The firm is required to submit the following documents along with the proposal application form attached in Annexure-1:- a. A self attested copy of PAN/TIN, certificate. b. A self attested copy of address proof. c. One Demand Drafts as per point no. II. d. An affidavit (on Rs. 10/- non judicial stamp paper, duly notarised) should also be given by the applicant that it, has never been blacklisted by any organisation including Universities, Institutions or Colleges. II. The applicant has to submit one DD of Rs. 1000/- (One Thousand) as processing fee which is non refundable. III. Earnest Money (equivalent to five months rent in the form of FDR, pledged in favour of Gautam Buddha University) will be required to be submitted by the licensee along with the tender, which will be converted into security deposit of the successful bidder. IV. The security deposit shall only be released after three months of end/ termination of license agreement and submission of no dues certificate/clearance from maintenance and finance department of the University. OTHER TERMS & CONDITIONS I. Interested firms/ individuals should submit the proposal greater than or equal to the reserved price. Proposal less than the reserved price shall not be entertained. II. III. IV. The licensee shall pay the monthly rent in advance till seventh day of every month. If rent is not paid upto 7 th of the month, the licensee shall be liable to pay interest @ 15% per annum calculated on daily basis. If the licensee fails to pay the rent (with the interest) upto a period of three months, the competent authority may terminate the agreement and the entire security deposit shall be forfeited. The firm will be required to install a prepaid electrical sub-meter at its own cost and the firm is required to get prepaid coupon from the Maintenance Department. Normally no extension in payments shall be allowed. All payments must be in the form of DD drawn in favour of Gautam Buddha University payable at New Delhi/Noida/Greater Noida. V. The selected firm/ individual will be required to set up a necessary infrastructure in the designated place for smooth operation. No structural change in the shops is allowed. Any replacement later and repair during the course of operation shall be done by the licensee. VI. VII. VIII. IX. The licensee shall not sublet /permit the premises or any other part thereof to be used by other person for any other purpose whatsoever without the prior permission and in default of thereof shall be liable for cancelation of license. The licensee shall not introduce any partner nor shall transfer possession of the premises or part of thereof or otherwise carry on the business in the premises with any other person or assign, transfer, charges or any other alienate his interest in the premises shall not change the business for which the premises is licensed to him. The licensee shall sign a formal agreement on non judicial stamp paper worth Rs. 100.00/- (at his cost), within fifteen days from award of work. The initial license period will be for three years which may be further extended for subsequent term upon satisfactory performance of the licensee. The licensee shall not allow any other person to use the premises with or without consideration. He shall not use the premises or any other space in the campus for residence of himself & his employee or for any other purpose other than provided in the licence deed. The licensee shall abide by the timing of the University and shall ensure not to close the premises or suspend the licensed business for even a day and be absent on account of unavoidable circumstances beyond the control of licensee and such reasons should be up to the satisfaction of the university. The licensee shall not be permitted to exhibit in the University premises any printed or written notice /advertisement posters etc of any kind and any company whatsoever. X. The licensee and his employees should ensure courteous behaviour with the staff and students and he should ensure nothing to be done which would create any kind of disturbance or indecency to the academic atmosphere of the University. Sale /Consumption of liquor/cigarette/tobacco and other similar items is strictly prohibited and report/findings of anything of this nature by the licensee or its employee will result in immediate termination of the license and legal action accordingly. The Competent Authority of the University may without assigning any reason, withdraw shops from the offer at any stage. The committee responsible for finalization of the allotment may accept or reject any offer including the best proposal after considering all other aspects. The University reserve the right to allot one or more shop to the applicant. A proposal cannot be withdrawn once finalised. The allottee can vacate the shop on voluntary basis by giving two months notice advance to the competent authority Earnest money will be returned to unsuccessful bidder after completion of the allotment process. The processing fee is non refundable. The proposal received from the existing defaulter allottees of the shops in shopping complex shall not be entertained. All Government taxes due to the Commercial shop or activity is to be borne by the allottee. The Shop has to be made functional as per purpose specified in proposal application form attached in Annexure -1. The proposal received up to the last date will be examined, by a duly constituted committee and the shortlisted vendors may be called for further interview and final negotiations. Those interested may send the detailed along with proposal application form attached in Annexure-1, in the sealed envelope subscribing Proposal for Commercial Shops in GBU latest by 19 th August 2015 in the office of the Registrar, Gautam Buddha University, along with the relevant documents. The authorised signatory/s should sign on all pages of the proposal. Proposal received without the processing fee, earnest money and documents mentioned in point no.-i will not be entertained. Proposal will be opened on 20 th August 2015 at 3:30 PM in the conference room of the Registrar at First Floor of the Administrative Building of the University.
