3 Reasons to Record a Manual To record all wages for any off-cycle payroll processing such as Final check for termed employee Ex: Partial Reg Hours and PTO hours Employee missed on regularly scheduled payroll Ex: Salary autopay box was unchecked on newly added salary employee Employee underpaid on paycheck Ex: Commission pay was not added on payroll run Correct hours for miscoded earnings Ex: PTO hours were coded to Holiday incorrectly

4 From Main Menu in Payentry.com, click Payroll Entry

5 You do not have to Start Payroll to record a manual check, but it is okay if you have started your payroll. Simply click on Check Calculator

6 Select the name of the employee you wish to record a manual from the employee list.

7 In today s example, we are going to record a manual check for Damien Alexander. We will pay him EREG hours at $26.45 hourly rate. We are going complete the follow steps in our practice manual check. Block Direct Deposit Block Deductions Block Automatic Pays Override Tax Amounts

8 Keying a Manual Check Select the earning code from the drop down filter Enter hours worked and/or rate Click Calculate Check

9 Quick Tip: To verify you have successfully Block Direct Deposit. Review the Direct Deposit section in the lower left corner of the paycheck detail. ***Direct Deposit should ALWAYS be checked. This prevents the employee from receiving ACH Credit to your personal bank account.***

10 How to Block Automatic Pays on a Manual Check When you check the Block Automatic Pays box (ex: Auto Allowance, Bonus, HCERM, 401KM, IRAM, SAFE, etc.) the system will block all fringes or automatic pays. Click Calculate or Recalculate Check.

11 If the employee should receive salary, please check the box for AUTOPAY. If the employee is receiving an amount other salary autopay, leave the AUTOPAY box unchecked. Select the appropriate earning code from the drop down filter on line 1 under Code and Description. Key in Hours, Rate, and/or Amount. Click Calculate Check to display the paycheck detail.

12 How to Block Deductions on a Manual Check If you would like to Block Deductions, simply check the Block Deductions box. This feature will block all deductions simultaneously. This feature does not allow you to pick and choose which deductions are blocked.

13 How to Override Tax Withholding on a Manual Check Using the next available blank line, select your tax code from the dropdown filter. ***Please note: OASDI (Social Security) and MED (Medicare) tax withholding should not be overridden. These are required tax amounts to be paid by both the employee and employer.***

14 Click, Recalculate Check and verify FITW and NY are both $0.00

15 How to Save a Manual Check 1) Calculate and Verify your check details 2) Scroll down to the Save Check section. 3) The radio button next to Issue check immediately using the following information should be selected. 4) The Bank Account field should reflect your Primary Bank Account. 5) The Check Number field must be populated with your check number or check number 1. 6) Click Save Check. Your check will be saved in the VM BATCH.
