1 Hire of the Ground Floor of Aiming Higher Central. Dear Hirer, Please find enclosed a Request for Hire form together with a Terms and Conditions of Hire Agreement. I would like to bring to your attention to Section 2 with regard to Opening up Policy. Before the letting takes place, could you please return this together with the signed Request for Hire form, Terms and Conditions and your insurance policy. 2 1. Conditions of Agreement 1 Ensure all staff are aware and understand the fire safety procedure. 2 Ensure staff are aware and understand the Opening Up Policy (please refer to Section 2 for full details of this procedure). 3 Should the premises be unavailable for any reason for any of the sessions Aiming Higher will notify the Hirer of this as soon as is reasonably practicable and no fee for any session cancelled by Aiming Higher shall be payable. 4 The Hirer must give 72 hours notice if they wish to cancel a session. If the Hirer fails to give such notice they will be charged in full the fee for the cancelled session. 5 The Hirer shall pay the fee for the sessions at the time of booking or within 30 days of receipt of an invoice if agreed by Aiming Higher. 6 The premises shall be accepted by the Hirer in the condition in which it is found and the Hirer shall ensure that the premises are in the same condition at the end of each session. The Hirer must keep the room/area hired clean and tidy and free from rubbish. A charge of 50 will be made for cleaning services if the ground floor is not left in the same clean and tidy condition which it was found. 7 The Hirer shall ensure that it holds and maintains adequate insurances with reputable insurance companies including but not limited to public liability insurance and shall supply Aiming Higher with a copy of its insurance certificates before the letting takes place. The hirer shall be held responsible for insuring all equipment brought in to the let premises and for any damage caused to Aiming Higher s property by any person, equipment or exhibits brought on to the let premises by the hirer. 8 The Hirer shall indemnify Aiming Higher against any costs, claims proceedings, damages or losses which arise during the Hirers sessions. Any damages caused to the Centre or equipment should be reported to the manager no more than 24 hours after the start of the letting. Cost of repair will be calculated by the manager and her decision is final. 9 When a session includes members who are classed as vulnerable adults, children or young people the Hirer will be responsible for holding a valid enhanced Disclosure and Barring Service certificate and shall show this to Aiming Higher on request. The Hirer will be responsible for carrying out the relevant Disclosure and Barring Service checks on its employees and where appropriate shall check its employees status with the Independent Safeguarding Authority in accordance with the Safeguarding Vulnerable Groups Act The Hirer shall not do anything on the premises which may be or might become a danger nuisance annoyance or inconvenience to Aiming Higher, other hirers or to occupiers of any adjoining or neighbouring properties. No part of the let premises is to be used for any unlawful purpose or in any unlawful way. 11 Should the Hirer use any of its own equipment during the sessions the Hirer shall be responsible for ensuring the equipment is safe and adequate for the purposes for which it is to be used. 12 Any of the Hirers equipment left on the premises is left at the risk of the Hirer. Aiming Higher shall not take any responsibility for any loss or damage. 13 Any portable electrical equipment to be used by the Hirer must be portable appliance tested and have a valid electrical safety test sticker. 14 The Hirer shall be responsible for carrying out its own risk assessment of the premises and activities.
3 15 The Hirer shall be responsible for meeting all health and safety requirements during the sessions and must report any health and safety issues to Aiming Higher immediately. Users of the let premises enter the premises at their own risk. It is also the responsibility of the hirer to make any other necessary health and safety arrangements.i.e. First Aid, fire drills and evacuation procedures. 16 Aiming Higher adopts a zero tolerance policy. Any abuse either verbal or physical to any staff member or other user of the premises will not be tolerated 17 The Hirer cannot sub-let the hired facilities. 18 Use of the premises includes the use only of the ground floor of the Aiming Higher building, no access to other areas is allowed. 19 You must not alter the electricity supply, fix anything with screws, nails or other permanent fixings, bring other means of artificial lighting or dangerous substances into the premises. 20 Aiming Higher shall not be responsible for any damage or injury (including death) caused to or sustained by any person arising out of or in connection with the letting. 21 A No Smoking policy is in force throughout the building and surrounding premises on site, additional to this illegal substances and alcohol are forbidden and must not be brought on the premises. Anybody under the influence of illegal substances or alcohol should NOT be permitted access into the building. 22 The maximum number of people at any one time in the Ground Floor of Aiming Higher is 60 (this is inclusive of both adults and children). 23 There is car parking for Aiming Higher Central at the rear of the building. Vehicles are left at your own risk and Aiming Higher will not be liable for any loss, damage or theft. 2. Opening up Policy 1 The two back patio doors are double locked for the security of the children (metal key locked and then keycard fob locked). Therefore to open these doors they need to be unlocked with the metal key, then the white keycard fob needs to be placed over the black square sensor on the wall to open the doors. 2 The two back patio doors must be unlocked by the metal key BEFORE any sessions begin. The doors must be left unlocked for the entire session, these patio doors are electronically locked at all times and can be opened by using the keycard fob if and when needed. The importance of unlocking these doors with the key BEFORE sessions start cannot be stressed enough. It is in relation to the fire alarm security system, if these doors are not unlocked by the metal key they cannot be used as an exit if the fire alarms are triggered. 3 All doors in the area are locked and can be unlocked with the keycard fob to ensure the safety of the children. An adult with a keycard fob MUST be downstairs in the area at all times. 4 At the end of the session when leaving the building please ensure the two back patio doors are securely locked with the metal key.
