Wednesday, April 17, 2019 Opening Reception 5:30 p.m. to 7:30 p.m. Early attendee registration will start at 2 p.m., followed by the conference Welcome and opening session for all attendees from 3:30 to 5:30 p.m. Thursday, April 18, 2019 7:00 a.m. to 4:30 p.m. Full day features registration, continental breakfast, all breaks, and lunch in, or adjacent to, the ballroom. Closing Trade Show Reception from 5:15 to 6:30 p.m. Exhibitor Move Out: Friday Activities: Exhibit Space: Thursday, April 18, 2019 4:30 p.m. to 8:30 p.m. All booths and supplies must be removed from the ballroom and prepared for shipping from the Resort to your company. Padfolio 7 Sponsorships Sponsorship includes your company name/logo appearing on the exclusive 68 th Annual Conference on Roads & Streets padfolio distributed to every attendee on arrival. Additional conference registrations are $350 per person prior to March 1st or $425 after March 1st. Registrations cannot be shared between different people for different days or events. Audio/Visual Sponsorship includes your company name/logo appearing on the screen in every session room during the conference (three days = approximately 50 sessions.) Continental Breakfast & Break Sponsorship includes your company name/logo displayed in all breakfast and break areas on Thursday and Friday of the conference. Advertising Sponsorship Opportunities Full-Page Ad - $2,500 Sponsorship includes three attendee conference registrations; list of all attendees; and company name in all subsequent publications. Half-Page Ad - $1,500 Sponsorship includes two attendee conference registrations; list of all attendees; and company name in all subsequent publications. Quarter Page Ad - $1,000 Sponsorship includes one attendee conference registrations; list of all attendees; and company name in all subsequent publications. Full payment must be submitted at time of purchase. There are a limited number of booths and sponsorships available, which will be sold on a first come, first paid basis. Sorry, there are no one-day/partial day/or shared registration packages available at this time. 68 th Arizona Conference on Roads & Streets General Information Guide Management This show is managed by the American Council of Engineering Companies of Arizona. Rules Each prospective exhibitor/sponsor is required to complete the official application and contract for space/sponsorship in the exhibition. By doing so, they subscribe to these general rules. Payment Space/sponsorship is priced as outlined in the contract. Full payment must be included with contract for it to be considered valid. Cancellations prior to March 1, 2019 will receive one-half the total amount paid. Cancellations after March 1, 2019 will receive NO refund. All such space will be unconditionally released for reassignment to others. Subletting of exhibit space is prohibited without the written consent of management. Assignment of Space Will be made by management. Liability of Exhibitor Exhibitors shall accept all liability (damage, loss or accident) which might ensue from any cause in connection with transfer, installation, maintenance, display or removal of exhibits. Although hotel security will be utilized, neither management nor the hotel will accept responsibility for theft or damage. Exhibitors are encouraged to insure themselves against all losses and claims. Installation and Dismantling Exhibitors will install their exhibits between noon and 4:30 p.m. on April 17, 2019, and all exhibits must be removed between 4:30 p.m. and 8:30 p.m. on April 19, 2019. Exhibitor agrees NOT to dismantle before 4:30 p.m. Damage to Exhibit Hall Exhibitor will be held financially responsible for damage to the hotel caused by exhibitor representatives. No signs or materials may be fastened to building walls, floor, ceiling, doors, windows, etc. and no equipment should be painted inside without the express consent of management and exhibitors shall be responsible for any resulting damage. Safety Precautions All materials and installations must conform with the requirements of building and inspection authorities having local jurisdiction. All flammable materials must be flame-proofed before being taken into the hotel. Weight restrictions on exhibits may apply. All exhibit materials must be located within the booth and protected by safety guards where necessary. Exhibit Design Standard drape background and side partitions will be furnished by management. To insure aisles are unobstructed, exhibits must be arranged so that they are completely within the allotted booth space. Ample space must be provided within the booth for all exhibit personnel. The exhibit must conform to the size of the space and must not be of such a character or arrangement to obstruct the view or interfere with the other exhibits. Management reserves the right to reject any display, which in its opinion, may detract from the overall appearance and marketability of the show, or which interferes with other exhibits, or which is not in keeping with the general theme of the show. Special arrangements need to be made with show management for large/heavy equipment. Labor All reasonable attempts will be made by management for exhibitors to use their own personnel in constructing or dismantling displays. Any drayage or shipping fees are the responsibility of the exhibitor. Food Service The serving of food and/or beverages in exhibitor booths is forbidden without written consent of management. When food and/or beverage is served, its purchase and distribution must be made in accordance with contractual agreements of management and the hotel. Contest, Games, Prizes or Lotteries Contest, games, prizes, or lotteries are absolutely prohibited unless fully explained in writing and submitted to management for approval at least two weeks prior to the show. Management reserves the right to make final judgment in the best interest of the show.

Liability Management will take precautions to safeguard the exhibitor s property. However, management will not be liable for loss or damage to the property of the exhibitor or his representatives or employees from theft, fire, accident, or other cause. Management will not be liable for injury to exhibitors, their employees, or third persons, or for damage to property in their custody, owned or controlled by them, or for property owned or controlled by third persons, which claims for damages, injuries, etc., may be incidental to or arise from, or be in any way connected with their use or occupation of display space and the exhibitor shall indemnify, save, and hold management harmless against any such claim, or damage, and shall pay and indemnify management for any cost or expense, inclusive of counsel fees, arising from any such claim. Registration and Admission The show is designed for personnel actively involved in engineering and construction. No one will be permitted in the exhibit area without a badge. Advance registration will be available for both exhibitors and attendees, and is encouraged ($350 per person). After March 1, 2019, late registration will be available at $425 per person. General All matters and questions not covered by this General Information Guide are subject to the decision of management, and any amendments or additions shall, upon reasonable notice, be as equally binding on all parties affected.
