1 PLS EXPRESS QUOTE VS. FULL QUOTE PLS Express was designed to (quickly and easily) provide indicative quotes. Full Quote is used for features like: Reports, Referrals, and Issuance. Field Colors White fields are optional. Gray fields are non-editable. Blue fields are mandatory for quoting. Yellow fields are mandatory for issuance. Green fields are mandatory for requesting reports. Step-by-Step 1. Click the Quote icon on the PLS Main Menu. 2. You are in the Quote System and you are on the Policy Common screen. Click the New icon in the top toolbar. 3. Select a State and enter an Effective Date. 4. Click the PLS Express button.

2 5. Common Information Screen 1. General Information Quote Number and Effective fields will pre-fill. 2. Multiple Policy Credits: Acount Credit This credit must be manually applied if the total premium for all lines is $25,000 or greater. 3. Primary Insured: Note: When you enter the Insured s name, use an asterisk just prior to the last name. Examples John*Smith Jose*De Sales Frank L.*Smith E. Patrick*Johnson Note: In applicable states, the IBS report will order automatically when you click the Next button on this screen. Note: To save time, you may enter just Addr1 and the Zip, and then click Validate. The system will fill the City, County, and State fields. The Next button will not be active until you click Validate. 4. Module Selection The system will drive you through the required screens based on your module selection. Check all modules that need to be included in the quote.

3 (Possible) Name Conflict Name Conflict: Sometimes, if you have done more than one quote for a particular customer, the system will detect that the name has already been entered. When this happens, the system will display the following screen and give you the ability to resolve the (possible) name conflict.

4 6. Home Information 1. Risk Information Enter the Year Built (YYYY). Modify the other fields as needed. 2. Coverage Limits Enter the Residence Limit. The Pers Prop field will default to 70% of Residence Limit. The Oth Struct field will default to 20% of Residence Limit. 3. Rehab Update Years If there was a rehab, enter it as a 4-digit year. (YYYY) 4. Home Claims If there are claims, enter the number here. Note: The claims themselves must be entered via PLS Full Quote prior to issuing. 5. Forms Applicable forms will display based on state. Additional endorsement forms may be added via PLS Full Quote.

5 7. Auto Information 1. Liability and UM/UIM Default is $500,000. You may select other values from the drop down. 2. Vehicle Information: Only Private Passenger, Antique, and Classic vehicle types may be quoted in PLS Express. All others must be quoted via PLS Full Quote. Enter the VIN if it is available. If not, use the VIN look-up feature to generate the first 10 digits. (This feature appears in a popup when you enter the Make, Model, and Body.) NOTE: Any special characters such as & must be deleted and the correct VIN entered prior to submitting to Underwriting. Failure to do so will result in an error message. 3. Deductibles Comprehensive and Collision default to $1,000. Other limits are available from the drop down. 4. Forms: Additional endorsement forms may be added via PLS Full Quote. Agreed Value follows current system NADA guidelines. 5. Credits Select the Multi-Car credit if additional insured vehicles are garaged in another state. 6. PIP PIP options can only be changed via PLS Full Quote.

6 8. Driver Information 1. Driver Information: Driver Name will be a drop down if more than one person is listed as a Primary Insured on the Common Information screen. Marital Status defaults based on the number of Primary Insureds. Date 1 st Licensed defaults based on Birth Date, but can be amended. 2. Discounts Select all that apply. Good Student and Driver Training are automatically applied for all drivers age 21 or younger. 3. Violations and Accidents Use these buttons to open additional screens for entering this information. 4. Add Drivers More than one person must be listed as a Primary Insured for this button to be active. See Common Information screen.

7 8a. Driver Information Violations and Accidents 1. Date fields on this screen refer to conviction dates. 2. The Next button here will take you back to the Driver Information screen. 3. Use the Add Violations button if you need to enter more than the two violations provided by this screen. Note: Motor vehicle reports will be ordered upon binding/issuance in PLS Full Quote. Note: All accidents/violations entered in PLS Express will be deleted by the system when MVR s are ordered in PLS Full Quote. Note: Review the entries on this screen. If necessary, delete duplicate incidents that do not have a source of MVR. back to Driver Information

8 9. Umbrella Information 1. Umbrella Coverages All ACE exposures on the Home and Auto screens are automatically included. If Watercraft exist, the information must be entered on the Standard Quote (PLS Full Quote). 2. Underlying Limits on Other Policies Maximum number of exposures is limited to 10. (For example, you may have 10 Addl Locations, 10 Recreational Vehicles, 10 Wcft < 26 and 10 Wcft 43-55.) Note: When you convert a quote from Express to Full, more specific underlying information is required. PLS Express uses defaults. Prior to issuing the policy, these defaults must be amended to reflect the actual data for risk locations, automobiles, watercraft, and recreational vehicles.

9 10. Valuables Information 1. Valuables Coverage: The In-Vault indicator is only applicable for scheduled jewelry. Note: $25,000 is the default limit for Scheduled Jewelry. Modify as needed. Note: For Fine Arts, Furs, Silverware, Collectibles, and Miscellaneous, enter the total values of the scheduled items. Blanket values for these classes can only be entered via PLS Full Quote. Note: For binding/issuance, detailed descriptions and values for scheduled items must be entered via PLS Full Quote. 2. This is the final input screen. When you click Next here, the system will rate the quote. to rate the quote.

