Everybody needs to be familiar with the constitution and bylaws as possible because we will be working on it in the next following meetings for however long it takes. AF: Does Lawrenceville have a constitution and bylaws? LP: Yes. It probably would be a good idea to look at it. a. Already approved budgets 1. Class of 2011 LP: This budget has already been approved by last year s SFB. They re having a *Dodge ball tournament. *Stress reduction nights from what I hear are pretty successful - $1,000. * Open Mic night * Game Night - $200 for food / beverages. - Will be using the games of the SGA B. Counseling Services & Health and Wellness C. Class of 2010 7:05 New Budget with the new Executive Board Camp out 1. Purchasing tents then donating them to Relay for Life. The cost of the tents is not an issue. Relay for life is in March. 2. They ve nixed the DJ because of noise permits and it wasn t working out. 3. Giveaways and prizes - Nalgene water bottles are under budget

4. Date has changed from Friday night to Saturday and Sunday October 18 th and 19 th. 5. The party before people sleep is open to everyone. 6. They wanted to have a barbecue but it was extremely expensive. The bbq was nixed and they are talking to Aramark for providing food and will have s mores. a. JA: Will be an $1800 cut then. b. DZ: Are they cutting breakfast too? c. LP: No, they will be in the dining commons. d. JA: The event is open for all students but if you have dinner and breakfast then that cuts out commuters. e. LP: They are having meal vouchers from Mare. That way we re not catering a completely different meal. It still benefits the entire student body. 7. Security is taken care of even with the campfires. They don t have to budget for that. a. DZ: Did they talk to the town about that? b. LP: They have someone in charge of that that they ve contacted. I know that everything s worked out thus far. 8. Firewood - $200 a. SM: I would suggest to them that they have the security permission in writing for their sake. b. JA: Can they turn in another budget since there are a lot of alterations? c. LP: Since the event is this weekend already then I don t think they should have to. 9. LP: I think we should give them $4,000. * Community Service Day 1. 2 buses at $450 each = $900 a. LP: The bus amount is correct. b. JA: Would there be a sign up? c. LP: Yes. d. LP: Are there any motions for the budget of class 2010. AF: I move to approve the budget allotting for $4,000. *Motion was seconded *All in favor *Any opposed *Any abstentions *Approved the budget of the class of 2010 for $4,900. D. Programming Board 7:15 1. LP: At the end of the year, their budget has been approved for the fall semester. Each RSO submits a budget for the following

year. This amount of money was approved already but they have added things for this year. I need to ask you if you feel the funding of the King of Prussia was legitimate. 2. AF: What would happen if we said they weren t? 3. LP: Someone would have to come up with the money to pay back the SAF. 4. LP: They had one bus - $460 for the King of Prussia. 5. Homecoming Pageant a. LP: was anyone against the cost? b. SM: $550 well spent. 6. Homecoming Dance to celebrate Westminster s time of Tradition of non-athletics and to have fun. 7. Eastern State Penitentiary a. Cost: $2,010 b. 2 buses - $810 * LP: I want to say it was $460 a piece * JA: Do we have receipts for these? * LP: Yes. 8. Activities Awareness Day Drive- in Movie a. Cost: $5,442.18 b. Holiday Inn - $129.00 * LP: We had to pay for the driver of the company to stay overnight at a hotel. That was an executive approval. I put it on the card. c. Dr. Bengali - $1,299 d. McCarter Theater - $1,000 9. JA: So they re requesting an additional $8,262.33? a. SM: yes b. LP: We will be approving them for the $8,262. c. SM: We re approving the future and past programming. d. DZ: They have 9,000 left. e. JA: How much money do we have? f. LP: $118,000 for the year. We ve had close to $100-125 k this year. g. SM: I move to approve the budget of the Programming Board for $16,003.51, which includes past and future programming for the semester. h. Seconded *All in favor *Any opposed *Any abstentions. E. BHA 7:30 1. Total amount requested: $5,507.24 2. LP: The issue is they have no cash advance for the semester. Cash advance is when a group has an event approved and they come to me and need $250 to spend on this they can t do that. They can only spend the money and then we reimburse them for it. Last year they didn t document things and receipts. Because of this I ve been trying to work with them.

We ordered a couple of things online for food because they don t have the money to pay for anything up front. 3. Open Mic Night - $432.00 a. LP: Was catered from Olives I paid with the Amx- it wasn t over $250. Whatever money was not used is still in the account. 4. Official Kick-off for BHA 10/16 - $983.00 a. LP: Catered by The Island Breeze because they can t buy anything in advance. They ll give me an invoice and then I can pay them. 5. Open Mic Night October 18, 2008 Total: $600 a. They hired a professional comedian from the Stress Factory. b. DZ: It s the same night of the camp out. c. LP: But by that time people will be in teams already. d. Light finger foods from Olives - $350 and $150 for drinks. 6. National Hispanic Heritage Month Movie Nights a. DVDs - $60 * SM: As long as they re donated after. 7. Latin Night Havana Nights a. LP: Last year they spent about $400 for food and now they re upping it which I think is good. b. Food: $625. c. Decorations: $792.24 from Stumps d. Entertainment: Tanya Cruz will be teaching Dance lessons - $200. 8. Holiday of Many Colors a. Benefits 100% of student body. 9. LP: I m looking to approve BHA s budget for $5,507.24. SM: so moved Seconded All in favor Any opposed Any abstentions i. BHA s budget for $5,507.24 has been approved. F. RU:CAST: 7:45 1. LP: This is what has been approved thus far. They came to me requesting, they re having a guest speaker, money for dinner and for the E-board of RU Cast, which I did not approve. They wanted $150 to go to a nice dinner with the guest and the four officers. I said I would give them money for the guest because he was coming fro free and they would have to pay for themselves. G. Circle K

1. LP: Can we approve the concert for Darfur for the DJ and the food, which has already happened. They re asking for the approval for the event. Do you feel that the money $1,088.75 has been appropriately allocated. 2. TW: It should not say on here that the mission was to raise money rather than awareness. 3. SM: It should be to raise awareness with optional charitable donation. 4. LP: There wasn t any fixed amount to donate. Are we suggesting tabling this for it to be on the proper form and to be worded correctly? *Ayes A. Student Activities Fee * An Executive Session was called and voted on. VI.
