The North American Meat Institute (NAMI) and the Food Marketing Institute (FMI) (hereinafter Sponsors) are the sponsors of the 2017 Annual Meat Conference (Annual Meat Conference or Conference). Space Aesthetics. Participants are encouraged to make their exhibit as interactive and educational as possible. Basic carpet is provided but additional padding or premium carpets may be ordered for additional costs through the Exhibitor service kit. Space Allocation. Space is assigned on a first come, first serve basis for Exhibitors that submit both the completed application and payment. Whenever possible, space assignments will be made by NAMI keeping with the preferences specified by the Exhibitor. However, NAMI reserves the right to make the final determination of all space assignments in the best interests of the Annual Meat Conference. Contact Cancellation. Exhibitors may cancel their exhibit space and receive a fifty percent (50%) refund providing NAMI receives written notice of cancellation prior to December 2, 2016. After December 2, 2016, cancellations are not eligible for a refund. Substitutions without penalty are allowed with other member companies in good standing. Complimentary Registrations. Included with each 10 x 12 booth are two full conference registrations and one exhibits only registration for exhibiting companies. Additionally, each Exhibitor has access to two full conference registrations to be used to invite retail customers. Courtesy and Canvassing. The rights and privileges of an Exhibitor shall not be infringed upon by another Exhibitor. Interviews, demonstrations, distribution of literature and samples, etc. must be made from inside the Exhibitor s booth. Canvassing outside the booth is forbidden. Exhibitors can only distribute samples and conduct business from within their exhibit space. Display Guidelines. The International Association of Exhibitions and Events display guidelines must be strictly observed and will be enforced on show site through a floor manager. The guidelines will be included in the Exhibitor service kit and have been adopted to ensure that each Exhibitor can effectively use the space assigned without infringing on the rights of neighboring displays. No displays will be permitted that interfere with the use of other displays or impede access to them or the free use of aisles. Pop-up booths and other display equipment are permitted; however, it must fit within the perimeter of an Exhibitor s space. Exhibition Hours. The Annual Meat Conference exhibit will take place from 12:30PM 5:00PM on Monday, February 20, 2017. The exhibit floor will not be open at any other time. Exhibitor Rules. If an Exhibitor is a meat or poultry processing company, that Exhibitor MUST serve product for the duration of the exhibit hours. Additionally, to ensure service levels from the hotel, all Exhibitors serving product MUST purchase a minimum of level one service from the hotel. Seasoning or ingredient Exhibitors are not required to serve food, but if they do they MUST purchase a minimum of level one service from the hotel. Technology Exhibitors are not required to serve food and are not required to purchase a level of service from the hotel.
Exhibitor Responsibility Clause. To the extent permitted by law, the person/legal entity described as Exhibitor in this clause and in this Exhibitor contract (regardless whether such person/legal entity is also described as Exhibitor in this contract) hereby assumes responsibility and agrees to indemnify, defend, and hold harmless Hilton Anatole ( Hotel ), Hotel s owner Anatole Partners III LLC, Hilton Worldwide, Inc., and each of their respective owners, managers, subsidiaries, affiliates, employees and agents (collectively, Hotel Parties ), as well as Hilton Anatole, FMI, and NAMI, from and against any and all claims or expenses arising out of or associated with Exhibitor s use of the exhibition premises or participation in the Annual Meat Conference. Exhibitor agrees to obtain and maintain during the use of the exhibition premises, Comprehensive General Liability Insurance, including contractual liability covering the Exhibitor s Indemnity obligations in this clause. Such Insurance shall be in the amount of not less than $1,000,000 combined single limit for personal injury and property damage. The Hotel Parties, FMI, and NAMI shall be named as additional insureds on such policy, and Exhibitor shall supply the Hotel and NAMI with a Certificate of Insurance at least 30 days prior to the use of the exhibition premises. The Exhibitor understands that neither FMI, NAMI nor the Hotel Parties maintain insurance covering the Exhibitor s property and it is the sole responsibility of the Exhibitor to obtain such insurance. Exhibitor Set-Up and Teardown. Exhibitor set up and teardown hours will be posted in the Exhibitor service kit. All set up and teardown must take place during those designated times. All exhibits must be set-up one hour before show opening and all teardown must be completed by the deadline posted in the Exhibitor service kit. Installation and Dismantling Personnel. Exhibitors may provide their own exhibit furnishings, and may specify their own independent contractor for the installation and dismantling of the exhibit. Exhibitors must notify GES in writing before December 2, 2016, of their intent to use the services of contractors other than those selected by Annual Meat Conference. The Exhibitor is responsible for ensuring that any Exhibitor Appointed Contractor (EAC) supplies GES with a valid Certificate of Insurance naming GES, North American Meat Institute, Food Marketing Institute, Annual Meat Conference, and Hotel Parties as additional insureds with a minimum of $2,000,000 liability coverage, including property damage. Insurance. The North American Meat Institute, Food Marketing Institute, and the Annual Meat Conference require Exhibitors to carry insurance that adequately covers the Exhibitor and its property from theft, public liability, product liability, property damage, personal injury and other loss or liability that may be incurred at or in connection with the Annual Meat Conference exhibits. Exhibitors should name the North American Meat Institute, Food Marketing Institute, and Annual Meat Conference as additional insureds. Exhibitors will not be allowed to set up and exhibit without proof of insurance.
