Paying r Capricorn Account You can make an account payment at any time. You do not have to wait until the due date or the last working day of the month. Visit capricorn.coop and login to the Member Portal to access r current statement, view latest transactions and download previous statements. All payments must quote r Capricorn Trade Account number in order to assist allocation of r payment correctly. Unpaid Accounts The due date for payment of r account is the last working day of the month. Any unpaid amounts on r account statement will attract an interest charge of 7%. We advise to pay at least three working days prior to the end of the month to ensure we receive r payment on time. If r Account remains unpaid when payment is due, it is likely to go on stop credit and will be unable to purchase from any of our Preferred Suppliers through r Capricorn Trade Account. This is the situation we want to avoid so please pay r account on time. Efforts will be made to contact prior to placing on stop credit unless there are special circumstances, however once are on stop credit, will need to contact our Credit department and make payment in order for Capricorn to consider reactivating r Account. The easiest way to avoid paying interest is to set up Direct Debit. Call us on 0800 401 444 to arrange Direct Debit for r account today. Copies of invoices and credit notes. Capricorn does not receive copies of invoices and/or credit notes. Please contact the Preferred Supplier directly to obtain copies of invoices or credit notes. If believe something has been charged to r Capricorn Trading Account in error, please raise it with the Preferred Supplier immediately. You raise the issue with Capricorn if the matter is not resolved within 14 calendar days of the date of issue of the statement on which the charge appears. 17. 18.

Credits from Preferred Suppliers If are expecting a credit from a Preferred Supplier and it is not on r Capricorn Trade Account statement, must contact Customer Service at 0800 401 444, for an adjustment to be made on r Trade Account to avoid late payment penalties. Short payments made without contacting Customer Service in advance, along with any other failure to pay the Trade Account statement amount due, will incur a 7% charge against the outstanding amount. For all outstanding credits need to contact the Preferred Supplier first and provide the following details: Invoice Number Amount Date of return; or Reason for credit If the credit is then still outstanding, contact r Area Manager or Customer Service within 14 calendar days of the date of issue on the Capricorn Trading Account statement. If have received faulty goods, do not try to repair them, contact the Preferred Supplier to organise a credit or a return immediately. Direct Debit Payment Dates If r account is on direct debit and need an adjustment, must contact Customer Service at least three working days prior to the last working day of the month. After this, adjustments cannot be considered and the direct debit will reflect the amount owing as per the Account Statement. How to handle a dispute with a Preferred Supplier? You attempt to resolve the dispute with the Preferred Supplier according to the terms of the supply of goods (usually listed on the suppliers invoice or paperwork). While Capricorn makes payment to the Preferred Supplier, the supply of goods or services is still directly between the Preferred Supplier and the Member. Capricorn will make payment to the Preferred Supplier providing the trading terms agreed with Capricorn are adhered to. This includes goods ordered by a Member are received by 19. 20.

the Member with proof of purchase and delivery. By making payment to the Preferred Supplier, Capricorn does not interfere with any warranties or other obligations that may have been agreed between the Preferred Supplier and the Member or that may apply by law. The Member deal directly with the Preferred Supplier a dispute as to the quality of goods or services supplied arise because the Supplier owes the Member warranties or other obligations. In some situations Capricorn does try to assist Members and Preferred Suppliers to resolve disputes because it has an active relationship with both. Should require assistance please contact r local Area Manager or Customer Service on 0800 401 444. However, Capricorn will not become a party to those disputes or let them affect the obligations that Preferred Suppliers and Members owe Capricorn or vice versa. Who do I advise if my business changes ownership? Notification of business ownership changes and Capricorn Trade Account closures are required in writing. Email applications@capricorn.coop with details. How are Preferred Suppliers notified of changes? If have a new site address or phone number, let us and we will inform Preferred Suppliers for, saving time. We communicate Member change of addresses and contact details to Preferred Suppliers daily via a Preferred Supplier broadcast allowing them to update their information. Authorised Contacts We can only give account details to a company Director or Proprietor, or a nominated Owner Representative. To become an Owner Representative please have a Director or Proprietor contact our Customer Service team, email csl@capricorn. coop. The signing of most documents can only be done by a Director or Proprietor; the Owner Representative is not permitted to sign on their behalf, unless they are signing to redeem Reward Points. 21. 22.
