4 WHAT IS AN EARLY RETURN-TO-WORK PROCESS? The Return-to-Work (RTW) process is a planned approach that provides injured or ill employees with temporary medical restrictions, the opportunity to remain on the job working in some capacity.
5 STEP 1 Explain Workers Compensation Insurance Explain to the workforce that the company s workers compensation insurance will pay for their medical bills related to on-the-job injuries The injured person will be compensated his/ her for their lost salary based on your state s WC commission regulations
6 STEP 2 Pass Out Insurance Cards The insurance card may list: Your company s name Address Phone number Insurance company s name Policy number Workers compensation policy expiration date The insurance card helps the clinic or hospital start the process correctly.
7 STEP 3 Workers Need to Report Injuries Report the injury to a supervisor or crew leader event if the they do not go to a clinic or hospital. The company should then notify its insurance carrier of the injury.
8 STEP 4 Provide Immediate Assistance Basic first-aid supplies are necessary for compliance with state and federal employee safety laws and regulations Contact the local Red Cross chapter for first aid training
9 STEP 5 Pre-Select a Physician or Clinic If your specific state laws allow the employer to direct workers to a medical provider Pre-select a physician or a clinic where your company would send an injured worker for treatment Build a working relationship with your selected medical provider
10 STEP 6 Transport the Injured Worker Not every injured person needs to go to a hospital emergency room There are options when addressing a minor injury Often those workers receive quicker care
11 STEP 6, CONTINUED Transport the Injured Worker Reduce Medical Costs: Compare these average costs when an injured worker needs non-life threatening medical care: $1,300 to a hospital emergency room $175 to an urgent care center $150 to a doctor s office $73 to a walk-in convenience care clinic
12 STEP 7 Involve Foreman or Supervisor Have key people understand and support the RTW program Modify the injured person s original job or work tasks Communicate with the medical provider
13 STEP 8 Contact the Injured Worker Contact the injured worker within 24 hours after the accident Make contact with the spouse or a family member Follow up with the injured worker at least every other week
14 STEP 9 Notify the Insurance Carrier Reporting a workers compensation injury to the insurance carrier within 24 hours can lower the accident s total direct costs by 5% to 6%. Take control of the process to help the employee return to work as soon as practical and medically appropriate.
15 STEP 10 Accident Investigation Secure any evidence as soon as possible Obtain witness statements Contact the insurance carrier s claim department
16 STEP 11 Job Function Evaluation Present the medical provider with a job description Present the medical provider with a job function evaluation (JFE) document when the injured employee goes to the doctor for the first time Explain the basic work activities needed to perform the job functions Estimate the frequency for each posture during a work shift
17 A JOB DESCRIPTION IS NOT A JFE A Job Description is a general description of the major duties and type of work the job requires. Indicate whether the work is preformed indoors or outdoors and whether the area is heated. List or describe any personal protective equipment that needs to be worn.
18 USE A JFE FORM Use the Job Function Evaluation Guide and Form to help develop your JFE. Customize the information to your situation
19 STEP 12 Offer Transitional Work An effective transitional work assignment might result in a 10-25% reduction of the workers compensation indemnity costs. It is common to limit the modified job to just 30 days Notify the insurance carrier s claim department so the adjuster can coordinate any change in benefits
20 CONCLUSION An effective RTW process could result in the following savings: 10% - 40% of workers compensation medical costs 10% - 25% of wage replacement Having an effective RTW process in place makes good business sense. Visit to access forms, questionnaires and checklists for your program.