10 11. Quote Indication In a few moments, the system will generate a quote indication which you may view or print. Please wait while the system performs this task.

11 12. Completing the Express Quote You have just used PLS Express to create the new quote. The system has just displayed the quote indication and now the last screen is offering you a choice: You may pick a module and the click Next. The system will take you to that module and allow you to make changes. You are still in PLS Express. When you click Continue Quote, the system will switch into PLS Full Quote. All of the information that you entered into Express will be carried forward into Full. Click Continue Quote if you are ready to bind and issue. You may modify your quote at a later time in PLS Express. Remember to write down the quote number to make it easier to find it again. When PLS Full must be used PLS full quote must be used to bind and issue a policy In addition, the PLS full quote system must be utilized to quote: All risks located in non-core states Addresses that cannot be validated Directors and Officers Coverage Employment Practices Liability Coverage Watercraft Alternate PIP options on an auto policy Additional endorsement forms other than those identified within PLS Express Risks that require underwriting referral

12 IBS Reports Note: Upon exiting the valuables screen (or last module screen) and prior to generating a quote indication, users may see a popup message indicating the IBS report has not been received. Your possible actions at this point are: Click the Next button on the popup. The quote will rate with a Neutral IBS Band. OR Wait until the IBS report is received. This may take a minute or two. The system will notify you with a red-text message stating: IBS report has been received, select Next to rate. Note: If you wait for the report, the quote will rate with whatever IBS Band is on the report. The Big Picture The next page contains a job aid image that summarizes the screen flow for a PLS Express quote.

14 PLS FULL QUOTE PLS Express was designed to (quickly and easily) provide indicative quotes. The PLS Full Quote system goes beyond indicative quoting and provides the following features: Report Ordering States pending approval of the Core Product Watercraft Additional Forms & Coverages Valuables Schedules Refer Quotes MVR, CLUE Reports, Wind, and OFAC can only be ordered via full quote. Note: IBS reports can be ordered in either PLS Full or PLS Express. Note: Once the reports have been applied the quote is ready to proceed to the bind/referral stage. Any system supported states pending approval of our Core Product will continue to quote in the PLS Full Quote. PLS Express supports the Home, Auto, Umbrella and Valuables Lines of Business. Consult our Underwriting Guidelines for watercraft placement in PLS Full Quote. Any additional coverage forms requested for quoting that are not available in PLS Express can be selected in Full Quote. Examples include: Alternate auto PIP options states. Directors and Officers Coverage Employment Practices Liability Coverage Entry of the individual valuables scheduled items must be entered in Full Quote. Note: Additional Valuables Classes are also available. Refer risks to the underwriter. Issue coverage.

15 The Big Picture You, the Agent, are continuing a quote that was started in PLS Express, or you are opening a saved quote. In either case, you intend to issue the coverage using the PLS Full Quote system. You order reports and apply the report findings to the quote. (Prior Loss screens and/or Driver Info-Accident/Violations) Now you click the red checkmark to tell the system to check the quote. This is a non-human review to see if the quote complies with ACE s underwriting guidelines. If the quote complies, then you may Issue it. If the quote does not comply, then the system will present a list of referral details and will ask you if you would like to have a human Underwriter review the quote. If the you say Yes, then you can expect to hear one of three possible answers from the Underwriter: 1. The Underwriter declines the quote. You must modify the quote or withdraw it. 2. The Underwriter requests modifications to the quote to make it acceptable. You must modify the quote, as requested, or withdraw it. 3. The Underwriter accepts the quote. You may issue it. Throughout the entire process, there is communication between the Agent and the Underwriter via email, voice, and Abiz.

16 Step-by-Step 1. Open your quote There are two possible starting points: Continue Quote (from PLS Express) You have just used PLS Express to create the new quote. The system has just displayed the quote proposal (as a PDF file) and now the last screen is offering you a choice. When you click Continue Quote, the system will switch into Full Quote mode. All of the information that you entered into Express will be carried forward into Full. Open a Saved Quote To access quotes previously saved in PLS Express: 1. Click the Open icon in the top toolbar. 2. Enter the quote number. 3. The system will prompt you for a quote method, select Full Quote. OR

17 Note: Driver s License numbers are required for the system to be able to obtain reports for Auto. 1. On the Policy Common screen, click the Driver icon to bring up the Policy Drivers screen 2. On the Policy Drivers screen, double-click the name of a driver. This will bring up the Driver Information screen for that driver. 3. On the Driver Information screen, enter the License Number and the License State. 4. Click Save. Repeat these steps for each driver.

18 2. Order the reports This includes IBS, CLUE Property, CLUE Auto, MVR, Wind, and OFAC. You are in the Quote System and you are on the Policy Common screen. Click the Reports icon in the top toolbar. Now, on the Report Ordering Information screen, use the checkboxes to select the reports that you need and then click the Submit button. Note: The report information will be returned within 4 minutes. You may wait for the reports to arrive or you may work on other quotes.

