4 CP22/Data Validation & Extract Tool Overview The CP22/Data Extract & Validation Tool is a data extract interface used to extract plan and participant information from Schwab RT SQL Recordkeeping to produce an extract that can be used internally, or distributed to a vendor for reporting, generating statements, and/or validating data. This feature can be used as often as needed in any workflow to ensure that data within the Schwab RT Recordkeeping system is sound before you begin any tasks, such as producing statements or running a compliance test. You can also access Recordkeeping data to export to database files (DBF) and for generating custom statements such as the Newkirk SuperStatement. Enhancements added to SQL RK Release 2.3: Recordkeeping Release 2.3 introduced custom enhancements to the SuperStatement for customers who have contracts for these options with Newkirk. Details related to the additional fields are covered within this document. Enhancements added to SQL RK Release 2.4.1: Recordkeeping Release (September 2007) release added fields to accommodate Pension Protection Act fields. 5 Before Running the Extract with BTV Plans Before running the Data Validation & Extract Tool with BTV plans ensure that the Sstmopt.btv file exists and that plan level options have been set up in this file. This file is not needed for SQL plans. Extracting Plan and Participant Data and Creating DBF files 1. Open the Data Validation and Extract Tool application. The Select Plans window appears: 2. Select the desired plan(s) to process. Use the Select All or Clear All buttons to facilitate. You can sort by Extract Date, Plan, or Path. If you are selecting by Extract Date, also enter a Date Range Beginning Date and Ending Date. Click Reload Paths to refresh the list of paths if you add or modify a plan within a path. 6 3. From the Select Status Codes window select or clear the Status Codes and QDRO/Bene Options you want to include or exclude. 4. 7 5. If you are creating a Newkirk SuperStatement, open the Extract SuperStatement window to complete the additional data fields and location for saving your DBF file. Refer to the on-line help for field descriptions. 6. Select Process from the Options menu or click the Process button to create the DBF files. 7. 8 8. If you need to send fund data to your vendor, use the Select CUSIP Data Source window to create a Fund.dbf file. July 2015 Schwab Retirement Technologies Page 8 of 42

If you wish to create a list of plan identifiers and plan names in the plan index to use with your vendor s Message Board application, create a PlanMess.dbf file from the Select Message Board Data Source window. Notes: The View Message Listing and Error Log window allows you to view the plan identifiers and plan names in the plan index and any errors for these plans. The PlanMess Error Listing displays two types of errors: Invalid path (if the path does not exist), and Invalid Plan ID (if the plan exists, but the plan record is not found.) 10. Create Zip files from the Zip File window for DBF files to send to your vendor. July 2015 Schwab Retirement Technologies Page 9 of 42

10 How to Zip DBF files Vendors require DBF files to be sent as Zip files before transmitting them. The naming convention for Zip files is MMDDHHMM.zip, reflecting the month, day, hour, and minute that the Zip file is created. To Zip DBF files, do the following: 1. From the Zip Files window at the bottom of the Data Extract & Validation tree, click the New Zip File button. 2. From the Create Zip File dialog, select the directory to store the zip file. In the Drive field, select the local or network drive and then Select Directory. Click OK and in the Add Files dialog use MMDDHHMM.zip for the naming convention, indicating the month, day, hour, and minute the zip file is created. 3. You can indicate a Compression method by selecting Normal, Best (slower with the best compression ratio), Fastest (uses a lower compression ratio that is the fastest method), or None (to create a zip file without compression). 4. Click OK. When the Add Files dialog appears, select the DBF files you want to include in the Zip file. You can select one or more files to add by highlighting the files while holding down the Control key. 5. Click Open. The DBF files appear in the list and the file name and path of the zip file display in the status bar at the bottom of the window. You can open Zip files to view the DBF files within them by clicking the Open Zip File button. Tips: The Data Extract automatically selects appropriate DBF file check boxes in the upper right corner of the window. You can add additional DBF files to a selected Zip file by clicking Add to Zip File from the Zip Files Window. The Add Files dialog appears. Under DBF File Properties, you can view the following information for each DBF file contained within the selected zip file. 11 Maintaining Extract Plan Options: 1. Open the Data Validation & Extract Tool Maintain Plan Options window. 2. Select the desired plan from the Plan ID field. 3. Under Suppression Options, select those options you wish to suppress from printing on the extract. Notes: Custom Statement Features require a contract with Newkirk. The YTD Rate of Return is suppressed by default since this may affect processing time. To include YTD Rate of Return, clear the check box. If you calculate YTD Rate of Return, you must also specify a cycle YTD ROR Begin Date*. The YTD Rate of Return calculation uses the same method as YTD ROR in other RK applications using the same ending date determined by the plan level settings. Only SuperStatement calculates YTD ROR using a user-defined beginning date. 4. Specify the Deferral Percentage Source and Deferral Amount Source. This data appears in the Allocation Analyzer section of the report unless the option is suppressed. 5. Specify the Investment Election Source, which will be printed to the Allocation Analyzer section of the extract. 6. Select the Compensation* from which to extract the participant compensation. 7. Indicate the Data Extract Mail Option where your vendor should send the report. You can select to it sent directly to the participant (default). Alternatively, if the data extract is to be mailed in bulk to the plan sponsor or provider, select the Data Extract Sort by option (SSN, Name, July 2015 Schwab Retirement Technologies Page 11 of 42

