HMS Nurse Advisers at Quintiles have come to expect high levels of flexibility in terms of their support and career development, and the way in which we reward them has to be sufficiently flexible to be motivational and appropriate to their lifestyles. This brochure is designed to explain the detail of Flexible Benefits for HMS Nurse Advisers, which are exclusively available to employees of the Quintiles Health Management Solutions business and provide you with far more flexibility to tailor-make your reward package to suit your lifestyle. Selecting Your Options To select the Annual Leave and Pension options described in this brochure, please complete the HMS Nurse Adviser Flexible Benefits Option Selection Form enclosed with this booklet and give it to your Line Manager within six weeks of your hire date. You will be given the opportunity to select your Private Medical Insurance options once you have six months service and have successfully completed your probationary period. We know that your needs may change over time, so you will be offered further opportunities to select/amend your options.
Annual Leave Would you like more annual leave? Or would you rather take the pay? You can choose to buy two days annual leave every year, and to sell back two days annual leave every year as from the April following your hire date. Buying Holidays If you buy holidays, a monthly deduction, equal to your daily salary rate multiplied by the number of days bought, will be made from your monthly pay over the course of the calendar year starting from the date the option is selected. The deduction will be amended to reflect any salary changes that occur during the course of the payment period. Selling Holidays If you sell holidays, you will receive a cash alternative equal to your daily salary rate multiplied by the number of days sold, net of the cost of Employers National Insurance (with an adjustment to ensure your own National Insurance remains at the correct rate), paid monthly over the course of the calendar year from the date the option is selected. The allowance will be amended to reflect any salary changes that occur during the course of the payment period. Example of Holiday Buying and Selling Options based on Salary of 28000 Employee chooses to BUY 2 days holiday Employee chooses to SELL 2 days holiday Annual deduction/allowance 215.38 187.82 Monthly deduction/allowance 23.93 20.87 (equal instalments Apr Dec) (over 9 months) (over 9 months) When selecting your holiday option, please remember to retain a minimum balance of 4 days entitlement to cover potential Company nominated days for example at Christmas. Your holiday option is subject to your line manager s approval. Timing of Choices In April each year, or in your first year as from your hire date if you join between April and December, you will be given the option to buy holidays. In the April of the calendar year following your hire date and each year thereafter, you will have the chance to sell holidays. Deductions/allowances will be made in the 9 months from April to December of the same calendar year (or in the year of hire and for deductions only, over the remaining number of months in that year, commencing from the first available payroll following the approval and return by your Manager of your Option Selection Form).
The Quintiles Pension Plan All Quintiles employees are entitled to join the Quintiles Pension Plan. The Plan is a Group Stakeholder Pension provided by Standard Life, one of the UK s top pension providers. Quintiles recognises the need and importance of pension planning in today s world and commits to contributing an additional 7.5% of your basic salary to the Plan in return for your making a minimum personal contribution of 3.0% of basic salary. Pension Scheme Opt In There is no maximum, other than HM Revenue & Customs (HMRC) limits, on your personal savings to the Plan. As long as your contribution does not fall below 3.0%, you can change your level of contribution on the 1 st of any month, or on 1 October only if you accept Salary Exchange when you join the Quintiles Pension Plan. Your personal savings attract tax relief, so the net cost for basic rate tax payers is reduced (subject to HMRC limits). Under this option, provided you remain a member of the Quintiles Pension Plan and continue to make a minimum 3.0% personal contribution throughout your employment, you will automatically be covered by the Company s Permanent Health Insurance scheme after completing a full year of service (subject to scheme rules). Pension Scheme Opt Out If you prefer not to be a member of the Company pension scheme, you can choose to opt out. If you take this option you will receive a cash allowance of 4.5% of basic salary as an alternative. Under this option, as you will not be a member of the Quintiles Pension Plan, you will not be eligible to be covered by the Company s Permanent Health Insurance scheme at any time. The allowance will be paid monthly through payroll and will be subject to normal deductions. The Quintiles Pension Plan Timing of Choices You are able to choose to increase your personal pension contribution effective from the 1 st day of any month, or on 1 October only if you have accepted Salary Exchange when you join the Quintiles Pension Plan. You can choose between opting in or opting out once per year: within 6 weeks of your hire date; in April or, if you accept Salary exchange when you join the Quintiles Pension Plan, in October. You will not be able to switch between options at other times except for major life changes such as birth, adoption, death, marriage, civil partnership, divorce. If you choose to opt in, you must join the Quintiles Pension Plan separately before your option selection will come into effect. A pension pack will be sent to you within approx three weeks from your hire date. Pension contributions from you and the Company will apply as from the 1 st of the month after the date when you join the pension plan and your Manager s approval and submission of your Option Selection Form. Private Medical Insurance Is Private Medical Insurance important to you? Do you want the chance to cover your family, too? Or do you prefer to opt out and take a cash equivalent instead? Opt In The Company has arranged for all employees with six months service and who have passed their probationary period, to be covered by the private medical insurance scheme (with CIGNA from 1 April 2011) free of charge all you pay is the tax on the benefit. The Company has arranged for all eligible employees to have the option to include their dependents in the scheme. The cost of additional cover is based on the Corporate rates enjoyed by Quintiles, which are highly competitive compared with the cost to you of obtaining similar cover as an individual. Opt Out If you have passed your probation period and prefer to opt out of the private medical insurance scheme for example if you are covered by your partner s Company scheme then you can do so and receive a cash allowance equal to the single cover premium, net of the cost of Employers National Insurance. The allowance will be paid monthly through payroll and will be subject to normal deductions. If you opt out of the scheme, you will not be eligible to cover your family at Corporate rates. Timing of Choices You can choose to cover dependents or to opt out of the scheme in April. You will not be able to switch between options at other times except for major life changes such as birth, adoption, death, marriage, civil partnership or divorce. New Hires will be able to select the above options on successful completion of their probationary period and after six months service. They must return their application form within one month and cover will commence on the 1 st of the following month. Management reserves the right to change benefits at any time, subject to statutory and contractual conditions. Management reserves the right to withdraw the flexible options detailed above at any time and revert to the standard Company benefits programmes. Cash allowances offered as an alternative to the standard Company benefit are lower than the cost of benefit as they will be paid net of the cost of Employers National Insurance and may be adjusted to reflect and comply with HM Revenue & Customs rules. Cash allowances, offered as an alternative to the standard Company benefit, are paid through payroll and are subject to statutory deductions such as tax and National Insurance. Cash allowances offered as an alternative to the standard Company benefit are not part of substantive salary and therefore will not form part of salary for pension contribution purposes.