19 3. View the Reports: Note: IBS and MVR report information is automatically applied. For CLUE Property, Auto reports, and Wind (when applicable) information must be manually entered on the Prior Loss Screens and/or Driver Info-Accident/Violations. The quote was suspended when you ordered the reports, so you need to open the quote again and then click the Reports icon in the top toolbar. The system will display the Report Ordering Information screen. On the Report Ordering Information screen, click the View Reports button. Now you are on the Order and Receiving System screen. Click the Order History tab. And now select an Order ID in the upper box. The lower box will display the name of that report. Select the name and then click the View Report button. Print the report or record the information that you ll need for the Prior Loss Screens and/or Driver Info-Accident/Violations. Exit this screen and then close the Report Ordering Information screen.

20 4. Apply a report Note: IBS and MVR report information is automatically applied. For CLUE Property, Auto reports, and Wind (when applicable) information must be manually entered on the Prior Loss Screens and/or Driver Info-Accident/Violations. You are now in the Quote System, on the Policy Common screen. Go to the top menu bar and select Policy, Prior Loss. On the Prior Loss Summary screen, click the Add Loss button. The system will display the Prior Loss Detail screen. Complete the mandatory fields, and then clisk the Save button. Continue adding as many prior losses as were found on the reports. When you are done, click the Save button on the Prior Loss Summary screen.

21 5. Underwriter Review Note: It is important to understand that the Agent and the Underwriter are communicating throughout this stage of the process via email, telephone, and Abiz. You are in the Quote System, on the Policy Common screen. Click the UWRev icon in the toolbar.

22 The system will now perform a review of the quote to determine if it complies with ACE underwriting guidelines. The following table summarizes the various outcomes of this review. Meets all guidelines Referral Required Approved The system will offer you the following options: Save & Suspend Choose this to save the quote for later. You may issue it at any time provided that you do not modify the quote. Issue See the next section of this procedure for details about Issuing the quote. The system will display a list of referral details and ask you if you would like to refer the quote to your Underwriter. No If you do not refer at this time, the quote is saved and suspended so that it is available for your further modification. Yes If you forward the quote to your Underwriter, he will communicate his findings to you by sending you an Agency Task in Abiz. Write down the quote number and open it in PLS. As soon as the quote displays, you ll see one of the following popups. You may issue the quote (or withdraw it). Request for modifications You may withdraw the quote or apply the Underwriters Notes. If you make the suggested changes to the quote, then you must use the red checkmark again to request a new review. Declined You may now decline the quote or request modification it to bring it into compliance. If you modify the quote, then you must use the red checkmark again to request a new review.

23 6. Issue the Quote You are in the Quote System, on the Policy Common screen. Go to the top menu bar and select File, Save Quote to Policy. The system will print a list of the checks you should perform to prepare the policy for issuance. Remember that if a field is required for issuance, it will be highlighted in bright yellow. mandatory for issuance Once you have completed these checks, select File, Save Quote to Policy again and the screen will look like this:

24 Policy Access The PLS System will generate a Policy Number and the Policy will be available for Inquiry or changes immediately after the issuance. To print the policy application: Select Policy Processing from the PLS Main Menu. Click the Open icon on the toolbar. On the Open Policy screen, enter the policy number and then select the Browse radio button and then click the Open button. You are now on the Policy Common screen. Click the Print icon in the toolbar. To view or print the policy in Abiz Click the Policies link on the Abiz main screen. Use the Abiz Search feature to find the policy. The Policy History section will contain links for viewing the Policy and the DEC Pages. Policy Print and Delivery The Insured Copy of New Business Policies is mailed to the Agent with an addressed envelope for delivery to the Insured. Endorsement and Renewal Print includes only the Insured copy which is mailed directly to the insured. Policy printing and assembly are provided by ACE PRS and will be mailed the following business day. Policy Download files are sent the same night as the Policy and/or change is issued.

25 RENEWAL PROCESSING PRE-RENEWAL OVERVIEW We now have the system capability to view and modify policies during a 15 day period before the renewal policy is issued. Timeline of the Renewal Process 60 Days Prior to Renewal Renewing ACE policies become available for changes/updates in the system. 45 to 60 Days Prior During this pre-renewal period, modify policies to optimize coverage, contacting the clients if necessary. Changes can be viewed in Abiz the same day 45 Days Prior The renewal policy issues and is mailed to the client. A download is generated for the agent. Effective Date of Renewal Policy goes into effective. Handle additional changes via endorsements.

26 Renewal Process Summary 1. Search Abiz for policies that are coming up for renewal. (For example: If today is March 7, then you would search for policies that are renewing between April 21 and May 6. It is a good idea to check your book of business regularly for policies that are coming up for renewal.) 2. In your search results, click the term that is renewing not the Inforce term. Abiz will now display the Policy Information screen. 3. On the Policy Information screen, click the Policy hyperlink. Abiz will display the Policy Tab Set in a new window. 4. Use the Policy Tab Set to review/print the policy details. Write down the changes you want to make for the new term. 5. Close the Policy Tab Set window. 6. On the Policy Information screen, click the Home link to return to the Abiz home page. Now, in the left-hand menu, click PLS Quote & Policy System. Abiz will open a session of PLS which you may use to make your changes for the new term. Remember that the effective date of the transaction in PLS must match the renewal date.

