Queen s University Husing & Hspitality Services Residence Agreement Graduate Students - Cnfederatin Place Htel All students are expected t regulate their cnduct accrding t reasnable standards f curtesy and respect fr the rights f ther residents and the reputatin f the University. All residents are subject t the laws f the land and the Queen s Cde f Cnduct. They are als expected t adhere t the Residences plicies, rules and regulatins* which are in place t ensure the privacy, safety, security and cmfrt f students living in residence, and fr the prtectin f University prperty. Vilatin f these plicies, rules and regulatins will result in disciplinary actin within Residences, which may include the terminatin f the residence agreement and/r sanctins by ther gverning bdies n campus. *please visit ur website fr a cmplete listing f rules and regulatins. 1. Terms and Cnditins f Occupancy This agreement is fr space in residence (nt a particular rm). 2. Mve-in and Mve-ut dates / Campus Clsures This agreement shall be fr a perid beginning n the Mve-In date in effect fr the resident (determined each year and cmmunicated t all incming students) and ending n the Mve-Out date in effect fr such resident. 2.1 The Mve-In and Mve-Out dates fr resident students are published by the University Registrar and in ther residence publicatins, and these dates shall be deemed incrprated int this agreement. Please visit the Registrar s website fr details. 2.2 N early arrivals will be accmmdated except fr residence student staff and huse cuncil. Any early arrival arrangements must be made directly with Cnfederatin Place Htel, and are nt included in the residence fee. 2.3 Failure t mve in n the Mve-In date may result in the lss f the assigned residence bed, unless the Residence Admissins Office has been infrmed, in advance, f late arrival. 2.4 During the December-January campus clsure perid, n fd, residence life r ther residence services are prvided. Students may, hwever, ccupy their rms during this perid.
2.5 Failure t mve ut within the prescribed perid as nted will result in additinal charges levied directly by Cnfederatin Place Htel. 3.0 Cancellatin / Terminatin f Agreement 3.1 Prir t picking up keys r ccupying a residence rm, this agreement may be cancelled by the student thrugh written ntificatin t the Residence Admissins Office. The student may be subject t charges (as indicated in item #8.3). 3.2 After a resident has either taken ccupancy r picked up keys, the resident cannt cancel the agreement. A resident may request cancellatin f the agreement nly if withdrawing frm the University fr academic r medical reasns. Please cntact Residence Admissins fr further infrmatin regarding withdrawals. 3.3 Between Mve-In and Mve-Out, a resident may be granted cancellatin f the agreement by arranging fr the rm t be ccupied by anther full-time Queen s student nt currently living in residence. The Residence Admissins Office must apprve the replacement befre cancellatin can ccur. 3.4 Terminatin f the residence cntract may ccur if a resident vilates the Residences Rules and Regulatins r impacts the health, safety r well-being f ccupants and/r the residence cmmunity. 4.0 Eligibility fr Residence T be eligible t live in Cnfederatin Place Htel residence, students must be enrlled at Queen s University in a graduate r prfessinal schl prgram. Pririty will be given t full-time students. Parttime students are nt eligible. 5.0 Re-admissin t Residences / Queen s Cmmunity Husing Eligibility fr re-admissin t Queen s Residences r t University-wned, ff-campus husing is based n several factrs, including respnsible behaviur and psitive cntributins t the quality f life in residence. Residences and Husing Services reserve the right t refuse admissin t any student. 6.0 Rm Assignments 6.1 The University will attempt t take int accunt preferences frm the Residence Applicatin Frm, hwever we cannt guarantee requests fr particular accmmdatin. 6.2 Residence rms are intended fr use nly by Queen s students assigned by Queen s University Residences. N dependents are permitted, except spuses in sme case, when apprved by Residence Admissins. 6.3 N fewer r n mre than the number f peple assigned by the University shall ccupy the rm. If during this term f ccupancy, an agreement is terminated with respect t a resident in a multiccupancy unit, the remaining students shall accept such rmmate(s) as assigned by the University. 6.4 The University reserves the right t assign students t different rms in the residence system after Mve-In r t terminate this agreement if such re-assignment r terminatin is advisable in the interests f health, safety, well-being f ccupants and/r the residence cmmunity, discipline, maximizatin f
resurces r the administratin f its residence prgram. In the case f re-assignment, the resident will be required t pay the residence fees (and meal plan if applicable) stipulated fr the new accmmdatin. 6.5 If yu have special needs that require physical accmmdatin r building adaptatin, Queen s Residence will meet yur needs t the best f ur ability, subject t availability at Cnfederatin Place Htel and prvided that yu cmmunicate these accmmdatins t us well in advance f yur arrival. Special needs may include disabilities such as mbility, visin r hearing impairments. Due t the large number f requests that we receive, special needs, medical cnditins r physical challenges will be given first pririty. We d nt have the capacity t accmmdate ailments such as cmmn allergies r migraines. If yu require special accmmdatin r have cncerns that are persnal and unique t yur situatin, then please let us knw. 7.0 Check-in / Check-Out Requirements A resident is required t check in and check ut frmally at the beginning and end f ccupancy at the Cnfederatin Place Htel frnt desk. The Rm Assessment Frm available in the rm becmes the basis fr the assessment f any ptential charges due t damage r lss. If n frm is submitted by the deadline f a week after mve in, it will be assumed that the rm was in acceptable cnditin and fully equipped with furniture and furnishings. Befre mving ut, a resident is required t remve all refuse and discarded materials, leaving the rm clean. All charges fr additinal cleaning required, fr remval f persnal prperty and fr any lss r damage caused by the resident(s) will be billed t resident(s). Belngings left behind upn Mve-Out will be cnsidered abandned and will be dispsed f by the University with n liability. 8.0 Fees and Charges 8.1 Residence fees include rm and/r meal plans where applicable and are payable by specific dates as published by the University Registrar (hyperlink). 8.2 Residence fees are based n the type f rm as designated by the University and nt n specific amenities, such as square ftage, accessibility t flr kitchens/cmmn rms, furniture, etc. 8.3 Residence fees may be refunded in limited circumstances as set ut in item 3.2. The amunt f any refund will be determined by the date n which the Residence Admissins Office receives written ntice and the date that the resident mves ut f residence. 8.4 Nn-payment f residence fees may be grunds fr cancellatin f the residence cntract with the resident. 8.5 Residence Applicatins will nt be prcessed withut the required depsit. Refer t the Hw t apply sectin n ur website (hyperlink t http://husing.queensu.ca/residences) with regard t due dates, depsits, refunds and ther imprtant infrmatin. 8.6 All fees and charges unpaid after the due date will autmatically be subject t a late penalty charge established by the University.
