1 TENDER DOCUMENT FOR SUPPLY /INSTALLATION OF NOTE SORTING MACHINES AT GOREGAON [W] CURRENCY CHEST BRANCH 1 We invite sealed tenders from the manufacturers / authorized dealers to supply, install and commission of High speed NOTE SORTING MACHINE as per the specification given in Part A (i.e. Technical specification). 2 The Bank reserves the right to reject all or any quotation without assigning any reason or to call for fresh quotations at any time at its own option. Further, vendors who do not qualify for the technical specifications will not be called for the opening of the commercial quote. 3 You are requested to send us your best competitive tender in separate sealed covers, duly signed and superscribed with as: A] COVER NO.1 FOR TECHNICAL BID FOR NOTE SORTING MACHINE FOR GOREGAON [W] BRANCH IN MUMBAI METRO NORTH REGION B] COVER NO.2 FOR COMMERICAL BID FOR NOTE SORTING MACHINE FOR GOREGAON [W] BRANCH IN MUMBAI METRO NORTH REGION Both these sealed covers should be kept in 3 rd cover superscribed as Bid for NOTE SORTING MACHINE for Goregaon [W] branch in Mumbai Metro North Region. 4 These sealed covers should be addressed to the Dy.General Manager, Bank of Baroda, Mumbai Metro North Region, 3 rd floor, Regional Office, Behind Dewan Shopping Centre, Jogeshwari [W], Mumbai so as to reach us latest upto 1.00 p.m. on The technical bid will be opened at a.m. on , at Mumbai Metro North Regional Office in the presence of your Representative who may be deputed to our office to remain present at that hour. Vendors should note to bring the company s rubber stamp at the time of tender opening and their Representative should be fully authorized to commit in writing on behalf of their companies. 6 Vendors will have to arrange live Demo/testing of their machine complete in all respects with all the accessories and software immediately on opening of Technical Bids. The commercial bid will be opened subsequently on the date that will be conveyed to successful qualified vendors in Technical bids. 7 Please complete the specifications carefully in part A & B separately before submitting. 8 Installation and commissioning of the machine is the responsibility of the Vendor till the 72 hours Testing of the equipment is successfully carried out to the satisfaction of the Bank, as also during the warranty period of the equipment supplied.

2 9 Tenders not fulfilling any or all of the conditions prescribed or which are incomplete are liable to be rejected. 10 Canvassing in connection with tenders is strictly prohibited. 11 No change whatsoever will be permitted in the technical and / or commercial quotes after opening the quotes. 12 Latest details regarding the service set up throughout the country should be furnished along with the technical bid in terms of: Status of your office, whether own, franchisee, etc. No. of persons / engineers stationed at the office No. of systems, sites being handled at present by the office Names of contact persons, addresses and telephone nos. In case of Vendor acting on behalf of principal manufacturer, details of the principal manufacturer, details of the principal manufacturer entity, its background and the particulars of agency arrangement to be furnished and service to be provided directly by vendor. 13 The prices are to be quoted inclusive of ONE year warranty i.e. after successful acceptance test of the equipment and for 12 months from the date of installation of equipment at the branch. The prices will be inclusive of all taxes, transportation, insurance, duties and charges etc. (except octroi), till the machine is accepted by the Bank. Octroi will be paid at actual, against submission of original receipts and relevant forms. (Please also indicate separately the rate and unit(s) of Sales Tax included in the prices). 14 The rate of Annual Maintenance Contract (AMC) must be quoted for three years after the expiry of the warranty period of one year in the Commercial Bid. The AMC will cover the entire equipment, inclusive of the consumbales. This fact should be made clear to the service / support in the charge of your company and /or principals, so as to avoid any complication(s) in the matter while entering into AMC. The AMC will be on the basis cost, exclusive of sales Tax and will be subject to Tax deducted at source (TDS) as per relevant provisions of Finance Act from time to time. 15 The delivery schedule will have to be strictly adhered to, as per stipulation in the Purchase order. Any delay beyond delivery schedule may result into cancellation of the order and /or penalties will be levied at the rate specified in the Purchase Order. The decision of the bank in this regard will be final. 16 The payment terms for the purchase would be as follows: a) Bank will not pay any advance. b) The consideration will be paid within 30 days of successful installation, commissioning of the machine complete in all respects with all the accessories / software for immediate use and satisfactory performance of the encoders.

3 17. No payments will be released, if there are any part shipment or short shipments. 18. The Bank reserves the right to inspect the equipments by its own technical people and /or organization /persons engaged for the same. 19. Vendor participation is desirable at the time of opening of tenders as stated hereunder. However, if your Representative does not turn up at the appointed time, the tenders will be opened in his absence. 20. All the vendors should give Income Tax PAN allotted by the Income Tax Authorities, Registration no. allotted by Sales Tax Authorities and Service Tax Registration no. photo copies of the certificates of Income Tax Authority Sales Tax Authority and Service Tax Authority duly certified by a Gazetted Officer of the State / Central Government should be enclosed. If such certificates are not enclosed, the technical bid will be rejected summarily. 21. We reiterate that the Bank reserves the right to reject any or all tenders, without assigning any reason. 6 Note: 1 Comprehensive AMC for 3 years which shall include all spares and consumables should be quoted. The cost of the equipment along with the AMC cost for 3 years will be taken as the basis of calculating the cost of the machine. Complaint to be attended within 24 hours. Preventive maintenance visits shall be undertaken once in 2 months. AMC charges shall be payable every 6 months in advance. 2 Details regarding after sales service centres to be furnished. 3 The tenderer shall clearly indicate the model for which the rate is quoted and shall enclose with the Technical Bide catalogue/ literature of the model giving all the features and complete dimensions including the year of the model. 4 Tenderer may quote for more than one model meeting the requirements. 5 The Tenderer shall not change the model or offer another model during the entire tender process. 6 Any damage to existing structure, fixtures or fittings during the installation shall be made good by the supplier at his own cost. 7 The tenderer shall impart appropriate training to the staff of the bank in the operation /up keep of the machine at the time of handing over after installation.