27 Renewal Process Detail 1. Search Abiz for policies that are coming up for renewal: There are two ways to bring up the policy search screen. On the Abiz Home page, on the right side, click the Policies link. OR On the Abiz Home page, in the Quicklinks menu, click Book of Business. On the Policy Search screen, type in the renewal dates, check the box for Inforce and Renewal policies, and then click Find.

28 2. In your search results, click the term that is renewing not the Inforce term. Abiz will now display the Policy Information screen. Note: The column headings shown above can be used to sort the data. For example, you can click on Effective to view your renewals in date order. 3. On the Policy Information screen, click the Policy hyperlink. Abiz will display the Policy Tab Set in a new window. 4. Use the Policy Tab Set to review/print the policy details. Write down the changes you want to make for the new term.

29 5. Close the Policy Tab Set window. 6. On the Policy Information screen, click the Home link to return to the Abiz home page. Now, in the left-hand menu, click PLS Quote & Policy System. Abiz will open a session of PLS which you may use to make your changes for the new term. Remember that the effective date of the transaction in PLS must match the renewal date. Note: As with any endorsement, the final step is to go to the top menu bar in PLS and choose File, Save for UES. Successful completion of this steps lets you know that the renewal transaction was accepted and processed correctly.

30 Excel Renewal Calculator If you have a policy expiration date and you need to know when the 15 day renewal period occurs, then use the technique shown below in Excel. In this example, you type March 15, 2010 into the Expiration cell and then Excel tells you that the renewal transaction for this policy can happen anytime between January 14, and January 29. Cell C2 contains the formula: =C4-60 Cell C3 contains the formula: =C4-45 In this example you type March 7, 2010 in the TODAY cell and then Excel tells you that you may execute a renewal endorsement for any policies that are renewing between April 21 and May 6 in other words, you see the renewal zone for today s date. Cell C3 contains the formula: =C2 +45 Cell C4 contains the formula: =C2 + 60

31 Renewal Appendix Abiz Tasks and Policies ACE Tasks This field lists all items currently being processes by ACE PRS including quotes, new lines, endorsements and inspections. The status of the transaction will show as processing, underwriting, etc. Agency Tasks This field lists all bound or referred quotes currently in process Agency tasks display what the agent has entered and referred to the underwriter so the tasks are between the agent and the underwriter (not with our processing area). The agent would need to call their underwriter for information on the status. Items appearing in ACE Tasks would involve the processing area and would result in a call to Customer Service. Recently Finished Lists all transactions quotes, new lines, endorsements and inspections recently completed by ACE. The system will automatically display activity completed in the last 30 days. However you can adjust this default to look at a longer (or shorter) period of time. Policies Lists all policies for last 5 years. You can use this feature to review the premiums, coverages, and items on prior terms. Client Agents may search their book of business by specific client name to find information on a particular named insured. This also is used to view as a master account so if there are policies connected (family accounts and/or multiple policy numbers for one insured along with Claims information and number of years with the company, etc.)

32 AGENT ISSUANCE CHECKLIST Open the quote in PLS http://www.aceprivateriskservices.com Click the Producer Login link. Login to Abiz. In Abiz, click PLS Quote and Policy System. (Left side, blue menu) Double-click the PLS System icon. The PLS System MetaFrame window will open. In the MetaFrame window, click the Quick Quote and Policy icon. The PLS Main Menu will appear. Starting on the PLS Main Menu, Click the Quote icon. The Quote System screen will display. Click the Open icon. Type in the quote number and then click OK. Note: If the quote number on the indication form is Q00115269-1, then you may type 115269 when the system asks you for the number. The system will display the quote on the Quote System screen.

33 Complete the Insured Profile Click the Common icon to access the Policy Common Information screen. The features found on this screen are: General Policy Information Primary Insured: Complete all fields that are required for issuance, including the Agent Email Address. This includes the Daytime phone number a field that is required for issuance. (This field is located on the Name & Address panel.) This also includes the Insured Profile Information screen which contains the DOB, Marital Status, and Occupation. DOB is required for quoting. Marital Status and Occupation are required for issuance. Billing Information Complete all fields that are required for issuance, including the Pay Method, Pay Plan, Pay Type, and Policy Payor. Remember to Save any information you add or change.

34 Provide Driver Information Click the Driver icon. The Policy Drivers screen will display. Select a driver and then click. The Driver Information screen displays. The Occupation field is required for issuance. The License Number and the License State are both required for ordering reports. Click Save. Note: For additional drivers, please include the Relation to Insured.

35 Complete VINS Double-click the Private Passenger Auto - Standard module line. Double-click a vehicle line. The Personal Auto Unit screen will display. Make sure that all yellow fields are complete. Save.

36 Lienholders, Mortgagees, Additional Insureds These are added by using the CNC button on either the Unit screen for Home, Auto, Valuables, or Umbrella.

37 Schedules for Valuables Double-click the Valuables module line to expand it so that you can see all the classes. Select a valuables line by clicking it. Now click the Covs icon. The Direct Coverages screen will display for that property class. Use the Add button to add coverages or forms to the class. Note: This may open additional windows to record specifics for the forms or the coverage you selected.

38 Additional Underlying Information Double-click the Umbrella module line to view all covered homes and autos. Double-click a location line. The Personal Umbrella Unit screen will display. Double-click an underlying unit line. The Additional Underlying Property Information screen will display. Make sure that all yellow fields are complete. Save.