Exhibitor shall purchase commercial general liability insurance, placed with a financially stable insurance carrier, which insures Exhibitor s operations and obligations under this agreement. Said policy shall have limits of no less than $1,000,000 per occurrence. The foregoing insurance is a minimum requirement and shall in no way limit the liability of the Exhibitor. Exhibitor shall furnish evidence (certificate of insurance) satisfactory to the Annual Meat Conference that Exhibitor has secured and is maintaining the foregoing insurance policy. Insurance must show coverage through show move-in dates, show dates, and move out dates. Exhibitor utilizing an EAC for set up/dismantle of booth space must have the EAC provide evidence of insurance (certificate of insurance) in the amount of no less than $2,000,000 in general liability coverage. Information on where to secure insurance and where to send the completed certificates of insurance can be found in the Exhibitor service kit. Liability Limitation. Exhibitor agrees to indemnify and hold harmless the North American Meat Institute, Food Marketing Institute, the Annual Meat Conference, and the exhibition hall facility in which the exhibition is being held, and their officers, agents and employees, against all claims, losses, suits, damages, judgements, expenses, costs and charges of any kind resulting from the occupancy of space herein contracted for by reason of personal injuries, death, property damages, or any other cause sustained by any persons or others. The North American Meat Institute, Food Marketing Institute, and the Annual Meat Conference shall not be responsible for loss or damage to displays or goods belonging to Exhibitors, whether resulting from fire, storms, acts of God, air conditioning/heating failure, theft, pilferage, mysterious disappearance, bomb threats, or other causes. All displays or goods brought to the exhibition are displayed at the Exhibitor s own risk and should be safeguarded at all times. The North American Meat Institute, Food Marketing Institute, and the Annual Meat Conference shall bear no responsibility for damage to the Exhibitor s property, or lost shipments either coming in or going out, or for moving costs. Damage to inadequately packed property is Exhibitor s responsibility. If displays or goods fail to arrive, Exhibitor is nevertheless responsible for space costs. Exhibitor is advised to insure against these risks. Member Eligibility. Exhibitors must be a poultry processing member of the National Chicken Council, a turkey processing member of the National Turkey Federation, a meat or poultry processing member of NAMI, a supplier member of NAMI, or an associate member of FMI. Exhibitors must be a member in good standing at the time of the booth reservation and the event. Membership will be verified prior to booth confirmation. Payment. Payment may be made via check or credit card. Credit card payments are subject to a three percent (3%) processing fee. Payment must accompany exhibit space application and space will not be assigned until payment is received. The cost to exhibit is $4,750 per 10 x 12 booth and that fee includes carpet for the exhibit hall, basic electricity, two full conference registrations and one exhibits only registration. Exhibit Relocation. Sponsors reserve the right to alter the location of exhibit spaces, at their sole discretion, in the best interest of the exposition. If necessary, the Exhibitor(s) will be notified in writing of any changes. Sublease. Exhibitors may not assign or sublet their exhibit space with another business or firm without prior written approval from Sponsors.
Utilities. 1,000 watts/20 amps of electricity are included in the exhibit fee. Exhibitors are eligible and encouraged to purchase additional electricity to meet their exhibit needs through the hotel and order forms for all utilities will be included in the Exhibitor service kit.
