TENDER NOTICE -------------------- Bank of India, Chennai Zonal Office invites Tender for the Annual Maintenance Service and Operating Contract of One 5H46 and One 5H86 Centralized Voltas Air Conditioning plants installed at our Star House, No.30/17, Errabalu Street, Parrys, Chennai 600 001. Interested persons should submit the copies of the following documents in the Technical bid cover (later bank will verify the same with the originals) 1. Firm should be registered firm 2. Certificate of registration issued by the Registrar of firms 3. Certificate of Incorporation 4. Certificate of Commencement of business 5. PAN card of the firm 6. GST registration details of the firm 7. Bank s Statement of the account for the last one year 8. Last three years income tax returns along with the annexure 9. Firm should be the profit making firm for the last three years 10. Details of P.F. deducted for the existing employees and remittance to P.F. Office 11. Details of payment of Insurance to ESI of the existing employees 12. Details of the Services provided by the bidder to various Companies/Firms/PSU etc in the last three years Technical covers will be opened first and after verification of the details Financial bids will be opened. The cover containing above details should be marked Envelope No.1 and superscribed with Technical Bid and the cover containing financial tender details should be marked Envelope No.2 and superscribed with Financial Bid. Both these covers duly sealed should be put in a 3 rd cover superscribed with Tender for Centralised Voltas A/c. It should also bear the name and address/phone number of bidder. The 3 rd cover duly sealed should be addressed to our Chennai Zonal Office at the above address and submitted as detailed hereunder.
The last date for submission of sealed offers at Bank of India, Chennai Zonal Office is 26-03-2018 up to 5.00 PM and tender will be opened on 27-03-2018 at 03.00 PM. The bank reserves the rights to accept/reject any/all offers without assigning any reason whatsoever. No brokerage will be paid by the Bank. TERMS AND CONDITIONS OF THE COMPREHENSIVE ANNUAL MANTENANCE SERVICE AND OPERATING CONTRACT FOR CENTRAL PLANTS A. Comprehensive Annual Maintenance Service for Centralized Air Conditioning Plants:- 1. Inspecting the plant/system and carry out preventive maintenance as per the standard practice four times a year 2. Checking the refrigeration system, motor and starters and ensuring healthy condition of the plant. 3. Checking the system for any leaks and rectification of leaks if found 4. Taking set of readings and evaluating to ensure satisfactory performance of the plant. 5. Checking the Refrigeration control system for operation and adjusting the settings. 6. De scaling the condensers for water cooled units if found necessary but at least once a year. 7. Checking the functioning of compressor and its accessories. 8. Cleaning the evaporator/condenser coils and cleaning of chiller if found necessary but at least once a year. 9. Lubricating the bearings of motors and fans when found necessary 10. Quarterly inspection of belts adjusting the tension and replacing the worn out belts as and when found required. 11. Overhauling/Repairing the components of the equipment such as primary chw.pumps/condenser water pumps/cooling tower at site or in service station as and when required. 12. Replenishment of refrigerant gas as a result of fare wear and tear. 13. Annual checking of compressor oil and changing if found necessary. 14. Overhauling/repairing the components of the equipment at site or in service station as and when required including providing loan compressor for screw/scroll units if available in case of failure of the compressor. 15. Checking, of the microprocessor controller for its proper functioning and repair/replacement of the same if found necessary. 16. Attending to the plant when called upon. 17. Attending to complaint/breakdown calls whenever required. 18. Reporting the healthiness of the plant and suggesting improvements if any. 19. Painting of the equipment once in a year 20. Welding work wherever it is necessary
B. Operating contract for Centralized Air Conditioning Plants. I.DAILY:- a. LOGGING OF THE FOLLOWING PARAMETERS 1. Suction Pressure 2. Discharge Pressure 3. Oil Pressure 4. Inside room temperature b. TO OBSERVE THE FOLLOWING 1. Oil level 2. All motor for overheating 3. AHU bearing for overheating 4. Motor rotation II. WEEKLY:- 1. Check the air filters 2. Check belt tension and motor alignment 3. Check the AHU coil choke III. MONTHLY:- 1. Blow out motor dust 2. Check the motor starters 3. Check fuses and replace if necessary IV.HALF YEARLY:- 1. Check damper operating, clean and lubricate if necessary. 2. Check conditions of drains for any possible stoppage 3. Replace air filters if necessary GENERAL:- 1. Keep the plant/ahu rooms clean