39 Ordering Reports Click the Rpts icon. The system will ask you to wait while it builds/updates the latest report information, then it will display the Report Ordering Information screen. Use the checkboxes to indicate which reports you want to order and then click. When the reports come in, the Order Status column will say Received. Reminder: For Wind and CLUE reports, you must manually change the status from Received to Applied. For MVRs, the system changes the status to Applied. Apply the Property Reports On the Quote System screen, go to the top menu bar and select Policy, Prior Loss. On the Prior Loss Summary screen, click the Add Loss button. The system will display the Prior Loss Detail screen. Complete the mandatory fields, and then click the Save button. Continue adding as many prior losses as were found on the reports. When you are done, click the Save button on the Prior Loss Summary screen. Note: The Claims to be added under Prior Loss are: Apply the Auto Reports (CLUE) Click the Driver icon. The Policy Drivers screen will display. CP (Covered Property) GL (General Liability) Select a driver and then click. The Driver Incidents screen will appear for the selected driver. Now click or and enter the report information. Note: The Claims to be added under Incidents are: CO (Covered Operator) BI (Bodily Injury) PD (Property Damage)

40 Finalize the Reports Screen Click the Rpts icon. On the Report Ordering Information screen, in the Order Status column, use the drop downs to indicate that you have applied the report. Click Close when you are done. Note: If this step is not performed, then the system will not allow the quote to be referred to the Underwriter. Reminder: For Wind and CLUE reports, you must manually change the status from Received to Applied. For MVRs, the system changes the status to Applied.

41 Request UW Review You have decided to issue, you have ordered and applied report information, and you have rated the quote. Now you are ready to request a review from your Underwriter. Click the red checkmark in the toolbar at the top of the screen. The system will now review your quote and provide one of two possible outcomes: Meets all guidelines This means you can issue the quote. Approximately 80% of Agent-created quotes meet all the guidelines. Referral Required Based on the system review, it has been determined that a human review is needed. The system will ask if you would like to refer the quote to your Underwriter now. For this example, let s assume you say Yes send it to the Underwriter. (Note: At this point the quote is frozen and cannot be modified.) PLS displays a popup giving you the quote number and advising you that the quote has been sent to your Underwriter. The Underwriter is automatically notified via an internal system that monitors PLS activity. At this point, you can work on other quotes or logoff PLS. Your Underwriter will review the quote in PLS and then he ll also use the red checkmark to indicate his decision to the system. There are three possible outcomes: UW Request for Modification UW Declined as Written UW Approved

42 Receive UW Review When your Underwriter takes action on your quote, PLS will communicate with the Abiz system and create a notification entry in the Agency Tasks section. and Your Underwriter will notify you via email. Whenever you open an underwriter-approved quote in PLS, it prompts you to issue, edit, or review the quote. Select Issue. On the File menu, choose Save Quote to Policy. The system will display the Signing Agent/Producer screen. Choose the Appointed Agent from the drop down list and then click Save. The system will now review the quote to ensure that all fields required for issuance have been completed. See the next topic, Prepare for Issuance.

43 Save Quote to Policy (Final system-check) On the File menu, choose Save Quote to Policy. The system will display the Signing Agent/Producer screen. Choose the Appointed Agent from the drop down list and then click Save. The system will now review the quote to ensure that all fields required for issuance have been completed. If any are missing, the system will give you a popup telling you which fields you need to complete. Make a note of the missing fields and then click Ok. Complete the missing fields. After you complete the missing field values, go back to the top menu bar and select File, Save Quote to Policy (again). (Note: This is a loop. The system will not let you proceed to issuance until all issuance fields have been completed.)

44 ENDORSEMENTS The Big Picture PLS allows you to generate and save endorsement quotes through the use of the Endorsement Quote Menu. When a new endorsement quote is created, PLS makes a copy of the live policy, which allows you to make changes while quoting without affecting the live policy. When you are ready to issue an endorsement quote, the quote information is merged into the live policy at issuance. After you have created an endorsement quote, you have the ability to generate, print and save PDF endorsement quote proposals. Up to 999 different quote versions may be created per policy term. Before we discuss the step-by-step procedures for endorsement quoting, let s review three topics that may impact how you use the endorsement quote functionality: Live Endorsements Inactive Quotes Report Ordering

45 Live Endorsements While the endorsement quote menu is the preferred method of processing endorsements, there are a few types of endorsement changes can only be processed in the live environment (cannot be quoted using the Endorsement Quote Menu): Cancelling a module Changing the Primary Insured Name, Social Security Number or Date of Birth Backdated Endorsements All Name and Address changes other than what are listed below (for example mortgagee, lien holder, etc.) Driver Location Address Garage Location Fine Arts Location Primary Location Address Berth Storage Location Underlying Home Location School Address Work Address Registered Owner These CAN be done via EQS These types of changes must be processed as live endorsements, meaning on the actual live policy and not on a copy of the policy as described above. Live endorsements are processed either clicking the Open button on the Policy System screen (as shown below) or by processing these changes once an endorsement quote has moved into the LIVE policy. Note: : If you are trying to process a live endorsement, a generated message will display on the Open Policy screen after entering the policy number, if there are any active endorsement quotes on that policy. If you proceed, any saved endorsement quotes on that policy will become inactive because you are changing the policy.

