EXPO/DEMO AREA APPLICATION FORM The fourth season of the Crankworx World Tour will stop by in Innsbruck for the second time after 2017. Innsbruck, Austria will be stop number two of the four-stop Crankworx World Tour. For year number two, Innsbruck will build on the momentum generated during its first year hosting the world s biggest gravity-fuelled mountain bike festival, promising to go bigger, fly higher and get louder. The world s best athletes will be hosted from 13 th to 17 th June 2018 at the Bikepark Innsbruck. Application deadline is the 31 th of March, 2018. CRANKWORX INNSBRUCK 2018 EXHIBITOR RULES AND REGULATIONS For Crankworx Innsbruck 2018, the exhibition area is organised by the innsbruck-tirol sports GmbH. These rules define the conditions in which the innsbruck-tirol sports GmbH organizes and operates the expo and activity area. It specifies the obligations and the rights of the exhibitor and of the organiser. The Exhibitor formally commits to respecting these rules. Crankworx Innsbruck 2018 does not accept any liability for stolen or damaged items. The exhibition area will take place in Innsbruck/Mutters from June 14-17, 2018. The organiser reserves the right to change the dates at any time. The organiser can also decide to prolong the event, postpone or shorten it. In any of these occurrences the exhibitor will not be entitled to any compensation. If new dates are issued and are not approved by the exhibitor, the amounts already paid will not be reimbursed. There is no exclusivity guaranteed with respect to exhibitor products. Payment must be received in full before the exhibitor may exhibit. In the event that any portion of the Exhibition is cancelled for any reasons beyond the control of the Organisers, neither party shall have any further obligations or liabilities to the other, no compensation or indemnity can be requested nor shall any payments be returned. There will be no refunds due to inclement weather. Application form must be returned to the innsbruck-tirol sports GmbH completed in full and signed. Applications will only be taken into consideration as long as the exhibition area is not full. The innsbruck-tirol sports GmbH has the right to accept or refuse any application and freely assign the location of the booth. The application has to be submitted until latest 31 th of March, 2018. Cancellation fee for cancellation by the exhibitor: before the 30 th of April 2018, 30% of the total cost (taxes included) will not be reimbursed. After the 30 th of April 2018, 100% of payment is non-refundable. The innsbruck-tirol sports GmbH must be notified in writing of any cancellation. Exhibitors who fail to set up their booths within the defined Load-In hours will forfeit their space with no refund. The Exhibitor commits to not dismantle his booth and tent before the defined Load-Out hours. It is strictly forbidden for the exhibitor to transfer part or entire booth, even at no cost, to anybody else. Only the entitled exhibitor can occupy the reserved space. The exhibitor commits to: - only displaying products or services that are related to the Exhibitor s brand. - not advertising anything that may be misleading or constitute unfair competition. - not displaying any other brands outside of the above registered. The amount of signage used is to be mutually determined by the Exhibitor and the innsbruck-tirol sports GmbH. The innsbruck-tirol sports GmbH reserves the right to remove excessive signage at its own discretion. Any onsite activations outside of regular exhibition booth activities have to be pre-approved by the Event Organisers. Any sales, sampling, give-aways or other commercial activity has to be approved by the organisers prior to the exhibition and is restricted to the location of the booth. The exhibitor is solely responsible to adhere to any legal restrictions imposed by Austrian law regarding any onsite activities. 4
Exhibitor parking is not available on site, except for the above registered vehicles. Registered vehicles will receive a parking sticker that has to be visible at all times. The Exhibitor cannot park any non-registered vehicles anywhere in the exhibition area. An event-parking site in walking distance to the exhibition area will be available for any additional cars. Exhibitor shall be solely responsible for the timely clean up after completion of the Festival as well as ongoing cleanup of the booth. This includes having sufficient garbage & recycling bins at each site. Garbage & recycling must be removed from the sites each day. A central garbage disposal location will be provided by the organiser. Open fire in the whole festival area (including exhibition area) is prohibited. Any contravention is a cause for exclusion from the festival. Exhibitor displays all products AT THEIR OWN RISK; please do not leave any valuables unattended. The Event Organisers assume no liability or responsibility for damage, theft or loss of exhibitor product or equipment. Night + day security will be available for the general event area including operations, spectator, field of play, expo and others. There will not be any exhibition specific security, neither during day or night. The innsbruck-tirol sports GmbH being the organiser of the exhibition Crankworx Innsbruck 2018 Expo, is liable under civil law. This responsibility does not cover any damage caused by third parties to visitors or exhibitors or by exhibitor to visitors and third parties. NOTE: the exhibitor has to insure his booth against theft, damage caused by water, fire, wind. The organiser is not liable for any of these instances. The exhibitor will be responsible for any damage caused by its staff or from the setup of the booth. The exhibitor must have public liability insurance and has to provide the organiser with a copy of it when they apply. The innsbruck-tirol sports GmbH has the right to rule on all instances not covered by these rules and regulations, and to add or modify them. If such an instance were to take place, the innsbruck-tirol sports GmbH has the right to immediately enforce any new or modified rules or regulations. The memorandum sent to the exhibitors subsequently will be part of this signed document. All transgressions from the rules and regulations can lead to the eviction from the exhibition without notice given to the infringing exhibitor. Any payments made will not be reimbursed. The innsbruck-tirol sports GmbH will be allowed to use the freed up area as it wishes. By signing the application form, the exhibitor accepts with, no reserve, the rules and regulations previously mentioned. Only the English original version of the rules and regulations will be admissible in court. The exhibitor commits to notify the innsbruck-tirol sports GmbH in writing prior to any legal proceedings. In the case of any legal proceedings, only Austrian law will be applicable and the court of Innsbruck will be the only court competent to deal with the affair.
