Secure Delivery and E-Sign Document Generation and Delivery: Crescent offers 3 options for document generation. 1. Generating a PDF you can save or deliver in person or regular mail 2. Generating loan documents and sending via Secure Delivery 3. Generating loan documents and Sending via Secure Delivery with E-Signatures For sending documents via Secure Delivery or E-Sign, you must complete at a minimum: (different documents require different fields to be completed) 1. Borrower Email Address 2. Borrower Social Security Number ( The secure access phrase for borrower = last 4 = of their SS) 3. Loan Program You can take the following steps to test: 1. Create a sample loan. 2. Put your email as Borrower Email and remember what you have input as SS as the last 4 digits will become access code (will not work without email and SS number) 3. 1003 HMDA Application Date after 10/3/15 and disclosure type as tila-respa-2015 (for TRID applications) 4. Actions/ Order Documents - Select Document Center and Secure Delivery and Choose Secure Delivery Type as Secure Delivery or Secure Delivery with Signatures 5. Select ESIGN CONSENT Package ( no loan information needed for this package other than program, disclosure type = TILA RESPA 2015, borrower social and borrower email)
6. Select Document Owner and Borrowers to deliver consent. 7. Guest not needed, however this is where you could send documents to the borrower, but add yourself as a guest. 8. Click Finish. Consumer Email Receipt and Retrieval of Documents: 1. First email tells them their access code will be last 4 of SS#
2. Second Email that is sent contains the link to documents: 3. Login: Link directs to website (pictured below) where email and last four of SS are entered. On the next screen borrower creates user name and password. NOTE: Borrowers and Guests should NEVER use their email as their username. 4. Borrower consents to receive loan documents electronically by selecting I Agree. NOTE: If the borrower selects I Disagree then the borrower has Opted Out of receiving documents electronically. No documents or disclosures will be sent electronically to the borrower and the mailbox rule will apply for the Closing Disclosure.
5. Completing Document Review: The borrower MUST scroll down to the bottom of EACH page of a document in order for a document to be considered viewed. The below box will appear when the document is viewed by the borrower. Please ensure your borrower is aware of this requirement. They should always use the Next Document button on the bottom right when reviewing documents. The screen below is displayed once the borrower views/signs the entire package. You have electronically signed all of your documents informs the borrower they have completed the package. Polling takes place approx. every 30 minutes between Motion and our secure delivery platform. It takes 30 minutes for information to populate in Motion from the secure delivery platform.
Access Disclosure and Delivery Tracking Screen in Motion: 1. Disclosure Delivery Tracking Screen: All secure delivery information and important dates are located on the Disclosure Delivery Tracking Screen. Quickly access the Disclosure Delivery Tracking screen from the Home screen. Understanding Delivery Dates and E-Consent Tracking in Motion: The Disclosure Delivery Tracking screen has many features
1. Secure Delivery Approved: The Secure Delivery Approved field is blank until the borrower selects I agree or I disagree when accessing their documents. The below table contains the values generated in this field and what the values represent. Missing Email Requested No Yes Not Requested Secure Delivery Approved Values and Definitions Missing at least one email address from a borrower All borrowers have an email address associated and an invite was emailed but not accepted/rejected All borrowers have an email address but either a UETA Rejected or Opt Out was received on at least one borrower All borrowers have an email address and either a UETA Accept or Opt In received on all borrowers Names, emails, and addresses are present for all borrowers but invites have not been sent 2. Secure Delivery Status by Borrower: Each borrower along with their email address will show in this table. The below table contains the values generated in this field and what the values represent. Status of packages sent to the borrower via Secure Delivery: Select the second tab Secure Delivery a. Each package sent to the borrower via Secure Delivery will be listed here. b. Select the + sign next to each package to see a detailed breakdown of each document sent to the borrower via Secure Delivery. The breakdown lists every document in the package and whether the borrower has viewed/signed the document. There are three possible symbols displayed: - The borrower has NOT viewed/signed the document - The borrower has completed viewing/signing the document - The borrower cannot sign this document via secure delivery If a documents has the NA symbol - document electronically., the borrower will not be able to sign this Best practice: Print all NA documents and have the borrower wet sign these documents. Upload the wet signed documents when submitting your loan.
4. Select Timeline to view a calendar with important compliance dates related to the loan.
5. Obtaining ESIGNED Package If a package is sent to the borrower via Secure Delivery with Signature, the package will be returned to Motion in Attachments once all borrowers have completed viewing and signing the entire package. Use the + sign to see which documents the borrower did not complete viewing/signing. The package will not return to attachments until every document has been viewed/signed. 1. 2. There will be two separate packages one is a zip file containing the documents and the other is a PDF containing the documents. These packages are NOT automatically uploaded into the loan. Upload the package along with any documents wet signed into Motion before the loan is Submitted to Crescent. 6. ESIGN Audit Log The ESIGN audit log will be generated automatically upon the loan being Submitted to Crescent. It will be reviewed by the Submissions department for compliance. If it is determined that timing requirements have not been met as evidenced in the ESIGN log, the Submissions Department will ask for the date the documents were mailed to the consumer. This date will then be documented in Motion by the Submissions Department and a new ESIGN log generated. Best Practice: If on day 2, if the borrowers Secure Delivery Status does not say UETA Accept print the documents and mail them to the borrower.