46 Inactive Quotes Endorsement Quote transactions will be saved, active, and available for editing and issuing for 90 days. However, there are certain system transactions that will cause quotes to become inactive. Inactive quotes cannot be edited or issued, but can be viewed. You are also able to view and print the quote proposal for inactive quotes. Reasons why Endorsement Quotes become inactive: Another Endorsement Quote version is issued The renewal term generates (Activity 53) - quotes on the renewal term become inactive but current term quotes remain active A Notice of Cancellation or Notice of Reinstatement is generated The WebPT [Policy Terminator] creates recap history cancellations, reinstatements, and non-renewals A live endorsement is processed (without using the Endorsement Quote Save functionality) Coverage is reinstated A cancellation is processed CARCO inspection results in suspended or reinstatement of auto physical damage coverage MVR data is applied to an Auto Module on a live policy Auto module reinstatement of suspended physical damage coverage (Activity 52) A system problem and fix that requires changes to the policy

47 Report Ordering IBS The process for ordering IBS reports during endorsement quoting is the same as for new business quoting (see page 18 for details). When a user orders an IBS report from the Reports screen and clicks Rate, the IBS score will apply to the Endorsement Quote. However, the IBS report will only be viewable from the live policy, not from the Endorsement Quote. MVR & CLUE When MVR and CLUE reports must be ordered for endorsement quotes, they cannot be ordered through PLS. This is because when creating and endorsement quote you are working with a copy of the live policy. To order an MVR/CLUE Report during an endorsement quote: 1. Order the MVR/CLUE report outside of PLS - ACE PRS users will utilize Standalone OARS for ordering using the policy number 2. After reviewing the report, manually enter the applicable report information to the Endorsement Quote (not the live policy) 3. Once the endorsement quote has been issued, the report information will transfer over to the live policy. Note: If an MVR must be ordered midterm for an existing driver on a policy, the MVR must be run before creating any endorsement quotes for that policy. Failure to do so will result in the deactivation of any saved endorsement quotes when the MVR data is returned to the LIVE Policy in PLS.

48 Step by Step Using Endorsement Quote Save Select Endorsement Policy Processing from the PLS Main Menu From the Policy Menu, select Endorsement Quote Menu Tour of New Endorsement Quote Menu 1. Enter the policy number to view existing quotes or to create a new quote 2. Click the Search button if searching for all editions using All Editions checkbox. 3. Last Change Date - Quotes cannot be created with an effective date prior to the Last Change Date shown on the screen. Quotes may have different effective dates as long as they are on or after the Last Change Date. 4. Endorsement Quote Grid: (see next page for details)

49 Endorsement Quote Grid Version - If version is bold red, it has been accessed and modified. Versions are three digits 001-999 for that particular policy edition. Endorsement Quote Description - may be edited on active quotes only. To Edit: 1. Double click on the description 2. Make changes in the Endorsement Quote Description field 3. Click the Save button Endorsement Quote Status - there are three types of statuses: Issued - Quote was issued to a policy. You can still view quote & print proposal. Active - Quote is active and editable. Inactive - Quote cannot be edited or issued. You can still view quote & print proposal. Open column - there are three types of links View - Opens the quote in a read-only browse mode. Edit - Opens the quote in edit mode so you can make changes. Issue - Automatically opens the quote into the production environment in preparation for issuance. NOTE: Issued or Inactive quotes will only show View in the Open column User ID column - identifies who created and who last edited the quote. Last Modified - the date the quote was last saved. Version Expire Date - shows when the quote version will expire. Quotes are valid for 90 days, then purged except if adding module (for legal retention reasons - will show Version Expire Date of 12/31/9999).

50 Create a New Endorsement Quote 1. From Endorsement Quote Menu, enter the policy # and hit the tab key or click into edition field to display the current edition. Either existing quotes will display in table below or a popup will display saying no endorsement quotes exist for this policy/edition. 2. Click the New Endorsement Quote check box. 3. Enter the effective date & a simple description [50 characters max- be as specific as possible] 4. Click Next Note: The system will only allow Endorsement Quotes on policies with policy effective dates of 5/1/2012 and later. 5. Complete the endorsement change by clicking on appropriate module. 51 After you have completed the endorsement change.. 6. From the File Menu, choose one of the following options: Change Endorsement Quote Effective Date - if you wish to change the endorsement effective date (you cannot change an effective date from Endorsement Quote Menu screen, you must use this option). Save Endorsement Quote - to save and continue editing the quote. Save & Suspend Endt Quote- to save and close the quote. Print Endt Quote Proposal - to view and print the quote proposal. Quote will be saved when the proposal is printed. This option also accesses the Endorsement Quote Proposal Policy Change Information screen. Ready to Issue - to save the quote and begins the issuance process Potential Pitfall Remember to Save - before clicking the Close button on the Policy Common screen after you have finished making endorsement changes, you must select either Save Endorsement Quote or Save & Suspend Endt Quote from the File menu to save your changes. Clicking Print from the comments screen to view the Endorsement Quote Proposal will also save your changes.

