1 STEPS TO SHARING CHECKLIST Car Owners Version 2.0 Last Updated: 6 February 2015

2 HOW TO USE THIS CHECKLIST We're getting excited! Your car will soon be out there doing more of what it's made for (getting people around) and earning its keep. But before your car is 'open for business', you'll need to invest 30 minutes to an hour to complete this checklist and tick the boxes in the My Car tab on the members website to let us know that you re all ready. Your car will be visible on the Car Next Door website within 2 business days when you're done (provided Fred (the Lockbox) is also installed). This checklist is designed to be read alongside the Owner Handbook, the Member Agreement and Owner Supplement, and the Damage Policy. These documents can all be found on our website at If you are feeling confused or unsure about any of these steps, call us and we will help you through. 3 THE SEVEN STEPS 1 Nominate any Additional Drivers Set the age of the youngest driver Certify that your car is Roadworthy Understand the Damage Policy Schedule your car s availability Give your Car a Clean Cancel Your Existing Comprehensive Insurance All done! What happens now?

4 1 NOMINATE ANY ADDITIONAL DRIVERS Does anyone other than you drive your vehicle? You will need to nominate them as an Additional Driver before they drive your car, so that if there is any damage to your vehicle while they are driving, it will still be covered under our insurance policy. 1 Read section 6 of the Owner Handbook ( Who may drive my car? ) 2 Log in and go to My Car > Car Setup >Additional Drivers. 3 Fill in the names of up to five Additional Drivers, making sure that each meets the criteria set out in the Owner Handbook. 2 SET THE AGE OF THE YOUNGEST DRIVER You can choose the minimum age of Borrowers who will be able to drive your car. In Victoria, this is just a matter of personal preference. In NSW, you may need to make a change to your CTP insurance. 1 Decide the age of the youngest drivers you will allow to drive your car. The information at Appendix 2 should help with your decision please give us a call if you have any questions. 2 Log in and go to My Car > Car Setup > Steps to Sharing Checklist, and choose the minimum age from the drop-down menu. 3 Only for NSW members: Call your CTP insurer and change the age of your youngest driver, following the instructions set out at Appendix 2. 3 CERTIFY THAT YOUR CAR IS ROADWORTHY It is your responsibility (and a requirement of the Member Agreement) to make sure that your car is roadworthy at all times when it is available for sharing. In NSW, even though your vehicle is checked for roadworthiness each year, we need you to confirm that to the best of your knowledge your car is currently roadworthy. If your car passed the roadworthy check and has been regularly serviced, then it should be fairly straightforward to confirm that it is still roadworthy. In Victoria there is not a system of annual roadworthy checks, so you may need to do a more detailed inspection. 1 Using the checklist in Appendix 1, go to your vehicle and thoroughly check each of these points (you will need someone else with you to stand outside the vehicle and confirm that all the lights are working). 2 If you are not able to confirm that your car is roadworthy, you should contact a roadworthy tester. 2

5 A list is available on the VicRoads website: 3 Log in and go to My Car > Car Setup. Tick the box to confirm that your car is roadworthy. 4 UNDERSTAND THE DAMAGE POLICY There is a very low incidence of damage to cars, but it s important that you understand how to deal with any instances of damage to your car. The Owner Handbook gives you an overview of how the damage policy works, and the Damage Policy itself goes into detail. 1 Read section 5 of the Owner Handbook: Understanding the Damage Policy. 2 Read the Damage Policy. 3 Log in and go to My Car > Car Setup. Tick the box to confirm that you understand the Damage Policy. 5 SCHEDULE YOUR CAR S AVAILABILITY This is the most important thing you will need to do in order to share your car and possibly the one that takes the most mental adjustment if you re used to just jumping in your car on a whim. Please chalk it on your front door and tattoo it on the back of your hand: ALWAYS BOOK YOUR CAR WHEN YOU RE GOING TO DRIVE. (NB: You do not need to book your car until we make it available on the website (which will happen after you have completed all of these steps.) 1 Read section 4 of the Owner Handbook ( Scheduling your car s availability ) 2 Log in to the members site and go to My Car > Calendar. 3 Use the calendar to block out any times when your car will not be available for Borrowers to use (but remember that having good availability is key to getting bookings and earning money) 4 Go to My Car > Car Setup. Tick the box to confirm that you understand that you need to book your car whenever you use it. 3

6 6 GIVE YOUR CAR A CLEAN 1 Give your car a clean so that it s ready for your first Borrower get rid of any rubbish and take out your personal possessions, vacuum the interior, and clean the windscreen and windows. 2 If you re time poor, you can organise a mobile car cleaner... contact us for a referral. 3 Read through section 9 of the Owner Handbook, and understand your rights and responsibilities when it comes to keeping your car clean and ensuring that Borrowers return it in the same state. 4 Log in and go to My Car > Car Setup. Tick the box to confirm that your car is clean 7 CANCEL YOUR EXISTING COMPREHENSIVE INSURANCE Your car will be covered under Car Next Door s fleet comprehensive insurance policy from the day after Fred is installed, so you can cancel your existing comprehensive insurance. 1 Call your current comprehensive insurance provider and cancel your car insurance from the date after Fred is installed. If you have paid a year in advance, they will refund you a pro-rata amount from this date. 2 Read through the terms and conditions of the Member Agreement and Owner Supplement, which govern what our insurance policy will and will not cover. 8 ALL DONE! 1 Warm up your arms by stretching them forward and then interlacing your fingers and stretching upwards. Bend your elbows and reach behind your head. 2 Pat yourself firmly (but gently) on the back. You re all done. 9 WHAT HAPPENS NOW? Once you ve ticked all of the boxes in the Steps to Sharing checklist under the My Car tab, we will call you to organise to install Fred (if we haven t already) and make your car live on the platform. 4

