EXHIBITION AND SPONSORSHIP TERMS & CONDITIONS Organising Committee This event is organised by Asian Institute of Finance (AIF) and managed by Crystal Edge Sdn Bhd. The Organising Committee used herein shall mean the Organising Committee and agencies acting on their behalf regarding the event. Crystal Edge Sdn Bhd is the appointed Professional Conference Organiser (PCO) for this conference. Sponsorship Payment Payments can be made via cheque to Asian Institute of Finance Berhad. Payments must be made in Malaysian Ringgit. Sponsor s and exhibitor s participation will only be confirmed upon receipt of FULL payment from the sponsor, which must be received no later 3 July 2015. Availability Availability of sponsorships is determined by first-come-first-serve basis and subject to approval. This will be based upon the date the sponsorship contract is received. No verbal confirmation will be entertained. Cancellation / Withdrawal Liquidated damages of 100% of the total exhibition space cost shall be paid to AIF in the event of cancellations after 3 July 2015. It is agreed that this is a reasonable pre-estimate of AIF s loss. All cancellation notices must be received in writing by AIF at the contact details stated. Goods and Services Tax (GST) Sponsorship amount is subject to GST of 6%. The final invoice will include the GST and any additional bank charges or processing fees, if applicable and not included in this amount. Floor Plan, Booth Selection Relocation and Revisions The Organising Committee retains the exclusive right to revise the exhibition floor plan and/or move assigned exhibitors as necessary. In the case that the exhibition space is insufficient to accommodate all partner requests, the Organising Committee reserves the right to extend the exhibition space within the premises of the exhibition location. Logo Placement Your corporate logo will only appear in the indicated publicity materials if the contract has been signed and print dates met. In order not to miss out any promotional activity, please adhere to the stipulated deadlines Use of Exhibition Space The space contracted for is to be used solely by the exhibitor whose name appears on the agreement, and it is agreed the exhibitor will not sublet or assign any portion of the space without prior written consent from the Organising Committee. Use of the exhibition space is subject to the terms and conditions of these rules and regulations. Hardware All hardware items for showcase during the exhibition are to be provided by the respective exhibitor. AIF INTERNATIONAL SYMPOSIUM 2015 SPONSORSHIP APPLICATION FORM Limitation of Liability Exhibitors shall release and indemnify the Organising Committee from and against all claims, losses or damages of any kind, arising out of or attributed to: o The exhibitor s (including its employees, agents, or representatives) negligence, omission or willful misconduct; or o Any loss, theft or destruction of hardware and other tangible goods, or for any injury, including death to employees, agents or representatives and; or o For any damage of any nature including damage to its business for failure to provide exhibits space; o Or for failure to hold the exposition as scheduled; o Or for any action or omission by the Organising Committee The exhibitor is solely responsible for its own exhibition material and products, and should insure exhibits and products from loss and damage from any cause whatsoever. It is understood that all properties of an exhibitor is in its care, custody and control in transit to, or from, or within the confines of the exhibit hall. The Organising Committee shall bear no responsibility for the safety of the exhibitor, its personnel, employees, agents, representatives or personal property. Installation and Dismantling Hours and dates for installing, exhibiting and dismantling shall be those specified by the Organising Committee at its sole discretion. Exhibitors shall be liable for all storage and handling charges resulting from failure to remove exhibit material from the exhibition location before the specified conclusion of the dismantling period set by the Organising Committee Damage To Property Exhibitor is liable for any damage caused by it, its servants, agents or contractors to buildings, floors, walls, or columns, or to standard booth equipment, or to other exhibitors property. Exhibitor may not apply paint, lacquer, adhesive, or any other coating or material to building column, floors or walls, or to standard booth equipment Insurance and Hold Harmless Clause The exhibitor is responsible for obtaining insurance covering (without invitation) its personnel, exhibit material and equipment for the duration of move-in, show days and move-out including public liability, property damage, fire and theft Relocation and Floor Plan Revisions The Organising Committee retains the exclusive rights to revise the exhibition hall floor plan and/or move assigned exhibitors as necessary Exhibitors Setup Exhibitors setup staff are allowed on the show floor only during the published setup and teardown schedule Use of Aisles and Common Areas the aisles, passageways and overhead spaces remain strictly under control of the Organising Committee. No signs, decorations, banners, advertising matter or special exhibits will be permitted in these areas except with prior written permission of the Organising Committee Noise Exhibitors shall ensure that the booth is operates neither shall nor create any nuisance to the Organising Committee, other exhibitors or the owner of the exhibit premises. No noisy, obstructive or objectionable work will be permitted during the open hours of the event, nor will noisily operating displays be allowed. The Organising Committee shall have the sole discretion in determining what is noisy, obstructive and objectionable Booth Provision 1 oblong table, 2 chairs & 2 power points are provided by the Organising Committee. All exhibitors MUST use their own booth backdrop for AIF International Symposium 2015, limited to your exhibition space entitlement. General The Organising Committee shall, at its sole discretion, determine all matters and questions not covered by the General Information, Rules & Regulations may be amended and supplemented at any time by the Organising Committee, and all amendments or additions shall, upon reasonable notice be as equally binding on all parties affected as the original General Information, Rules & Regulations
