Any additional exhibitor registration is $50 each. The entire area is fully airconditioned. A sign showing booth number and two-line name will be provided. Payment can be made on-site, however it will be due before setup can begin. BOOTH ASSIGNMENTS Booths are assigned based on the level of sponsorship and the order in which contracts are received. TSSP reserves the right to re-assign booths based on conflicting exhibits or for the overall benefit of the exhibition. ELECTRICAL POWER Electrical power will be available through Omni WestSide Houston. JANITORIAL SERVICES Aisles will be maintained at no cost to the exhibitor. The fire and safety regulations as specified by the Fire Marshall must be strictly observed 2. No exhibits, samples or films shall be displayed at any place other than the exhibit area. Slides or films associated with the presentation of normal meeting activities are excepted. 3. All exhibits must be confined within the assigned exhibit space. 4. All construction materials must conform to the Fire Department codes. All exhibits are subject to inspection by the Fire Marshall. 5. NO OXYGEN WILL BE PERMITTED IN THE EXHIBIT AREA, with the exception of personal use under physician orders. 6. All exhibitor attendees must register before entering the exhibit area. For security, everyone registered must wear their badge at all times. 7. All exhibitors shall be governed by the rules and regulations concerning TSSP, an abstract which appears in this brochure. EXHIBITOR REGISTRATION Proper exhibitor identification will be required for entry into the exhibit area. Three complimentary registrations are included in each booth registration. There will be an additional $50 fee for each additional registrant and $10 fee to replace name badges. Registration can be done by either: 1) Mail completed registration form and payment to: P.O. 5 TSSP Exhibitor Rules For purposes below, Society shall mean the, LLC and exhibit area shall mean the Omni West Houston. Admission is permitted by badge only, thereby declaring that each registered exhibitor has read the TSSP Exhibitor Rules and agrees to uphold the following: 1. Use of Aisles: The aisles, passageways and overhead spaces remain strictly under control of the Society and no signs, decorations, banners, etc will be permitted in the aisles without exception granted by the Society. Exhibits shall be installed so that they are not obstructing the view of neighboring exhibits. Motion picture projectors and all other apparatus must conform to local fire regulations and must not block the aisles. 2. Improvements: All structural work such as shelving, standards, display racks, spotlights, signs, etc must be approved. They must be flameproof and are subject to inspection by the local fire department. 3. Subletting of Space: The space designated to each vendor is to be used solely by the exhibitor name that appears on the contract. Subletting is strictly prohibited without the written consent of the Society. 4. Canvassing/Lotteries: Canvassing outside the exhibitor s booth is prohibited. Lotteries are prohibited. Advertising for any other firm not listed on the contract is prohibited, including print material or signage. 5. Education of Registrants: The primary emphasis of the exhibit should be to educate attendees on the advantages and features of new products and services offered by the vendor. 6. Samples and Contests: Product displays, giveaways, samples, and print material are permitted so long as the focus of such material is to educate attendees. 7. Violation of Rules: Unethical conduct or infraction of these rules by exhibitor representatives will result in dismissal of the exhibitor and/or all representatives from the exhibit area with no refund or redress granted. 8. Security and Insurance: All exhibitors are urged to insure their property against fire and theft. Also, cartons containing valuables should not indicate contents from the outside. The Society is not responsible for loss, theft, damage, or destruction of goods, personal injury to exhibitor representatives, or their employees, or any action by exhibitor management and/or their employees that may cause harm to the exhibitor s business. The Society disclaims any liability for incidental or consequential damages incurred by the exhibitor for failure to provide space, removal of the exhibit, or failure to host the conference as scheduled. 9. Rights of the Society: In the event of natural or unforeseen disaster or circumstance (fire, strikes, authority of law, act of God, or any other cause), the Society agrees to refund the Exhibitor all deposits and monies paid theretofore, and this contract shall be deemed null and void by mutual consent. The Society reserves the right to refuse or excuse any exhibit or Exhibitor with just cause. 10. Liability: Space is leased with the understanding that the Society and the Omni West Houston will act for the Exhibitor and his representative only in the capacity of agent and not as principle, and that the Omni West Houston assumes no liability for damages for any act of omission or commission in connection with the said agency. The Exhibitor and his representative agree to hold harmless the Society and the Omni West Houston from all liabilities for loss ensued by the Exhibitor s employees, agents, servants, guests, and invitees by act of omission by the Exhibit Center, its servants, agents, or employees. Exhibitors and their agents shall not injure or deface walls, floors, or carpets of the building, the booths, or equipment provided by the Society or the Omni West Houston, including tack nails, screws, or woodwork that may cause damage to permanent or temporary structure, and the Exhibitor shall be held accountable by the owner of that property for monetary compensation for such damages. 11. Release of Liability: Exhibitors shall be fully responsible for any act or omission of the Exhibitor that may cause damage to the Exhibit Center or Society. The Exhibitor agrees to assume liability and hold harmless the Exhibition Center, its owner, managers, officers, directors, agents, employees, subsidiaries, and affiliates from any damages or charges, including bodily injury or any other occurrences, that may affect any person affiliated with the Exhibitor, its agents, employees, and/or business invitees by use of the exhibit premises. It is the sole responsibility of the Exhibitor to obtain insurance coverage for the Exhibitor s property, as this is will not be provided by the Society or the Omni West Houston. 12. Cancellation: If cancellation is made in writing by September 1, 2013, the full amount paid thereof less $50 for associated service charges will be refunded to the Exhibitor. Cancellations thereafter will negate the Society s cancellation policy and no refund will be paid. The space designated for the Exhibitor will be forfeited if not occupied by 9:00 AM on October 4, regardless of registration status, and the Society and/or Omni West Houston retain the right to utilize this space for other purposes as deemed necessary.
