Apologies for absence Apologies were received from Bob Campion, Ron Backhouse, Jeff Monk, Diana Matthews and Tony Cook. 2. Minutes of previous AGM Meeting Sunday 29th March 2015 The minutes of the previous AGM were agreed and accepted as a true record. 3. Matters arising: JS advised there were no matters arising. 4. Chairman s Report SR welcomed members to the 2016 Tennis Club AGM and thanked everybody for coming SR advised that we had entered five teams into the Datchworth Summer League and one team in the Autumn League. Two teams had initially been entered but one team had dropped out. MW, Captain, would explain why.
2 SR advised the new coaching company, Over and In, have proved a success with Tony Cook taking over as our coach from James who left during the winter. Tony has proved popular with playing members and Juniors alike and coaching sessions are being held on Mondays, Thursdays and Fridays. Tony is also available for private coaching. SR commented the playing surfaces of the courts have been cleaned as part of our semi-annual maintenance programme with the next cleaning due on Wednesday 23 rd March which will include more sand being put down. SR advised members it was important that we have enough money to resurface the courts in the future and bearing in mind there was no increase to subscriptions last year the committee is proposing an increase this year. SR advised there will be a change to the committee this year as Jill and Mick Wilkins have decided to stand down after many years of fantastic service to the club. SR thanked Jill on behalf of all members for work on the social side including organising the Christmas Dinner and all the catering and opening up at club sessions amongst other duties. SR also thanked Mick on behalf of all the members for his work on ground maintenance and then a successful term as Club Captain. SR stated the club and he personally owe Jill and Mick a huge debt of gratitude. SR advised that Sarah Ross had kindly agreed to be nominated as Social Secretary and Tony Combellack as Captain. SR thanked the remaining committee members for their hard work and support during the year. SR also advised the meeting that both he and Jim Springham would be stepping down as Hon Chairman and Secretary respectively at next year s AGM after one further year in their posts. Both wanted to give one year s notice to enable replacements to be found. SR advised that Peter Eldon had expressed interested in becoming Chairman in due course. SR advised that we were hoping to run more social events this year including quiz nights and informal social gatherings. If anybody wanted to provide some ideas or help in this, please speak to a committee member. SR thanked everybody who opted in to the LTA Wimbledon Ballot this year. We exceeded previous year s numbers and that has led us to be allocated more tickets; details of which will be circulated shortly.

Club Captain s Report MW reported the following: Summer results 1 st team stayed in 3B 2 nd team division winners of 4B and have been promoted 3 rd team relegated from 4A 4 th team stayed in 6A 5 th team runners up in 7A and have been promoted 2016 there will be 2 teams in division 3, one in 5 and 2 in division 6. Autumn results 1 st team withdrawn due to Sunday match play. This has now been overturned at the Datchworth AGM and all matches will be Saturday unless there are extenuating circumstances. 2 nd team finished second in division 6 and will be promoted. There will hopefully be 2 teams in the 2016 Autumn league. MW advised the meeting he has decided to step down from the captaincy this coming year as he will not be able to give his full attention to the Captain s duties due to his daughter getting married in May together with various holidays planned for the coming year. MW thanked all players for their support and wished continued success in this year s matches. 6. Hon. Treasurer s Report CW reported that during 2015 the club made a surplus of income over expenditure of 4,229 from which 3,000 was set aside for future court replacement. At 31 st December 2015 the Accumulated Funds stood at 13,099, up from 8,869 at the end of During last year the club repaid the balance of the interest free members loan of 2,500. Total income at 9,578 was down from the previous year s level of 10,018 while expenditures increased by nearly 1,000 to 5,348. Income was down due to 1,000 in lower membership subscriptions received reflecting less members. Although the club gained 28 new members, overall membership fell from 123 to 107. Income from fund raising rose from 149 to 790 due to a very successful quiz evening which raised 345 and a donation of 300 from the S&S club for helping out at the fireworks night. CW thanked Tony Combellack and Peter Eldon for organizing the quiz evening and to those members that helped out at the fireworks.
4 CW reported several reasons for the higher expenses: 381 on sand for the courts 294 on new trophies and engraving for the club s annual tournament 240 to Over & in to help set up the new coaching programme 200 for tree removal 130 for replacement of window that was vandalized 127 on a new net CW stated the club s aim of making a surplus of income over expenditures of more than 5,000 each year to enable the club to set aside 5,000 each year into the court resurfacing fund, so that there will be sufficient funds in this reserve to replace the courts when required. The club did quite make that target in 2015 and CW stated need to increase subscriptions next season. CW reported with the accumulation of funds within the club I have recently reviewed our investments to try and get a better interest rate. To achieve this the club is closing the Barclays bank deposit account which only offered 0.05% pa and opening an account specifically for Charities and Clubs with the Monmouthshire B/S where we will be initially investing 10,000. It was proposed and seconded the Accounts as presented be adopted. 7. Election of Officers and Committee: Following nominations, proposals and acceptances the following positions were confirmed:- Chairman Hon. Treasurer Hon. Secretary Club Captain and Junior Representative Maintenance & Health And Safety Social Secretary Steve Rowland Colin Walker James Springham Tony Combellack Peter Eldon Sarah Ross Committee Members: Simon Playfair Tim Prince
5 8. AGM Proposal 1. Membership Fees for 2014 SR tabled the proposed increases to the membership fees for 2016/ / /17 Final Proposed Full Members Junior Adult Couples & Families Single Pensioner Pensioner Couples Off Peak Adult Couples & Families Single Pensioner Pensioner Couples Match Fees 2 2 Visitor adult 3 4 Visitor junior Floodlight tokens 2 2 Following discussion, the proposed fees were adopted for 2015/16. It was proposed that two further categories of membership be offered being Nonplaying Social Membership at 30 per annum and age group not in full time education at 80 per annum. Both new categories of membership were adopted. In addition it was agreed by consensus that it was better to have smaller annual increases to the membership fees rather than less frequent larger increases. Note the Junior Fee of 40 includes all students in full time education. 9. AOB In his absence Ron Backhouse wanted to thank Richard Dupuis for organising the mid-week social sessions.
6 Sandi Satchel questioned what steps the club could take to get more members. The committee stated they were looking into this and would notify actions to members in due course. If other members had any suggestions in this regard could they speak to a committee member. It was agreed that the Practice Wall between courts two and three needed painting. The committee advised that the provision of coaching was to be discussed with Over and In. All members were asked to speak to a committee member if they had any ideas on what coaching should be provided. There being no other business the Chairman thanked all attendees and the meeting closed at 15:00 hours.