52 Print Endorsement Quote Proposal 1. Access the endorsement quote from the Endorsement Quote Menu by clicking Edit in the Open column of the version you wish to view/print the proposal. 2. Select Print Endt Quote Proposal from File Menu 3. On the Endorsement Quote Proposal Policy Change Information screen, enter a detailed description of the changes made to each of the modules. NOTE: This text will print on the last page of the quote proposal so be specific and use proper grammar. Each section has a limit of 2,000 characters and accepts basic text formatting. You can copy and paste text into this screen, but there is NO SPELL CHECK. 4. Click the Print button (the system will rate the endorsement again)

53 5. A PDF quote proposal will generate and open in Adobe Reader The top banner contains policy #, edition #, version # The Endorsement quote effective date is shown Second sentence in bold red indicates the quote is nonbinding. Policy Summary - shows what has been changed in each module. Annual, revised annual and AP/RP premiums are displayed. Policy Information - only shows modules that were changed. Three types of identifiers are shown: Amend, Add, & Delete. Amends & Adds show all transaction detail, while Deletes do not. Delete is only used for Home, Auto & Watercraft. Delete will never display for Valuables or Umbrella. Policy Change information - prints what you entered on the Endorsement Quote Proposal Policy Change Information screen. You can edit and click save or cancel to not save changes. This section can only be edited on active quotes. 6. Save or print the Quote Proposal. Close the PDF to return to the Policy Common Screen. 7. From the File menu, choose one of the following options: Save Endorsement Quote - to save and continue editing the quote. Save & Suspend Endt Quote- to save and close the quote. Ready to Issue - to begin the issuance process (See next page for Issuance instructions)

54 Issue Quote 1. From the Endorsement Quote Menu, Click Edit or Issue from the Open column of the quote version you wish to issue. Potential Pitfall Remember to Rate - Before issuing an endorsement quote remember to rate it by either clicking the Rate button at the top of the screen or printing and viewing the PDF endorsement quote proposal. 2. If choose Edit (or if you are already in the quote in edit mode), then select Ready to Issue from the File menu. If you choose Issue, then you can proceed directly below. NOTE: You still have the flexibility to modify a quote while in the LIVE policy prior to entering Transaction Comments however, you will not be able to save the quote at this point or generate an endorsement quote proposal. If you are processing an endorsement that has a premium bearing change and non-premium bearing change (such as adding a home with a Mortgagee), process the premium bearing change first using EQS and then process the non-premium bearing change just prior to entering Transaction Comments.

55 The endorsement quote opens in the production environment. Select Transaction Comments from the Policy Menu Choose an appropriate comment and click Save Select Save to UES from the File Menu

56 Policy Endorsements Policy Endorsement Adding a Module When adding a module to an existing policy, the first few steps are the same regardless of which module you are adding. 1. Create a new endorsement quote. (click here for instructions) 2 From the Module dropdown click Add Module and then choose the appropriate option. 3. The unit screen will automatically display. Add the units of coverage as needed (Homes, Autos, Watercraft, etc.). 4. Proceed with completing the unit screens (will vary depending on what type of module you are adding). 5. On the Policy Common screen, click the Close icon. 6. On the Policy Common screen, click the Rate icon to see the premium impact for the location. 7. You are now ready to save the endorsement quote, print the endorsement quote proposal, or issue the endorsement. Click here for instructions on how to proceed. END

57 Policy Endorsement Revise Mailing Address (Process as Live Endorsement) Reminder! This endorsement cannot be created using the Endorsement Quote Menu, and must be processed as a Live Endorsement. For more information on Live Endorsements, please refer to page 45. 1. Select Policy Processing from the PLS Main Menu. 2. Select Open on the Policy System screen. 3. On the Open Policy screen: Enter the 9-Digit Policy Number. Enter the Effective Date of the Change. Select Policy from the Module Types field. Select Mail Addr Revised from the Trans Reasons field. Click the Open button. Note: The Policy Common screen will display listing the insured name and address, agency name and all lines of business inforce under the policy number.

58 4. From the Policy Common Screen, click the Mailing Address button in the lower left corner 5. On the Name & Address screen: Complete the mandatory fields, Validate, And click the Save button.

59 6. In the top menu bar, choose File, Save for UES. The Revise Mailing Address transaction is now complete. END Policy Endorsement Changing a Loan Number (Process as Live Endorsement) 1. From the top menu bar, choose Policy, Interests. 2. Highlight the interest with the loan you wish to update, and then click the Change Loan Number button. 4. Click Save when finished entering the new loan number. 5. In the top menu bar, choose File, Save for UES.

