The College Fee policy has an expectation that School Fee accounts will be paid in full by the 31 st October, each year. 2 Other Fee Components TEXT BOOK HIRE SCHEME The College operates a Text Book Hire Scheme. We expect students to take good care of the text books given to them for the year and to return them at the end of the year in a reasonably good condition, covered, unmarked and with bar code intact. Full replacement costs will be charged for books not returned by the end of the school year or for books returned in unreasonably poor condition. The charges are: Years 7, 8, 9 and 10: $95.00 per year Years 11 and 12: $ per year TECHNOLOGY LEVY This levy provides funds to support the infrastructure necessary for the computer technology at the College. Students in Years, 11 and 12 are allocated a MacBook for school use, which remains the property of the College. Students in Year 10 In 2018 will be required to supply their own laptop. The technology levy for Year 10/2018 will be $141. This includes access to the College network, some software licences, infrastructure such as wi fi points, servers & ongoing system maintenance, together with Hardware costs for computers provided for student use. Years 7, 8 and 9: $251 per student Year 10 : BYOD + $141 per student Year 11 and 12:$569 per student. ELECTIVE FEES Students in Years 9 12 are enrolled in elective subjects as part of the Stage 5 and Higher School Certificate courses. Some Elective Subjects which require special resources and / or materials charge an additional levy. Details are provided in the Senior and Junior Handbooks handed out last year. The initial school fee statement includes elective subjects for which the student has been enrolled in at this time, an amendment may be necessary where a student s subject selection is changed. EXCURSION AND COMPULSORY ACTIVITY FEES A separate letter will be posted home concerning this item, detailing both the specific fees the list of excursions and fees covered in this item, together with a permission slip for return to the College. DISCOUNTS Family Discounts Parents/Carers with two or more children enrolled concurrently at Trinity automatically receive a discount on the tuition component of the School Fees as follows. First Child Nil Discount Second Child 22% Discount Third Child 30% Discount Fourth (or more) Child 100% Discount Early Payment Discounts A 5% discount will be given on 2018 account items, if the account is paid in full by Friday, 16th March, Canteen / Book Room Assistance Discount Parents/Carers who make themselves available either twice a term (total eight times per year) or four times per term (total 16 times per year) to assist in the College Canteens or in the College Book Hire Room are eligible for the discount outlined below. The discount will be processed against your account at the end of the school year. Twice per Term (eight times per year): $80.00 Discount Four per Term (16 times per year):$ Discount Special Provisions Assistance Parents/Carers who participate in providing special provisions assistance in exam periods may be eligible for a discount. For assistance in sessions per year, a discount of $80.00 will be granted, for 20 or more sessions a discount of $ will be granted.
3 Payment of Fees Like all families and organisations the College also has debts and accounts to pay, and your prompt payment of fees allows us to meet our own financial obligations. The College Fee policy provides for School Fee accounts to be paid in full by the 31 st October each year. When working out your payment plan, please ensure any prior year balance on your statement is paid in full together with any 2018 elective fees no later than the 16 th February, The remaining items on the 2018 account may be paid by your chosen payment plan. We understand the financial burdens that many families carry, and are willing to take such circumstances into account. If an alternate Payment plan or special arrangements is required, please contact Ms Carole Diamond (Telephone: ) or make an appointment to discuss your situation with the Business Manager as soon as possible. These payment plans may require the provision of family financial information to the College. Requests for extended Payment plans or special arrangements will need to be submitted annually and supported with the financial information requested by the College. OVERDUE FEES A School Fee financial clearance will be required for Students applying for participation in voluntary excursions, representative sport commitments and activities that have a significant additional cost. Should an account be overdue or a payment plan not be adequate to meet school fees in the current year, the College may refuse permission for a student s attendance or participation. School Fee Accounts that do not have a payment plan in place or have not been finalised by the 16 th March, 2018, will be considered overdue. These accounts may incur an additional administration fee and/or maybe referred to an external credit management company for collection. If you anticipate a delay in finalising your account please ensure you contact the Business Manager or his assistant to discuss an alternative payment plan. RECEIPTS When paying by Bpay or internet banking please retain the receipt number provided for your records. Receipts will be provided to families on request. STUDENTS LEAVING THE COLLEGE If your daughter/son leaves the College during the year, either to transfer to another school or at the end of their schooling, it is necessary for all books and equipment borrowed from the College to be returned and fees to be finalised. Subject to our Fee Policy a full term s notice is required. This notice must be in writing, addressed to the Principal. Where no change is required, payments, together with the students name and House-Tutor Group details, sealed in an envelope and clearly marked School Fees, may be handed in at either Site Office. (F) CENTREPAY For families receiving Centrelink payments. It is now possible to pay School Fees direct from these payments. For more information and an application form please contact Ms Carole Diamond on Note: Payments by Bpay are for items on the School Fee Statement only. Should you require a receipt, please request a receipt at the time of lodging your payment. PERIODICAL CREDIT CARD PAYMENTS Periodical Credit Card payments may be set up by filling out the attached Periodical Credit Card Payments form and returning to Ms Annette Lee. This payment option is for 12 months only and will need to be set up each year if you intend paying by this method.

