INVITATION TO SHOWCASE YOUR PRODUCT Joint South Carolina & Southeastern Annual Conference and Discovery Forum April 13-17, 2015 Hilton Myrtle Beach, South Carolina South Carolina and Southeastern Associations of School Business Officials (SASBO) invites you to experience an opportunity like no other in the Southeast. The conference will attract over 500 school business officials from across the Southeast for networking and professional development bringing financial decision makers together in one location. SASBO is a professional organization representing over 2600 school business professionals. The 2015 conference is a joint conference with South Carolina Association of School Business Officials. Our mission is to provide networking, professional development, and relevant information to promote and advance personnel engaged in positions supporting education in areas of business and administrative services throughout the Southeast.

Exhibitor Registration Procedures & Conditions CONTRACT FOR EXHIBIT SPACE This contract for exhibit space and formal notice of assignment by the Southeastern Association of School Business Officials and the full payment of fees constitute a contract for the right to use the assigned exhibit space. Exhibit confirmations will be made by email. PAYMENT FOR SPACE The cost of exhibit space registration is due in full along with the submission of the contract. CANCELLATIONS A refund will be made by SASBO for cancellations of exhibit space only received in the SASBO office on or before February 1, 2015. There will be a $150.00 cancellation fee. No refunds will be made for cancellations after February 16, 2015. INSTALLING AND DISMANTLING Sponsor/Exhibitors may set up their booths on Wednesday, April 15, 2015, from 7:30-10:30 am. Must be removed by 8:00 pm on Wednesday, April 6, 2015. Table top displays at Hilton set up is at 6:30 am and must be removed by 11:30 am. EXHIBIT HOURS Exhibits will be open on Wednesday, April 15, 2015, 11:00 am 5:00 pm. Exhibit displays must be dismantled and ready for shipment out by 8:00 pm. Note: Table top exhibits outside Hilton ballroom are Wednesday from 7:30 am-11:00 am. USE OF SPACE All demonstrations or other sales activities must be confined to the limits of the exhibit booth. No exhibitor shall assign, sublet or share the space allocated without the knowledge and consent of the SASBO. Displays shall not be placed in a manner as to interfere with other exhibits. The Southeastern Association of School Business Officials reserves the right to exclude from any exhibition any or all literature, illustrations, materials or products that in its judgment are not consistent with the proper decorum of the educational exhibits. PRIZES SASBO encourages you to donate door prizes which will be awarded several times throughout the exhibit day. You may choose to hold a drawing at your booth. SASBO shall not be responsible for shipping of any such prizes. SHIPPING AND STORAGE OF DISPLAYS Information will be forwarded to each exhibitor from the exhibit coordinator. Convention Makers, Inc. is the official display company for the show. The Hilton Hotel will not accept shipments of any kind. NOISEMAKING EXHIBITS Exhibits which include the operation of musical instruments, radios, talking motion picture equipment, public address systems or noisemaking machines must be constructed or arranged so that the noise resulting from the demonstration will not annoy or disturb adjacent exhibitors and their patrons. INTERNET SERVICE - Internet Service is provided by the hotel for a fee. EXHIBITORS RESPONSIBILTY - Exhibitor assumes responsibility and agrees to indemnify, defend and hold harmless Hotel, Hilton Worldwide, Inc., and the Hotel's Owner, and their respective owners, managers, subsidiaries, affiliates, employees and agents (collectively, "Hotel Parties"), and Group from and against any claims or expenses arising out of the use of the exhibition premises. Exhibitor agrees to obtain and maintain during the use of the exhibition premises, Comprehensive General Liability Insurance, including contractual liability covering the Exhibitor's indemnity in this Responsibility Clause. Such insurance shall be in the amount of not less than $1,000,000 combined single limit for personal injury and property damage. The Hotel, Hilton Worldwide, Inc., the Hotel's Owner, and each of such entities' owners, subsidiaries and affiliates (collectively, "Hotel Parties") and Group shall be named as additional insured on such policy, and Exhibitor shall supply the Hotel with Certificates of Insurance at least 30 days prior to the use of the exhibition premises. The Exhibitor understands that neither the Group nor the Hotel Parties maintain insurance covering the Exhibitor's property and it is the sole responsibility of the Exhibitor to obtain such insurance. INSURANCE Responsibility for various types of insurance coverage is that of each individual exhibitor. Each exhibitor will hold SASBO free of liability, in connection with property damage or personal damage to his agents and employees, the conference facility and SASBO and the employees of each such organization for loss, theft, damage or destruction of goods, or for any injury to himself/herself or employees while in the exhibit or for any damage of any nature or character. FIRE PROTECTION- No flammable fluids, substances or materials of any nature, including decorative material that is not flameproof, may be used in the booth. Electrical wiring must conform to national Electric Code Safety Rules. Local fire regulations must be complied with. REGISTRATION Exhibitors are entitled to register up to two representative per exhibit space at no additional cost. Additional personnel may register for $60.which includes nametag, welcome reception, lunch, and breaks. Exhibitors will receive a confirmation and additional conference information when it becomes available. Industry members who are not exhibitors will be required to pay the prevailing registration fee to attend all or part of the conference and may not solicit business in the exhibit areas or distribute product information at the conference site. All associate members and exhibitors must register for the conference. These fees must be paid in advance. SASBO MAILING LIST SASBO will provide an Excel file of members attending the conference approximately 20 days prior to the conference. Exhibitors are expected to use the list only to promote attendance at their booth and the conference. ACCOMMODATIONS Accommodations are the responsibility of the vendor.