OTHER CONDITIONS:- THE CONTRACTOR should deploy the adequate number of persons in the said premises for carrying out the said services and such persons shall attend to/do such works as instructed by the Bank from time to time. THE CONTRACTOR shall station permanently in the said premises, adequate manpower except Sunday and Bank holidays. All persons engaged by the Contractor for carrying out the said services in the said premises shall be Contractor s employees and the contractor shall be responsible to pay the wages and other emoluments to his employees as required under law. No liability/responsibility whatsoever in this connection shall be attributable to the Bank and employees engaged by the contractor for these services shall always remain the employees of the contractor only. The contractor should submit the necessary documents that he has got necessary license, permit consent, sanction, etc, as are required for employing such persons for carrying out the said services under the Contract Labour (Regulation and Abolition) Act, 1990 and/or any other Act or laws. The contractor undertakes to Produce the permission/license etc. so obtained to the Bank and would furnish copies thereof and when required by the Bank. The contractor also undertakes to keep and get renewed such license, permission etc. from time to time. The contractor shall be solely responsible for any contravention of any acts, laws or regulations in this regard. The contractor should agree and undertake to bear and pay all the taxes, rates, charges, levies, claims, whatsoever as may be imposed by the State/Central Govt. or any local body or other authority in connection with employing such persons for the said services. The contractor agrees to furnish such proof of payment and compliance with the obligation including registration, certificate, clearance certificate, etc. as may be required by the Bank from time to time. The contractor shall provide uniforms to its staff. Prior approval of the Bank may be taken for the colour and pattern of the uniform. All the employees of the contractor will always be in such uniform and will display identity card. Any employee without proper uniform and identity card will not be permitted to enter the said premises. The contractor and all his employees shall at all times, during the continuance of this Agreement obey and observe all the directions and instructions which may be given by the Bank from time to time.
The personnel employed by the contractor shall be of good conduct and character and health. They should be medically fit and this should be supported by certificate from a doctor, approved by the Bank. The contractor shall be solely responsible for the conduct and integrity of the personnel deployed. If any of the contractor s staff is found misbehaving with other staff or with any other employees of the Bank or with any of the customers/guests/trainees of the Bank, the contractor shall withdraw such person(s) forthwith and replace him with suitable substitute. The contractor and his staff shall always be prompt, render quality service and maintain good behavior and politeness. The contractor shall ensure that the person deployed are fully trained and experienced. The contractor shall arrange for substitutes if any of their staff deployed by him in the said Bank is absent due to leave or sickness. The contractor shall take necessary insurance for the staff deployed by him in the said premises and ensure that such insurance policies are kept valid during the continuance of this contract. The contractor and his personnel shall co-operate with the security agencies deployed in the Office and shall be thoroughly checked every time they leave the premises by the security personnel, at the main gate. The contractor shall, in the case of any unusual occurrence/incidence in the said premises, bring the same to the notice of the authorized Officer of the Bank. No residential accommodation shall be provided by the Bank to the Contractor and/or to persons engaged/deployed by him. However, the Bank shall provide suitable space to the contractor for keeping tools/consumable materials etc. at the risk and responsibility of the contractor. The contractor shall execute his contractual obligation well before the commencement of business/office hours in a manner so as not to interfere with working of the Office and also without causing disturbance or damage to the existing structure and installations. The contractor shall properly maintain all equipment/items in the said premises and those if any given, by the Bank for performance of his duties and also keep the said premises neat and tidy and free from any damage. The contractor hereby agrees that the loss, if any, sustained by Bank due to any breakage of equipment/loss of any items shall be made good by the contractor and the Bank shall also be at liberty to recover the market rate of the said items or the amounts incurred for replacing spoilt/damage items/materials, from the contractor s bill. The contractor shall be responsible for and ensure that the facilities like water, electricity or anything else provided by bank are not misused or wasted. Any misuse of the said premises, equipment or facilities extended to the contractor, will be charged to the contractor and the decision of the Bank be final in this regard. The contractor shall ensure that all unwanted lights
are switched off after working hours and all passage/corridor and lawn lights are switched on/off as per prescribed timings. The contractor shall maintain registers and checklists for each activity and the works done by each of the contractors men shall be recorded on a Job Card. The contractor shall also submit a comprehensive report every month detailing the works/services done during the month. The Bank shall have the right to withhold/adjust any sum out of the amounts payable to the contractor under this contract, if the contractor or his employees commits breach of any of the terms and conditions of this agreement or fails to produce sufficient proof to the satisfaction of the bank as to payment of all statutory and other dues or compliance with other obligations. The Bank has the right to terminate services of the contractor by serving One Month Notice.
