2 Accessing the portal (Employee) HowdenBenefits.com is an online web based Self Service Portal that enables employees to view details of insurance products offered by their company as part of Employee Benefits. The portal is offered by Howden Insurance Brokers India Pvt. Ltd., who have partnered with you in offering the best of class service. The portal is easy to use and based on Self Service approach. The purpose of this document is to guide employees through features of Howden Benefits. Getting Started Once you are enrolled into the Employee Benefits program, you will receive an from your HR or Administration department containing the portal hyperlink and your user id (usually your employee number). To access the website you can click on the hyperlink or copy paste the address into a web browser. Once the website is fully loaded, login using your credentials and you will be redirected to the landing page. If you are a first time user, you will need to register first. 3 Navigation On successful login, the employee home page is shown. The home page serves as a dashboard from which most of the areas of the portal can be accessed Display Different level Howden contacts Howden Insurance Brokers India Pvt. Ltd. 3
4 New Joiners In case of employee joining the company during the term of the current policy, the home page is different. As soon as employee logins after registration, employee view the Review Pending alert. Click on hyperlink Click here to view details where details can be edited or dependent details can be added Click on Confirm Review to send to Client admin for further processing Note:-Coverage details will be accessible upon Insurer approval & enrollment completion. 5 My Profile The employee profile details in the current policy can be accessed by clicking on Employee Name on top left part of any screen. The user can view and verify all their personal and professional information c To Add Correction Entry Clicking on various menus available on left hand side the user can view personal, professional, address, contact, wellness profile & preferences details. 6 My dependents Employee can view his dependent details by clicking on My Dependents menu. Note:- Add dependent privilege will be available as per policy contract and if the company has opted for it. To add mid-year dependents in case of marriage or child birth Link to intimate claim Link to view or print e-card To add Correction Request Link to send added mid-year dependents request to client admin Howden Insurance Brokers India Pvt. 7 Add Mid year dependents(by Employee) Employee can add mid-year dependent details in the current policy by clicking on Add Dependent hyperlink (1) System allows to add dependents as per policy coverage definition. (2) Upon adding dependents, card shows status as Enrollment in Progress. Member will be covered for the policy on insurer approval. Intimation of Claims for such dependent is disabled till approved by insurance company. (3) Employee can track the status viewing My Dependents menu. Howden Insurance Brokers India Pvt. Ltd. 7
8 Review Mid year dependents In cases where dependents are added mid-year in the current policy by Client admin on behalf of employees, it is sent to the Employee for review confirmation. 1 (1) Click on Review pending alert on home page. (2) Click on edit to view and update the details if required. (3) Click on Review confirmed, system will forward the review confirmation to client admin for further processing (4) Dependent Status will be changed to Enrollment in Progress. 9 Correction Request Employee can add correction request for the dependent in the current policy by clicking on Correction Request hyperlink. (1) Enter the correction value in the New Value field. (2) Click on Ok button to save. (3) Please leave the Field blank whenever there is no change. Howden Insurance Brokers India Pvt. Ltd. 9
10 My Insurance Cover Employee can view policy coverage details of the current Policy by clicking on My Insurance Cover menu. Clicking on coverage icon will show relevant coverage details Howden Insurance Brokers India Pvt. Ltd. 10
11 My Insurance Cover Employee can access policy details of current policy by clicking on Policy menu under my insurance cover. Click to view insurer contacts Click to view TPA contacts Different level insurer contacts Howden Insurance Brokers India Pvt. Ltd. 11
12 Online Claim Intimation Howden Benefits allows employees to intimate their claims online through portal. Click on Claims Menu Intimate Claim to intimate claim online & submit the form. Howden Insurance Brokers India Pvt. Ltd. 12
13 Claims Tracking Howden Benefits also provides up-to-date information on claims and their status. For viewing claims, click on Claims Menu and use the claims search form. User can specify a specific date ranges for narrowing down the search results. Previous Policy claims can be viewed by filtering on the start and end dates. To search on a specific status, click on the status buttons on top. To clear the search of all search parameters, click on the Total hyperlink Howden Insurance Brokers India Pvt. Ltd. 13
14 Reports Reports menu gives relationship wise & status wise dashboard report access. Each has 2 category (1) Count wise (2) Amount wise. Note: This feature may not available to all corporates Click to view first level details Howden Insurance Brokers India Pvt. Ltd. 14
15 Security Password Policy With IT policy enforcement all the user password need to be changed after every 90 days. Application will force user to change password after expiry date of 90 days from last password changed date. User will be unable to login to the application till the time the user has changed the password. The changed password should be in sync with the password policy that is defined in the application as below : Password should contain atleast 1 alphabet and 1 digit. Min length of password should be 8 characters and maximum should be 15 Must not be same as the user id Must be changed every 90 days For enhanced security, the account is locked for 1 day in case of an incorrect password being entered 10 times successively. Once the password is locked, User need to reset the password from Forget password link after 24 hours. Howden Insurance Brokers India Pvt. Ltd. 15
16 Renewal In Process Till the time policy renewal is in progress and setup is incomplete, system will restrict login for employees and will redirect to a page indicating "Renewal Policy Setup is in process Employees already registered with the portal would not need re-registration post renewal.
