1 OVERSEAS TRAVEL STUDENTS 2016/2017 INSURANCE INFORMATION This summary of UON s Travel Insurance cover is not evidence that your travel is covered by UON s insurance program. Proof of cover for your travel is provided by evidence of approval for your travel which will includes the approval of your student funding. Prior to departing, University Travellers must check the International SOS MYTRIPS site to ensure you are not only aware of the country s inherent risks and culture but also any security and medical ratings issued. Any student who has not booked their travel through one of the University s contracted Travel Management Company (TMC) providers STA or Helloworld - must register their travel (INCLUDING ACCOMMODATION) on MYTRIPS using the following link: Insurer: Chubb Insurance Company of Australia Policy Name: University of Newcastle Period of insurance: 1 November 2016 to 1 November 2017 Policy Number: Following are extracts from the Travel Insurance Policy. Please note that this summary does not include all sections of cover under the policy nor does it detail all conditions or exclusions that apply to the sections of cover mentioned. The summary is intended to highlight some of the areas that address the largest number of queries from travellers. As a student, the University s travel insurance does not extend to any personal travel you do in addition to the University travel. If you are undertaking personal travel, we recommend that you arrange private travel insurance for your entire trip. Coverage is for a maximum of 180 days. If your journey exceeds this duration, it is recommended that private travel insurance is arranged for the entire trip. The policy provides the following cover for all University Travellers, subject to the terms and conditions of the policy: - Medical Expenses (Outside Australia) unforeseen & emergency only unlimited Emergency Medical Evacuation unlimited Cancellation, Curtailment and Additional Expenses unlimited Luggage, Travellers Cheques, Documents & Credit Cards & Money (in total) $10,000 Money & Travel Documents (sub-limit) $5,000 Electronic Equipment ($500 excess) (sub-limit) $10,000 Deprivation of baggage (sub-limit) $3,000 Auto Rental Damage Excess & Theft Waiver providing insurances purchased through Hire Company $10,000 Missed Transport Connection (beyond your control) $20,000 Personal Liability $10,000,000 POLICY EXTRACTS Section 2 Medical Expenses If during the Period of Insurance and whilst on a journey, a student sustains or suffers an Accidental Bodily Injury, Sickness or Disease, the insurer will reimburse the student for Medical Expenses, for a period of up to twenty four (24) months from the date of Injury or Sickness. Medical & Additional Expenses means: costs incurred within 24 months of the Insured Person sustaining an Accidental Bodily Injury, Sickness or Disease, to a registered Health Services Provider for medical treatment including surgery, hospitalisation, ambulance
2 services, chiropractic, physiotherapy, and medical supplies, or to a registered and legally qualified dentist for emergency dental treatment or to a Physician or optician for emergency optical treatment. Exclusions: There is no insurance for any expenses: Any Medical Expenses incurred more than twenty four (24) months after the date of Accidental Bodily Injury, or in the case of Sickness or Disease, after the date on which the Medical Expenses were first incurred; Expenses incurred for continuing treatment, including any medication commenced prior to the commencement date of the Journey, which the Insured Person has been advised by a Physician to continue during the Journey; Any expenses We are prohibited by law from paying; (i.e. Medicare) Expenses incurred when the Insured Person has travelled against the advice of a Physician or when the Insured Person is unfit to undertake a Journey. Section 3 Emergency Medical Evacuation If, during a Journey, the Student sustains Accidental Bodily Injury or Sickness or Disease, and if, in the opinion of International SOS (ISOS), it is judged medically necessary to undertake Emergency Medical Evacuation to another location for Emergency Medical Treatment, or to arrange for Repatriation of the Student, ISOS shall arrange for the Emergency Medical Evacuation or Repatriation utilising the means best suited to do so, based on the medical severity of the Student s condition. *Please note that ISOS contact details are attached at end of this document. Arrangements should be made in conjunction with ISOS and not independently to ensure coverage of costs incurred. Section 5 Travel Cancellation/Curtailment and Additional Expenses If during the Period of Insurance and whilst on a Journey, a student reasonably and necessarily incurs additional or forfeited travel, hotel or out-of pocket expenses as a result of unexpected death, Serious Injury or Serious Sickness of a Close Relative, business partner or travelling companion of the student OR any other Unforeseen Circumstance outside the control of the student, insurers will reimburse the student for those expenses. Section 7 Luggage, Personal Effects, Travel Documents, Money & Credit Cards Luggage, Personal Effects & Business Property Accidental loss of or damage to the student s accompanying luggage, personal effects (other than Personal Money) and Business Property Maximum $10,000 in total under this section including sub limit amounts. Electronic Equipment has an excess of $500, which is the portion the student will retain of any loss. Deprivation of Luggage Emergency replacement of essential luggage up to $3,000 if the student s luggage is delayed, misdirected or temporarily misplaced by any common carrier for more than eight (8) hours. Claims must be supported by written confirmation from the common carrier responsible and receipts for the replacement items the student needed to purchase. Travel Documents & Credit Cards For the non-recoverable cost of replacing travel documents, credit cards and student s cheques or travellers cheques. Personal Money Accidental loss of Personal Money taken with the student, limited to $5,000. Definitions Business Property means the student s business plans, business papers, specifications, manuscripts and stationery relating to the student s work in respect of their paper value only. Portable Business Equipment means personal computers, portable electronic equipment and mobile phones used by the insured person Personal Money means the student s personal cash, credit cards, bank cards, bank or currency notes, cheques, traveller s cheques, postal or money orders or other negotiable instruments.