6 PRIVACY AMENDMENT (enhancing Privacy Protection)) Act 2012: The Principal and his delegates collect and manage personal information provided to Trinity Catholic College and collected by it for the effective management of the College. Trinity is bound by the Commonwealth Privacy Act 1988 and the Australian Privacy Principles contained in the Privacy Amendment (enhancing Privacy Protection) Act 2012, (effective on 12 th March 2014). Trinity may, from time to time, review and update this Privacy Policy to take account of new laws and technology, changes to the College s operations and practices and to make sure it remains appropriate to the changing school environment. Outlined hereunder is the Standard Collection Notice, which is pertinent to you and your family. STANDARD COLLECTION NOTICE 1. The College collects personal information, including sensitive information about students and Parents or Guardians before and during the course of a pupil s enrolment at the College. This may be in writing or in the course of conversations. The primary purpose of collecting this information is to enable the College to provide schooling to the pupils enrolled at the College, exercise its duty of care, and perform necessary associated administrative activities, which will enable pupils to take part in all the activities of the College. 2. Some of the information we collect is to satisfy the College s legal obligations, particularly to enable the College to discharge its duty of care. 3. Laws governing or relating to the operation of a school require certain information to be collected and disclosed. These include relevant Education Acts, and public Health and Child Protection laws. 4. Health information about students is sensitive information within the terms of the Australian Privacy Principles (APPs) under the Privacy Act We may ask you to provide medical reports about students from time to time. 5. The College may disclose personal and sensitive information for educational, administrative and support purposes. This may include to: a. other schools and teachers at those schools; b. government departments; c. Catholic Education (or Schools) Office, the Catholic Education Commission, the School s local diocese and the parish, other related church agencies/entities, and Schools within other Dioceses; d. Medical practitioners; e. People providing educational, support and health services to the School, including specialist visiting teachers, sport coaches, volunteers, counsellors and providers of learning and assessment tools; f. Assessment and educational authorities, including the NSW Education Standards Authority, and the Australian Curriculum, Assessment and Reporting Authority; g. People providing administrative and financial services to the College; h. Anyone you authorise the College to disclose information to; and, i. Anyone to whom the College is required or authorised to disclose the information to by law, including child protection laws. 6. Personal information collected from students is regularly disclosed to their Parents or guardians. 7. The College may use online or cloud service providers to store personal information and to provide services to the College that involve the use of personal information, such as services relating to , instant messaging and education and assessment applications. Some limited personal information may also be provided to these service providers to enable them to authenticate users that access their services. This personal information may reside on a cloud service provider s servers which may be situated outside Australia. Further information about the School s use of online or cloud service providers is contained in the School s Privacy Policy. 8. The College s Privacy Policy, accessible on the College s website, sets out how Parents or students may seek access to and correction of their personal information which the College has collected and holds. However, access may be refused in certain circumstances such as where access would have an unreasonable impact on the privacy of others, where access may result in a breach of the College s Duty of Care to the student, or where students have provided information in confidence. Any refusal will be notified in writing with reasons if appropriate. 9. The College s Privacy Policy also sets out how Parents/guardians and students may make a complaint about a breach of the APPs and how the complaint will be handled. 10. The College may engage in fundraising activities. Information received from you may be used to make an appeal to you. It may also be disclosed to organisations that assist in the College s fundraising activities [solely for that purpose]. We will not disclose your personal information to third parties for their own marketing purposes without your consent. 11. On occasions, information such as academic and sporting achievements, pupil activities and similar news is published in School Newsletters and magazines, on our intranet [and on our website]. This may include photographs and videos of student activities such as sporting events, school camps and school excursions. The College will obtain permissions (annually) from the student s parent or guardian (and from the student if appropriate) if we would like to include such photographs or videos (or other identifying material) in our promotional material or otherwise make this material available to the public such as on the internet. 12. We may include students and students Parents/Guardians contact details in a class list and school directory. 13. If you provide the College with the personal information of others, such as doctors or emergency contacts, we encourage you to inform them that you are disclosing that information to the College and why.