9.0 Rm Inspectin and Repairs Cnfederatin Place Htel staff has the right t enter a resident s rm fr the purpse f cleaning, maintenance, inspectin f facilities, health, safety, security r in the event f an emergency r ther University/Htel prcesses. Regularly set weekly rm reviews will be scheduled t ensure the rms are being kept in accrdance with the Htel s standards. Except in emergency situatins, ntice f such entry will be given in advance where pssible. Submissin f a Maintenance Request Order cnstitutes permissin t enter a resident s rm and t effect the repair withut further ntice. Students must nt impede staff in the perfrmance f their duties. 10. Lst r Stlen Items The University and Cnfederatin Place Htel shall nt be liable fr lst, stlen r damaged items f persnal prperty, n matter hw caused, wherever this may ccur, including strage facilities. It is the respnsibility f the student t arrange fr insurance cverage fr persnal prperty brught int residence. 11. Residence Damage The University shall nt be respnsible fr any injury, damage r lss suffered by the resident, and/r his r her guests while in r abut Cnfederatin Place Htel which is caused by the negligence f the resident r his/her guests r results frm vilatin f the plicies, rules and regulatins f the University and Cnfederatin Place Htel. Students are jintly liable fr all damage that is caused t their rm(s). All students n a flr are jintly liable fr all damage dne n their flr. All students in a residence building are jintly liable fr all damage dne t the structure f their building and/r any furniture/furnishings/fixtures therein. 12. ResNet / Internet Agreement Residents using the ResNet service prvided r accessing the University s internet services, the resident agrees t abide by the ResNet Acceptable Use Plicy and the University s Cmputer Cde f Ethics - see the fllwing link fr details. www.queensu.ca/secretariat/senate/plicies/cdes.html 13. Parking Parking may be available at an extra cst, negtiated directly with Cnfederatin Place Htel. 14. Persnal Infrmatin Queen s University s Residences cllects certain persnal infrmatin frm students and is cmmitted t prtecting that infrmatin. Persnal infrmatin is cllected under the authrity f the Ryal Charter f 1841, as amended and will be used by the University fr the fllwing purpses: t assess a student s eligibility fr residence accmmdatin r ff-campus husing prperties and/r related services t prcess residence applicatin frms and the allcatin f bed space t identify preferences and special cnsideratins f students fr the allcatin f rms t assess the efficiency f ur peratins and the prvisin f services t cmmunicate with students, parents and thers regarding ur services, r in the event f an emergency
t address disciplinary, behaviural r health issues that arise t bill, cllect and accunt fr prvisin f services t preserve and prtect the safety and security f residents and the cmmunity t build and maintain relatins with the University while enrlled as a student and beynd Sme persnal infrmatin may be shared with ther departments n campus (such as Student Affairs, Campus Security r Health, Cunseling and Disability Services) r utside cntractrs (such as Fd Services supplier) fr the purpses f identifying, cntacting, serving r helping students. In the cllectin, use, disclsure and retentin f persnal infrmatin, Queen s Husing and Hspitality Services cmplies with the Freedm f Infrmatin and Prtectin f Privacy Act (www.queensu.ca/accessandprivacy/act.html) and the University Registrar s Student and Applicant Recrd Plicy. Hwever, if the resident is injured r ill, r in the pinin f the University represents a threat t him r herself r t thers, the University may cntact third parties (including but nt limited t, gvernment and health fficials, next f kin, r an indicated emergency cntact persn) and disclse persnal infrmatin t them. Special Needs: Please nte that Queen s Residences des nt share infrmatin abut residents with special needs with thers n campus, except in circumstances related t safety and security (i.e., mbility issues in the case f a residence evacuatin). 15. External Circumstances T the extent that the University is unable t fulfill, r is delayed r restricted in fulfilling its bligatins under this agreement by any cause beynd its cntrl, the University shall be relieved frm the fulfillment f its bligatins during that perid. Withut restricting the generality f the freging, the University shall nt be respnsible fr failing t meet its bligatins under this agreement due t a strike by its emplyees and/r any ther frm f jb actin r labur unrest r an ccurrence that renders fulfillment f the agreement impssible. 16. Cntract Changes The University reserves the right t amend this agreement and may, frm time t time, issue regulatins cncerning Residences.
