1 Administrative Rule Board Policy 800 Approved: March 12, 2015 This Administrative Rule should guide employees as they retain and destroy the School District s records, whether in hard copy or in electronic form. The period of retention begins to run at the end of the calendar year in which the records came into existence, unless otherwise specified. ADMINISTRATION RECORDS The Superintendent or the Superintendent s designee is responsible for these records. Boundary Changes District Maps and any description of Map changes to District boundaries Building sign in / sign out documentation Calendar (as adopted by School Board) Census Election Correspondence Electronic Mail Documents signed by students, parents, and other school visitors showing arrival and departure Official calendar reflecting number of days and length of school day, as well as scheduled District activities Official census records conducted once per decade Ballots or official reports, notifications, petitions, publications Hard copies of all formal and informal correspondence to or from school district employees All electronic mail to or from school district employees. Retain until the conclusion of the school year Retain 1 year or 1 year after the conclusion of any challenge to election results, whichever is later Deletion of deleted items = 30 days from originated date Deletion of sent items = 365 days from originated date Deletion of inbox items = 365 days from originated date Unless subject to a litigation hold in which case the electronic mail shall be
