1. REQUESTING A TRAINING SESSION a. After receiving an email from the OMC with your username and password information, go to https://my.labagenda.com to login and set up a training session. You can change your default password by selecting from the top menu bar: My Account > Change Password. b. To make a training request for a microscope go to: Schedule > Bookings. This will open the Microscopes calendar for the current week: Day of a week, in this case a Monday List of microscopes 30 min time slots, unavailable time slots are in red/blue/yellow and have a user name. c. Find a day during the displayed week or if necessary, use the green arrows at the top of the page to navigate to future weeks. Then for your selected day, find a 1 hour available time slot (two consecutive striped gray cells - restricted cells) between 9:00-12:00 or 13:00-17:00 Mon-Fri for the microscope you wish to receive training on. Write down the name of the microscope, day and time. d. Go to the Training Schedule calendar by selecting the arrow next to Microscopes at the top of the page: e. f. Clicking on it will open a new page, where you will key in the information about your training request. First, make sure that the day and time (Begin and End fields) are the same that your found in the Microscopes calendar. Second, in the Title of reservation field put the name of the microscope and its location. You may also set an email reminder about your training by clicking on one of the Send Reminder check boxes (the first one reminds you before your reservation start time). After all is done, click on the Create green button to make a request. g. After you create a request, your request will appear as pending approval. OMC personnel will make a separate reservation on the microscope you want to be trained on the day and time your selected and then, approve your training request. Once the request is approved, you will be notified by email. h. On rare occasions, your day and time may not be available for reservations in the Training Schedule calendar. In that case, you will need to repeat steps b through f to find a new time. If, for any reason, your need to cancel your training, you can always do so by going to the Training Schedule calendar and selecting your reservation, and then from the More drop-down menu select and click on X delete. i. 2. BOOKING A TIME ON AN APPROVED SYSTEM a. After you were approved to use one of the microscopes, that microscope will appear on your Dashboard in the Resource Availability panel. If it is not there after 2 business days please let us know immediately. b. To make a booking on an approved microscope you can either click on the reserve green button on the right or preferably navigate to the Microscopes calendar by clicking Schedule > Bookings (see step b in part 1). The Microscopes calendar allows you to preview system availability for any day and time. To make a reservation, find a suitable day and available time (appear as white slots, each 30 min) and then drag your cursor to select the desired slots. c. On the reservation page, makes sure that you are booking the right microscope (listed under Resources field) for the right day and time (Begin and End fields). In the Title of reservation briefly describe your sample, fluorophores, and imaging mode (individual slices, Z-stack, time series, bleach recovery, photoactivation etc.). Set a reminder, if needed, and then click on the Create green button. d. If, for any reason, your need to cancel your training, you can always do so by going to the Microscopes Schedule calendar and selecting your reservation, and then from the More drop-down menu select and click on X delete. IMPORTANT: No reservation can be cancelled or modified after its start time! It is the responsibility of the user to keep track of his/her reservations. The user s lab account will be charged for all the reserved and not cancelled instrument time. If the user needs to extend the reservation he/she should log back into LabAgenda to make sure that nobody is signed up for the next time slot, and then reserve it.