12 Division/Name, or Division/SSN). After you extract the plan and participant data, the last extract date is updated by the system. 8. The Master Plan ID connects plans for printing a consolidated statement for participants in multiple plans. Combined plans can have up to 15 sources. The Master Plan ID uses an existing Plan ID. This field should contain the link from the subplan(s) you wish to aggregate to the master plan. For example, to aggregate plan F50 and ABC (the master plan) together, you would specify ABC as the Master Plan ID for plan F50 by entering it as: ABC L:\Subplan path\50funds. If two or more plans are to be aggregated, specify the plan as the Master Plan ID for each of the subplans. 9. Select or clear the Use As Of Date check box to determine whether transactions are to be included in the selected extract date range. In Recordkeeping, transactions are recorded as they occur (process date). Transactions belonging to one period for reporting and compliance purposes may actually occur in a different time period. In this case, the As Of Date represents a date to which this transaction belongs. 10. To set up the Data Extract for all plans based on a template plan, select the Use as Template check box. 11. You can either print the Life Styles section or the Source Summary section on the extract report. Selecting one excludes the other for the plan report. 12. From the Options menu, click Save. 13. If you are setting up unique data extract options for each plan, repeat steps for the additional plans. July 2015 Schwab Retirement Technologies Page 12 of 42

13 Custom Newkirk SuperStatement Options added to Release 2.3 The following custom options (require a Newkirk contract) are added to the Data Validation & Extract>Maintain Plan Options window. Corresponding options also appear on a new Plan CUSIPs and Report Options window displayed on the following page: The Deferral Amount exemption check box is reported to the SuperStatement extract. Selecting the option allows you to suppress the Deferral Amount from the extract. The Payroll Frequency check box allows you to determine whether to include or exclude a participant s payroll frequency. If payroll by division is set up for the plan, the extract includes the participant's payroll frequency by default. If payroll by division is not set up for the plan, nothing is extracted for this option. Selecting the Payroll Frequency check box suppresses the Payroll Frequency from the extract. The Compensation check box allows you to determine whether to include or exclude a participant s compensation in the extract. By default, compensation is extracted. Selecting the check box suppresses participant compensation. An additional field determines which compensation field (1 15) is to be used in extracting the data for the participant. The Federal Marital Status check box allows you to determine whether to include or exclude a participant s federal marital status in the extract. By default, the marital status is included. Selecting the check box suppresses the participant s marital status from the extract. The Federal Exemptions check box allows you to determine whether to include or exclude a participant s number of federal exemptions in the extract. By default, the number of exemptions is included. Selecting the check box suppresses the participant s exemptions from the extract. Note: The LDT application defaults the exemptions as 3. Note: The Allowances fields in Participant Maintenance are moved from the 457 Plan Settings window to the Tax Data window. Moving these items allows all plan types to access them. The YTD Rate of Return check box is selected by default to suppress the calculation since this might affect processing time. You must clear the check box to calculate the YTD Rate of Return. The YTD Rate of Return is determined by using the same calculation as the existing Rate of Return, except that it uses the YTD ROR Begin Date entered. The same ending date is used in both cases. Outside of this application, the YTD Rate of Return is based on a specific cycle beginning and ending date and the beginning date of the plan is determined the using the Plan Year End setting. Example: If the plan year end is 12/31, the beginning plan year is 1/1. If the plan year end is 06/30, the beginning plan year is 7/1. The ending date for both ROR and YTD ROR is the ending cycle date. The Deferral Amount Source field allows you to choose which source the participant s deferral percentage is extracted from. The Deferral Source field allows you to specify the source of the deferral percentage, which is exported to the Allocation Analyzer section of the Data Extract. The Deferral Amount Source similarly allows you to select the source of deferral dollars. These data are suppressed only if the corresponding Deferral Percentage or Deferral Amount check box(es) are selected. The Compensation Field allows you to select the compensation to be included in the extract. This field is blank by default. July 2015 Schwab Retirement Technologies Page 13 of 42

15 How data aggregation occurs using a Master Plan ID: Participant and Plan Synoptic Information (Part.dbf and Plan.dbf): The Plan Name and Participant Address are pulled from the Master Plan. If the participant is only represented in the subplan, the address is pulled from the subplan. Investment Elections (Inv_Src.dbf): Continues to pull from the investment election source defined for the Master Plan only. Loan Summary (Part.dbf): Any loans from the secondary plan(s) are represented in addition to the loans from the Master Plan. Fund Listing for Fund Performance (Fund.dbf): Pulls only from the master plan. Therefore, all funds in any subplan must also be a fund in the Master Plan. There is a limit of 46 funds on this page of the statement. Source Information (Source.dbf): The sources from the secondary plan(s) are represented in addition to the sources from the Master Plan. For example, if the master plan contains four sources and the secondary plan contains one source, a total of five sources is extracted. The total number of sources across all plans must not exceed 15. Activity Information (As.dbf): This information is aggregated across sources. The funds are aggregated across the plans into one listing. It is not possible to represent the same fund/cusip separately for the underlying plans. Each fund/cusip is assigned one name only. Plan Summary Information (Summary.dbf): This information is aggregated together. Rate of Return (Part.dbf): The Rate of Return is aggregated across plans unless suppressed. Aggregation of plans: Once a Master Plan is defined for a plan, the extract always combines the plans, even if only one of the plans is selected to be extracted. For example, if plan ABC is the Master Plan for plan XYZ, at runtime only plan XYZ is extracted. The extract recognizes that ABC and XYZ are associated and extracts the combination of these as represented by the Master Plan ID, ABC. If only plan ABC is selected, the aggregate of both ABC and XYZ is extracted. Plan Report Tax Maps and Headers: The report tax maps must match across the plans being aggregated. 16 C004/Participant Maintenance In Release 2.3, the State Withholding Allowance and Federal Withholding Allowance fields are renamed State Withholding Exemptions and Federal Withholding Exemptions. These fields have been relocated to the Tax Data window from the 457 Tax Data window. This change allows all plan types to access these fields. Federal Withholding Exemptions and State Withholding Exemptions are added to the Participant Master and Participant Synoptic reports.
