total Order value would be calculated by taken into consideration exact no. of individual items to be disposed, and would include all applicable taxes. 9.3. The vendor, in any case would not be allowed to lift even a single item without making the payment of 100 % of the order value in advance. 10. RIGHT TO ALTER QUANTITIES & REPEAT ORDER 10.1. The Bank reserves the right at the time of award of contract to increase or decrease the quantity of Hardware items to be disposed by ±10% to ±15% without any change in terms and conditions. 3
10.2. The Bank also reserves right to place further/repeat order on same terms and conditions within a period of six months from the date of last order. 11. NO COMMITMENT TO ACCEPT OR REJECT ANY or ALL BIDS 11.1. The Bank shall be under no obligation to accept or reject the highest or any other offer received in response to this tender and shall be entitled to reject any or all offers without assigning any reason whatsoever. Each quoted Price and Total Bid Price is excluding all taxes. Taxes as applicable will be paid extra as per individual order.