3 It is a condition of payment under this Coverage Section that all loss or damage attributable to theft or vandalism be reported to the local police or appropriate authority as soon as possible after the discovery of the loss and a written acknowledgment of the report obtained Key exclusions In respect of Section 7 items, insurance will not pay for: Damage or loss arising from electrical or mechanical breakdown of any item; Damage to or replacement of any electronic data or software; Scratching or breakage of fragile or brittle items. This Exclusion does not apply to photographic or video equipment, binoculars, spectacles or contact lenses; Damage or loss arising from wear and tear, except for Travel Documents, Money and Credit Cards, deterioration, atmospheric or climatic conditions, mould or fungus, insects, rodents, vermin, or any process of cleaning, ironing, pressing, repairing, restoring or alteration; Luggage, personal effects, Electronic Equipment, Business Property, travel documents, money shipped under any freight agreement, or items sent by postal or courier services; Losses due to depreciation or devaluation of currency; Loss or damage arising from confiscation or destruction by Customs or any other authorities; Losses recoverable from any other source, e.g. airlines, tour operators, other insurance such as automatic credit card travel insurance; Contractual Obligations in relation to a mobile phone purchase In respect of Electronic Equipment, insurance will not pay: where theft or attempted theft occurs while such Electronic Equipment is unattended other than when securely locked inside a building or securely locked out of sight inside a motor vehicle, however this Exclusion shall not apply in circumstances where the Insured Person leaves such property temporarily unattended whilst on any conveyance and takes all reasonable precaution to safeguard the property and has no option other than to leave the property temporarily unattended, or whilst carried in or on any conveyance unless they accompany an Insured Person as personal cabin luggage. However, this exclusion will not apply in circumstances where the Insured Person is prohibited from carrying the Electronic Equipment as personal cabin luggage. Where the Insured Person is so prohibited, the Electronic Equipment must be securely locked away within the Insured Persons checked in luggage. Section 9 Rental Vehicle Collision Damage & Theft Excess Cover We will reimburse You or the student for any excess or deductible payable under a comprehensive motor insurance policy which You or the student become legally liable to pay, arising during a Journey, in respect of loss by theft collision or damage to a Rental Vehicle during the rental period, not exceeding the Sum Insured stated in the Schedule of Sums Insured. *Rental Vehicle Insurance must be purchased from the Car Hire Company upon renting of vehicle, as per above wording for this coverage. Section 10 Missed Transport Connection Cover under this Section only applies where the student must attend a Scheduled Meeting which cannot be delayed because of the student s late arrival. We will pay the reasonable extra expenses actually and necessarily incurred, net of any recoveries to which you may be entitled from a common carrier, to enable the student to use alternative scheduled public transport services and arrive at his destination on time, if due to any unforeseen circumstances outside your control, you miss a transport connection and are unable to arrive at the destination by the time originally scheduled. Scheduled Meeting means any official, pre-determined meeting or conference arranged by the Policyholder or the student which cannot be rescheduled. RESTRICTIONS OF THE UNIVERSITY TRAVEL INSURANCE Cover for Private travel is not provided to students. We recommend that individuals purchase their own travel insurance cover the entire trip if they are planning any private travel. Weekends are covered provided the traveller was at class on the gazetted work day prior and the gazetted work day following.
4 Spouses and dependents are not covered. No coverage for travel to DFAT Rated Alert Level: Do Not Travel countries as rated at the time of booking. No coverage for high risk activities. Examples include, but are not limited to: any snow sports, such as skiing, snowboarding, ice-climbing etc. hunting racing (other than on foot) polo playing hang gliding rodeo riding BASE jumping sports activities in a professional capacity mountaineering or rock climbing using ropes or guides scuba diving unless the traveller holds an Open Water Diving Certificate or is diving with a qualified diving instructor. GENERAL CONDITIONS APPLICABLE TO ALL SECTIONS OF THE POLICY (UNLESS OTHERWISE STATED) Making a Claim All claims should be forwarded to CS&C-Insurance for processing within thirty (30) days of the incident occurring. Failure to provide CS&C-Insurance with this written notice within this timeframe may affect your ability to make a claim under the Policy unless it can be shown that it was not reasonably possible for you to provide written notification within this time period and you did so as soon as reasonably possible. Once you have notified CS&C-Insurance of a claim under Your Policy You will need to provide written Proof of Loss as soon as possible and at the latest within thirty (30) days after receiving your written notification. Your claim will be denied if it is not lodged within 6 months of the date of loss/injury. Contact CS&C-Insurance to discuss. You will also need to provide original copies of all relevant documentation. Chubb may request that you provide further evidence, information or certificates which may be required to assess your claim in a prescribed form. Should Chubb make any such request you will need to provide the information requested at your expense. Upon giving reasonable notice, Chubb may request you or any other Insured Person making a claim under the Policy to be medically examined with any such medical examination being carried out at Chubb s expense. In the event you make a claim under Your Policy Chubb will undertake necessary investigations which will require the cooperation of you and any other Insured Person making the claim. Failure to cooperate with our investigation may result in denial of the claim or cancellation of the Policy. If any claim You make under this Policy is discovered to be fraudulent in any respect, or if any act of fraud is committed by You, the Insured Person, or anyone acting on Your or the Insured Person s behalf in an attempt to obtain benefits under this Policy, Chubb will be under no liability in respect of any such claim.
