Trade Advance About this guide This guide covers how to: Submit a Trade Advance request through CommBiz. Authorise a Trade Advance request. Review the status of a Trade Advance request. Important information To submit Trade Advance requests through CommBiz, you need to: 1. Operate a Trade Advance facility with the Commonwealth Bank. 2. Complete the CommBiz Trade Advance application form. The form can be uploaded from http://www.commbank.com.au/business/international/trade-forms.aspx Please ensure the form that you complete corresponds to the state in which your company operates (e.g. New South Wales). Submitting a Trade Advance request 1. Open your internet browser, visit www.commbiz.com.au and log in to CommBiz. 2. On the top menu, click Payables > Trade Advance Request.
3. The Trade Advance Request page is displayed. Select the Trade Facility that will be used to fund the loan by selecting the From Facility dropdown list. 4. Select the currency to be used against the loan from the Currency dropdown list. 5. Enter the amount of the Trade Advance. Note: The amount entered needs to be the amount in the currency selected in Step 5. 6. Select the date that the Trade Advance is To fall due on. This can be entered either as a date or the number of days of the Trade Advance period. Page 2 of 7
7. From the Please Credit dropdown list, select the appropriate crediting instruction. You can choose from: Documentary Trade Pay Beneficiary My CBA Account Note: Each credit payment option requires different details to be entered. This user guide shows the process of crediting My CBA Account, but the process is similar for all crediting options. 8. From the Account dropdown list, select the account that you would like to credit with the trade advance funds. The account details and Currency fields should automatically update. 9. Enter in the Amount to be credited to your account. Note: The money credited to your account will be in the currency selected in the Currency field. 10. If you are a CommBiz Markets user and have a dealer or spot/forward contract number, enter the details into the Dealer Name or FX Contract Number field. If you have the details available, please include the Dealer Reference Number. 11. If you have receive a spot/forward exchange rate, please enter the rate into the Exchange rate field. If you do not have an exchange rate, please leave this field blank. Page 3 of 7
12. To upload supporting documentation with the Trade Advance Request, click Browse. Once you have located and selected the document, select Import. Note: If you do not import a file, it may delay the processing of your request. 13. Progress to the maturity instructions. Note: It is not mandatory to provide maturity instructions at the time you submit the request. However, you must provide maturity instructions prior to the Trade Advance maturity date. 14. Select the Account which will be debited on the due date of the Trade Advance. 15. If you are a CommBiz Markets customer and have a dealer or contract number, enter the details into the Dealer Name or FX Contract Number field. 16. If you have received a exchange rate, please enter the rate into the Exchange rate field. If you do not have an exchange rate, please leave this field blank. 17. When you have entered all the details, click Next. Page 4 of 7
18. The Trade Advance Request Confirmation screen is displayed. Please check that all details are correct and click Confirm. If you need to make changes, click Change. 19. The Trade Advance Request Confirmed page is displayed. The page provides a request ID which you can use later to search for the request. 20. If you are a service delegate, the Authorise button will be displayed. Click Authorise and complete the authorisation process. If you are not able to authorise, click OK. Note: To be nominated as a Service Delegate, please contact your administrator who can assign you the permissions required. Your administrator can refer to the Nominating Service Delegate user guide for assistance. Page 5 of 7
Authorising the Trade Advance Request 21. On the CommBiz homepage in the My Summary section, you will see the number of outstanding unauthorised Trade Advance Requests. Select this hyperlink or select Payables > Authorisations > Trade Advance Requests on the left-hand menu. 22. You can search for the Trade Advance Request that you wish to authorise by entering the Request ID in the search field, or click on the relevant request in the list. 23. Complete the authorisation steps as prompted. Page 6 of 7
Reviewing a Trade Advance Request 24. Go to Payables > Trade Advance Status List. 25. Select the Request ID that is linked to the Trade Advance. To search, either search by the Request State, Request ID or Request Status. The Show Advance Search allows you to search by date of creation or identity of the user who created the request. 26. You can now review the details of the Trade Advance Request. Page 7 of 7
