Lease Signing: Make an appointment WITHIN 24 HOURS for Tenants to come to one of our offices to sign the lease and other documents. We must have the Application completed at or before this appointment in order to generate the lease. a. Tenant must bring all Funds Due with them to lease appointment. Funds Due may be paid by bringing a check, an Electronic Payment authorization, or by Bank Wire Transfer. b. When we receive the Application and all Funds Due, we will generate a customized lease. We will also provide documents from the Homeowner s Associations and/or Management Companies as required to be completed by Tenants. c. What if Tenants cannot come into our office within 24 hours? i. If Tenants are out of town: Have Tenants fill out and sign Aadvisor Rentals Application. Scan/email back, fax back (239.455.2303), or bring in to one of our offices. You can have Tenants screened immediately by paying the Screening Fees by check in one of our offices, by credit card over the phone or by filling out and signing the Authorization for Electronic Payments. When we receive the signed Application, we will generate a customized lease, and Homeowner s Association documents. We will email them to Tenants for signature. Tenants may provide Funds Due by check, Electronic Payment authorization or Bank Wire Transfer. STATUS UNTIL WE HAVE RECEIVED SIGNED LEASE AND FUNDS DUE. ii. Deposit To Hold: If Tenants are in town but cannot come to our office within 24 hours, Tenants can hold the property for up to 3 business days by paying the Screening Fees (as mentioned above), the Processing Fee ($95) any Payment Processing Fees and at least one month s rent to us by check delivered to one of our offices, by credit card over the phone, by Wire Transfer or by filling out and signing the Authorization for Electronic Payments. Tenants must also execute a Deposit To Hold form. By hold we mean that we will consider the property to be in Pending Lease status rather than For Rent status until they either sign the lease or the Deposit To Hold date expires. NOTE: IF TENANTS FAIL TO SIGN THE LEASE WITHIN THE TIME SPECIFIED IN THE DEPOSIT TO HOLD FORM, THEY WILL FORFEIT ALL FUNDS THAT THEY HAVE PAID. 2. Screening: When all Tenants sign the lease and have completed all documents, we will begin the Tenant Screening Process, which includes a Screening Report, Residency and Landlord Verification, Employment Verification and other investigations as we may be required to do by property owners. We can also begin this process sooner as outlined in 1b above. 3. HOA Application Process: Once we have received the signed lease from Property Owner, we will begin processing the Tenant s application through the applicable Homeowner s Associations. We will notify Tenants of approval, or if additional documents or actions are required. 4. Move-in: In order to move in, Tenants must have ALL Funds Due paid at or before move-in. Any funds paid within the last 15 days before move-in must be in cash or Certified funds. 5. If Something Goes Wrong: If Tenant is not approved by any Homeowner s Association, if Tenant does not meet our Credit Standards and the risk cannot be mitigated, or if Owner does not approve the lease for any reason, the lease will be null and void, and all monies paid will be returned to Tenants, less Screening Fees, Processing Fee, any Payment Processing Fees and any fees or expenses paid to Homeowner s Associations and/or Management Companies by Aadvisor Rentals on behalf of Tenant. Your Aadvisor Rentals Co-Broke Team will work very hard to make your lease transaction come together as quickly and as smoothly as possible. Please help us by encouraging Tenants to provide complete information on all forms, provide all funds due when required and not to attempt to make any alterations or changes to the lease or other forms. The process will go faster if Tenants provide initial funds at the beginning so that they may be screened immediately. Different HOA s and Management Companies have very different ways of working. Some are very rapid in response and are easy to work with. Others do not deviate from strict rules, such as requiring a full 21 days to process any lease, without exception. Please be aware that we are all at the mercy of these 3 rd parties when it comes to the HOA Application Process. We know that you will be anxious to hear when your Tenants are approved, or how their application is going. We are just as anxious as you are. But we are only able to tell you news as and when we receive it from these 3 rd parties. If you must contact us about application status, please do it by email only. Bear in mind that staff time on the phone with agents checking status is staff time that could be spent working constructively and effectively to actually process the application. Please be patient if you do not hear from us for awhile no news is usually good news. When we have something to report, you will be the first to know!
