4 Treasurer s Report for January 1, December 31, 2017 Submitted by: Elaine Long, PhD, RDN, LD and Char Byington, MEd, RDN, LD This document summarizes the financial status of the Idaho Academy of Nutrition and Dietetics for Budget was approved by the Board in November 2016 in accordance with the Idaho Academy Bylaws. Tax Form 990 EZ and 990 EZ Schedules A and O will be reviewed by our Tax Advisor in We file electronically. A copy will be filed with our Affiliate Report and is available for public inspection as required by the IRS for organizations exempt from income tax. Our affiliate is a 501 c(3). Income: Actual $61,711 Projected: $61,700 *Academy Dues Rebate: $ 13,480 *Diet Manual Sales: $ 760 *Annual Meeting Registrations: $ 37,495 *Annual Meeting Exhibitors: $ 1,480 *Annual Meeting Sponsors: $ 4,745 *Fundraising: $ 1,005 *Miscellaneous income (cash back): $ 200 *Annual Meeting Scholarships (DW): $ 2,030 *Donation (St. Luke s MV Auxiliary) $ 500 *Saving Account Interest $ 16 Expenses: Actual $54,708 Projected $62,272 *ODSA Scholarships: $ 396 *Diet Manual: $ 299 *Board Expenses: $ 4,184 *Supplies and Equipment $ 1,090 *Website $ 2,287 *Travel Expenses: $ 6,153 *Independent Contractors: $15,775 *Annual Meeting Expenses: $24,224 *Academy Foundation Contribution $ 300 Excess for the year (Income Expenses) $ 7,003 Combined Total Assets (end of FY): $81,079 *General Account: $ 5,948 *Meeting Account: $ 5,115 *Savings Account $70,016

5 Summary of Board Financial Policies and Guidance: The recommendation from the Academy is for an affiliate to have % of annual operating expenses in reserve. Funds are to be used to meet our Strategic Plan, Mission, and Vision. The Idaho Academy exists for its members. Two checking accounts and one savings account. Treasurer and Executive Director have debit cards for the General and Meeting Accounts. Meeting planner has a debit card for the annual meeting account. Executive Director and Meeting Planner have credit cards for the General and Meeting accounts. The card is used for auto-payments and for Annual Meeting expenses. Payments are made to the card from the related checking accounts (General and Meeting). Charges are visible to approved account signers for audit purposed. Auto-payments currently made by Credit Card: Valice (website) and Survey Monkey. We have two PayPal accounts. One for general business (Diet manual sales; other sales from our store) and donations. The second PayPal account is dedicated to all meeting related activities, including annual meeting registrations, meeting sponsors, exhibitor invoices and payment, and other meetings that have registration fees. PayPal fee less 2.7%. Signers on the Meeting account include Meeting Planner, Treasurer and Executive Director. Meeting Planner prepares an annual summary that includes the checking account activity with explanation for budget categories to use for tax filing. The budget for annual meeting is prepared by the Meeting Planner, Annual Meeting Chair, and Executive Director. The budget is reviewed by the Annual Meeting Committee and the Board. Checking accounts maintained at US Bank. Treasurer and Executive Director have online access. Meeting Planner has online access to only the Annual Meeting account. Requests for Idaho Academy reimbursement expenses from members are submitted on the Idaho Academy Expense report (available on our website) with accompanying receipts to the Treasurer for payment. President and Treasurer approve. Treasurer writes and sends check(s). General Checking Account activity is tracked monthly by the Executive Director. Treasurer signs off on account activity and a hard copy of the monthly report is kept in the Treasurer Files. Meeting account reconciled quarterly or as necessary. Income and expenses are tracked monthly using a spreadsheet and reported quarterly to the board (or as requested). Annual Treasurer Report is prepared by Executive Director and approved by the board. Tax filing (990 EZ) is prepared by Executive Director; reviewed by Treasurer, President and Tax advisor. Tax advisor submits the forms electronically. A copy of the annual taxes is submitted with the Affiliate Report to the Academy of Nutrition and Dietetics each year. Audit conducted by the Executive Board of the Idaho Academy using the guidelines from the Academy s Affiliate Relations Director. Guidance provided by the Academy of Nutrition and Dietetics Affiliate Relations Team. Policies reviewed annually by the Idaho Academy Board.
