EXHIBITOR CONTRACT EXHIBITOR DEMOS: A limited number of time slots are available for exhibitors to put on special demonstrations or presentations. The indor space will have a screen, projector, laptop and internet available. The outside area is approximately 10 x 20. Demonstrations/presentations are limited to 20 minutes one indoor, or one outdoor per exhibitor on a first come, first served basis. If slots are still available on the day of the desired presentation/demonstration, exhibitors may request extra time or additional slots, again, on a first come, first served basis. EXHIBITOR CONTRACT Exhibit rental will include the following: 10 x10 display area with back and side drape. 6 table with skirt and 2 chairs. Exhibitor ID sign. Listing in the conference program and a copy of the final registration list upon request. Two (2) complimentary exhibitor name badges and 500 Buckaroos for distribution to booth visitors. Off-hour security will be provided by an independent security firm for both indoor and outdoor exhibits. Free Wi-Fi wireless. Space will only be held upon receipt of a 25% non-refundable deposit and completed Exhibitor Contract. Balance is due by August 20, 2015. After August 20, 2015 payment in full must be included with submission of contract. Booth Assignment NMRCGA will attempt to make booth assignments in keeping with Exhibitor s request set forth on the front of this contract. However, NMRCGA reserves the right to make the final determination of all space assignments. NMRCGA shall have no liability for its failure or inability to comply with exhibitor s requests, and exhibitor shall have no right to cancel this contract because of NMRCGA s failure, or inability to comply with exhibitor s requests. Regulations Demonstrations must be confined to designated demonstration areas only. Demonstrations must be approved by NMRCGA prior to the event. Reserved space is for exclusive use of client. No brokering or subletting of space permitted. Exhibitor s booth will be open and fully staffed during all official exposition hours. Display will not be dismantled prior to the official show close (3 PM Thursday September 17, 2015). Exhibitor shall not erect any exhibit or other structure that exceeds the Exhibitor s booth dimensions or 8 ft tall. All over-the-counter sales or sales of any kind that involve the exchange of currency for goods received during the exhibition are prohibited. Exhibit Hall The Exhibit Hall will be available for setup beginning at 8 AM on Tuesday, September 15, 2015. Setup must be complete by 5 PM on Tuesday, September 15, 2015. The Exhibit Hall opens at 10 AM on Wednesday, September 16 and all exhibitors must have their booths fully staffed. The Vendor Reception will take place from 3 PM to 5 PM, and The Exhibit Hall will close at 5 PM on Wednesday, September 16. The Exhibit Hall will reopen at 9:00 AM on Thursday, September 17and remain open until 3 PM. Exhibit tear-down is from 3 to 5 PM on Thursday, September 17. All materials must be out of the Exhibit Hall no later than 6 PM, or you will be charged an additional fee for removal. It is further agreed that actual occupation of the exhibit space by an exhibit is essential. Should the exhibitor be unable to occupy the space by 10 AM on Wednesday, September 16, 2015, then NMRCGA is authorized to occupy, or cause said space to be occupied in such a manner as it may deem in the best interest of the exhibition, without any rebate or allowance whatsoever to the exhibitor, and without in any way releasing said exhibitor from any liability, or from any of its other obligations under this contract. Said exhibitor expressly agrees to pay NMRCGA the full sum set forth. Nothing shall be posted on, tacked, nailed, screwed or otherwise attached to any columns, walls, floors or other parts of the exhibit hall area without written permission from NMRCGA. Packing, unpacking and assembly of exhibits shall be done only in designated areas and in conformity with directions of NMRCGA, the convention facility manager, or their assistants. Other display needs may be purchased separately from our exhibit contractor. A packet will be mailed approximately one month before the event with information regarding these extra services, such as electricity, cleaning, additional furnishings, etc. 4

EXHIBITOR CONTRACT NMRCGA will not be liable for the non-fulfillment of this contract as to the delivery of exhibit space if the non-delivery is due to any of the following causes: by reason of the facility being damaged or destroyed by fire, acts of God, public enemy, war or insurrections, strikes, the authority of the law, postponement or cancellation of the exhibition, or for any cause beyond its control. It will, however, in any of the above named reasons reimburse the exhibitor on a pro-rated basis on any amount paid, less any and all legitimate expenses incurred, such as but not limited to rent, advertising, salaries, operating costs, etc. Taxes and Licenses Exhibitor shall be responsible for obtaining any licenses, permits or approvals required under local, state or federal law applicable to their activity at the exhibition. Exhibitor shall be responsible for obtaining any tax identification numbers and paying all taxes, license fees or other charges that shall become due to any governmental authority in connection with their activities at the exhibition. Insurance An exhibitor shall carry its own insurance. NMRCGA and the exhibition facility assume no responsibility for the safety of the properties of the exhibitor, its officers, agents or employees from theft, damages by fires, accident or any other cause whatsoever, and the exhibitor expressly agrees to save and hold harmless NMRCGA, the decorator/exposition company and the exhibition facility and their respective management, agents and employees from any and all liability resulting from injuries or damage to exhibitor, its agents, employees, persons and/or properties in connection with the exhibitor s use of the exhibit space. The Exhibitor, upon signing this contract, is certifying to NMRCGA that it has liability insurance coverage currently in place that is adequate to cover exhibitor s potential liability arising from the exhibitor s participation in the event. Any damage to the premises through carelessness, or otherwise by the exhibitor, or its employees must be paid for by the exhibitor.