7 It can take a few weeks to months to build up a steady user base for your car. Some of our top-earning owners had very slow starts, so if your car is quiet for the first little while, keep the faith! That said, some car owners have been surprised by how busy their car gets straight away. We will be doing a lot of local marketing, as detailed in section 13 of the Owner Handbook. This includes sending out a flyer to your neighbours that looks like it s handmade by you you ll get an shortly with details of our marketing activities. If you do find that things are slow to start with, please give it at least six months to let your local car-sharing community evolve. We ll be keeping track of your car s activity during this time, and helping out with some extra marketing if needed. 5

8 10 APPENDIX 1: ROADWORTHINESS CHECKLIST SUMMARY You can use this checklist to help confirm your vehicle s roadworthiness. (Note that if you are in NSW, these things will have been checked as part of your annual Roadworthy Check.) This is our summary of the Vic Roads Roadworthiness Requirements go to the What does the Certificate of Roadworthiness inspection cover? section of to download the full document) Wheels and Tyres. Wheels securely attached, Minimum tread depth of 1.5mm with no damage Steering & Suspension. Steering Free from wear or play. Suspension in working order Brakes: All brake components must function correctly, be securely mounted, appropriately located and free from visible wear, distortion or damage likely to cause failure, malfunction or uneven application. Seats and Seat Belts: All seats and backrests must be secure, structurally sound and free of jagged edges or protrusions which could be hazardous. Seat slides must be functional. Seat Belts must be present and comply with seat belt standards. Lamps, Signals, Reflectors etc.: All lamps (headlamps, stop lamps, front and rear position lamps, a number plate lamp if applicable, and blinkers) must work. Grab a friend or passer by and check that all of the lights work by having them stand outside the vehicle and watch while you turn then on. Exhaust & Emission Control: The exhaust system of the vehicle must not pass through the cabin or any passenger area and must be free of leaks. Mountings need to be secure. Windscreen & Windows: Modern Windscreens are laminated and should be replaced if it has any crack that penetrates more than one layer of glass. One or more bull s eyes or star fractures over 16mm in diameter or one or more cracks over 150mm in length are allowable as long as they are not within the area wiped by the windscreen wipers provided that they do not impair the driver s vision to the extent that the vehicle cannot be driven safely. Side windows must not have damage that impairs the driver s vision. Windscreen Wipers, Washers etc.: Must be secure, functional and not excessively worn. Body & Chassis: The structural components of your car must be sound and free from cracks, damage, faulty repairs or modifications, rust, deterioration, distortion or any other condition which could lead to structural failure of the vehicle or adversely affect the performance of safety related features. Effective wheel guards (mudguards) must be in place (they may include parts of the bodywork etc.). Engine & Driveline: All parts of the engine and driveline must be in safe working order and free of vibration. Other: All pedals must have an effective non slip surface. All driving controls must function properly, your speedometer needs to work, as do your rear vision mirrors & horn. 6

9 11 APPENDIX 2: SETTING THE AGE OF THE YOUNGEST DRIVER How do I decide what age to set as the youngest driver? To maximise bookings, we suggest that you set the age of the youngest borrower at 21 or 25. It s up to you though to decide what you are comfortable with. In Victoria, the nominated age of your youngest driver does not affect the cost of registering your vehicle or the TAC charge you need to pay. In NSW, lowering the age of the youngest driver may affect your CTP premium when you next renew your CTP insurance. In nearly all cases, reducing the Youngest Driver Age part way through your current CTP policy period will not affect your premium until you next renew your CTP insurance. It will usually not affect the premium you pay for your current CTP insurance period. To maximise your bookings, you can change the Youngest Driver Age with your CTP insurer to 21 now. Then when you next renew your CTP insurance, you can increase the age if you choose (we will send you detailed instructions at the time on choosing and setting your youngest driver s age). Cost vs income Deciding which age groups you will allow to borrow your car is a balance between the additional CTP premium costs, and the revenue you may forego if you do not let younger Borrowers drive your car. This information will help you to choose what age to set as the youngest driver who may Borrow your vehicle. Age bracket Percentage of bookings made by Borrowers in this age bracket (on average, across the fleet) Cost increase in insurance premiums for allowing people in this age bracket to drive your car % Calculate using instructions below % 28 and over 81% How to calculate the cost difference The Official RMS CTP insurance Cost Comparison site: lets you calculate the difference in CTP premium for making your car available to younger drivers. To help you use the tool, enter the following responses: 7

10 o o o o o o Q5. If the vehicle is registered in your name, then choose "individual" Q6. List Vehicle Use as "Private" Q7. Unless you are personally registered for GST then say "No" Q11 & 12. List "Other Insurance" as "Comprehensive" with "Other" insurer Q14. Set "Maximum No Claim Discount" to "Yes" Q18, 19 & 20. It s impossible for you to know these details for your borrowers, so answer these questions for yourself and any other household members who regularly use your car. Note: If a CTP claim is required and the driver is under the age you've declared, then the CTP insurer may charge an excess of between $300 - $2,000. NSW only: how to change the age of your youngest driver with your CTP insurer Have your current CTP policy at hand. You will need the policy number. Call your CTP insurer Advise them that the age of the youngest driver is now 21, 25 or 28 (whichever you have chosen). They may ask you for specific birthdates: just give them the age and say that you don t know who the driver is yet so you can't give exact age. Typically you won t be charged any extra until you next renew your green slip. Confirm this with your CTP insurer. 8