60 Home Endorsements Homeowner Endorsement Add Location 1. Create a new endorsement quote. (click here for instructions) 2. On the Policy Common screen, double-click the Homeowners module line. The system will display the location addresses. 3. Select one of the location addresses and then, from the top menu bar, choose Unit, Add Unit. 4. On the Homeowners Unit screen, click the Location button. Now complete the Name & Address screen, Validate, and click Save. 5. Back on the Homeowners Unit screen, complete all the mandatory fields. (If there is no Mortgagee Information and no Additional Information, then you may click Save and proceed to Direct Coverages.) 6. Mortgagee Information If the location is to be billed to a Premium Payor or Mortgagee, select Premium Payor (or First Mortgagee) in the Loc Payor field. Now complete the Name & Address screen, Validate, and click Save. To add a Mortgagee who will not be billed for the location, click the Mortgagee button. Now complete the Name & Address screen, Validate, and click Save. 7. Additional Info Click the Additional Info button. Add whatever information is pertinent for this location. (e.g., Protective Device Credits) Note: To enter a Rehab Update Credits, (Wire, Plumbing, Heat, or Roof) you must type the four digit year. Click the Save button at the bottom of the Homeowners Additional Info screen to continue. Note: If you have not already done so, you may now click Save on the Homeowners Unit screen and proceed to Direct Coverages

61 8. Direct Coverages On the Direct Coverages screen, click Add, Direct Coverage. Enter the Residence limit amount for Dwellings (Personal Property for Condos and Tenants). The Other Structures and Personal Property limits will automatically default. The limits may be revised by selecting the limit and entering a different amount. The Personal Liability may also be revised by selecting the Limit Field. Click the Save button. You are now back on the Direct Coverages screen where you may also add Additional Coverage Forms. If there are no additional coverage forms, just click the Close button.

62 9. Additional Coverage Forms On the Direct Coverages screen, click the Add, Form. Select the applicable form and enter any mandatory fields associated with it. Click the Save Form button. This puts you back on the Direct Coverages screen. Click the Close button. 10. On the Policy Common screen, click the Close icon. 11. On the Policy Common screen, click the Rate icon to see the premium impact for the location. 12. You are now ready to save the endorsement quote, print the endorsement quote proposal, or issue the endorsement. Click here for instructions on how to proceed. END

63 Homeowner Endorsement Add Mortgagee (Process as Live Endorsement) Important note: If you want the new Mortgagee to be billed for the current policy term, proceed with the steps below. If you do not want the new mortgagee to be billed until the renewal term, proceed to page 66 If you want the new Mortgagee billed for the current term. 1. Select Policy Processing from the PLS Main Menu. 2. Select Open on the Policy System screen. 3. On the Open Policy screen: Enter the 9-Digit Policy Number. Enter the Effective Date of the Change. Select Homeowners from the Module Types field. Select Add Mortgagee from the Trans Reasons field. Click the Open button. Note: The Policy Common screen will display listing the insured name and address, agency name and all lines of business inforce under the policy number.

64 4. On the Policy Common screen, double-click the Homeowners module line. The system will display the location addresses. 5. Select the desired location address and then click the Units icon to bring up the Homeowners Unit screen. AND THEN 6. On the Homeowners Unit screen, click the Mortgagee button. 7. Select Mortgagee Billed as the Type, and then complete the Name & Address screen and then click the Validate button. Remember to also include the loan number. Click Save.

65 8. Now you are back on the Homeowners Unit screen. Click Save. 9. And now you are on the Policy Common screen, click the Close icon. 10. In the top menu bar, choose File, Save for UES. The Add Mortgagee transaction is now complete. END

To Amend or Delete a Lienholder Click the Lienholder button to bring up a list of all additional interests. Select the lienholder you wish to amend or delete, and then click either Change or Delete. NOTE: Any special characters such as & must be deleted and the correct VIN entered prior to submitting to Underwriting. Failure to do so will result in an error message. For NEW Vehicles: Enter the Year and VIN number to prefill the Make, Model, Body and ISO Symbol fields. If the VIN is not found, 1. Change the VIN Override field to New Car 2. Enter the Year and VIN and click OK to the pop-up message 3. Enter the Make, Model, Body and VIN and click OK to the pop-up message 4. Enter the Value Amount, which is the MSRP (sticker price) of the vehicle Click the Lienholder button at the bottom of the screen and enter the lienholder and additional interests. If the Vehicle is Financed - click the Lienholder button and add the name, address and loan number for the lien. Click Save If the Vehicle is Leased - click the CNC button and click Add New then choose Additional Interest Leased as the type. Complete the fields on the screen and click Save. Click the Save button. Note: The Auto unit screen will be enabled for Endorsement Quotes for newly added vehicles only. For existing autos the type, year, make, model and body fields will be disabled.

On the Direct Coverages screen: Specific coverages will default from the previously entered vehicles. Any additional coverages should be added individually. Click Add, Direct Coverage. The system will display the Personal Auto Coverage popup. Note: The basic pattern for adding coverages is: a. Choose the vehicle. b. Choose the coverage. c. 107 Auto Endorsement Reprinting Auto ID Cards 1. Open any active policy and select "Change" from the "Open To" menu. Next, select "Private Passenger Auto" from the "Module Types" input box, and select "Reprint Auto ID Cards" from the "Trans Reasons" input box: PLS will default the Transaction Effective Date to the Last Change Effective Date whenever the Reprint Auto ID Cards transaction reason has been selected. Note: No other transaction reasons can be selected. An error message will be generated if you attempt to do so. 2. Click Open.

108 3. Once in the policy, you will need to select "File" and then "Save for UES" from the menu. This step will submit your request for the reprinted auto ID cards which will be printed and mailed to the policy's mailing address the next business day. A single auto ID card will be generated for each auto listed on the policy. If multiple copies are needed, the process will need to be repeated. END
