Logging into Banner Finance Self Service Select Enter Secure Area. 2
At User Login screen enter your Banner ID and PIN. 3
Select either Finance from the Main Menu or the Finance tab. 4
Budget Queries Select Budget Queries from the Finance menu. 5
Select Budget Status by Account from the drop down menu. 6
DO NOT CHECK OFF Shared! Choose the columns to be displayed on the report. 7
Select the fiscal year and fiscal period from the drop down menu. The fiscal periods follow the fiscal year i.e. July = 01, August = 02, etc. Enter A for the Chart of Accounts. Enter the fund and organization. Select Submit Query. 8
Your query information will appear. All data fields that appear in red can be drilled down to see transactional activity. 9
The transactional activity appears with an option to download the report into Excel. 10
Select Open from the pop-up box to view the report in Excel. 11
Hit the back button to return to the query results. The entire report can be downloaded into Excel by selecting Download Selected Ledger Columns. 12
Select Open from the pop-up box to view the report in Excel. There are additional columns to the right. 13
Select Menu to return to the Main Menu. 14
Saving Budget Queries Select Budget Status by Account from the drop down menu. 15
Choose the columns to be displayed on the report. 16
Select the fiscal year and fiscal period from the drop down menu. The fiscal periods follow the fiscal year i.e. July = 01, August = 02, etc. Enter A for the Chart of Accounts. Enter the fund and organization. 17
Enter a name for your Budget Query and submit query. 18
Your query information will appear indicating that the template has been saved. 19
Your query can be run again by selecting the saved query from the drop down menu. 20
Encumbrance Queries Select Encumbrance Query from the Finance menu. 21
Select the fiscal year and fiscal period from the drop down menu. The fiscal periods follow the fiscal year i.e. July = 01, August = 02, etc. 22
Enter A for the Chart of Accounts. Enter the fund and organization to see all encumbrances. Enter an account to select encumbrances for a particular account. Submit Query. 23
Your query information will appear. All data fields that appear in red can be drilled down to see transactional activity. 24
The transactional activity shows the purchase order and invoices paid. All data fields that appear in red can be drilled down to see transactional activity. 25
Drilling down on the purchase order will allow you to view the document and related documents. 26
Drilling down on the invoice will allow you to view the document and related documents. Hit the back button to return to the Finance menu. 27
Budget Transfers Select Budget Transfer from the Finance menu. 28
Select BD04 Temporary Budget Adjustment from the Journal Type drop down menu. 29
Enter the Transfer Amount, Chart (A), fund, organization, account and program from which the transfer is being taken. Enter the fund, organization, account and program to which the transfer is going. Enter a detailed description (transfers without detailed descriptions will not be approved). Select the current budget period. The budget periods follow the fiscal year i.e. July = 01, August = 02, etc. IMPORTANT: if the budget period selected is not the current budget period the transfer will go into suspense and will not progress beyond department approval. 30
Select Complete. 31
Do not hit Complete a second time or you will submit a second transfer! If the budget transfer is successfully completed you will receive confirmation along with the document number. To close the Budget Transfer select Menu from above. Do not hit Complete again the transfer will be submitted again. 32
If there are insufficient funds to complete the transfer it will be suspended without a document number. 33
